1 UC Policy Library Library Exhibition Policy Last Modified November 2016 Review Date November 2018 Approval Authority Executive Director, Learning Resources Contact Person Art Collections Curator Library Introduction Exhibitions are a powerful alternative medium by which the University of Canterbury Library ( the Library ) can facilitate access to information and knowledge while also providing an environment conducive to learning. This policy provides information regarding the requirements for exhibitions in the Library. The Library aims to provide a physical environment that promotes and supports teaching, learning and research. The Library has identified increasing demand for relaxing areas for recreational reading, and space and facilities for exhibitions and events. Display spaces and activities act to reinforce the image of the Library as the social hub of the University and attract a new audience of people into the Library, increasing visitor numbers. All exhibitions, including those taking place outside of the Library, highlight collections and the work of Library staff. Additional benefits to the University may include opportunities for improving public relations, particularly with the community and with other related institutions; displaying the increasing professionalism, skills and knowledge base of Library staff; and encouraging further donations of collection items and funds to the Library and University. Definitions Collection item book, periodical, audio-visual material, microform, archival material, map, bookplate illustration, architectural drawing, artwork, or sculpture owned by the University. 2 Display less formal, more flexible displays of Library material drawn together by themes or topical events, typically used to draw attention to aspects of the Library s services or borrowing collections. Exhibition formally curated and presented, typically drawing on permanent collections and incorporating contextual information. Exhibition space free standing and wall panels, and display cases available for holding exhibitions in Puaka-James Hight, Matariki, the Engineering and Physical Sciences Library, and the Education Library. In each branch library there are other spaces where displays of material can be located; these are display spaces (see above). External exhibition external, non-university organisations with a service or cultural focus with information to display that would be of benefit to the University community. Internal exhibition the University Library, departments, or schools organising curated exhibitions, primarily using University collection items, and presentations of academic and student output. Library comprises all University of Canterbury libraries and collections. Policy Statement The Exhibitions Group is responsible for the administration of this Policy. The Exhibitions Group comprises, but is not restricted to the Art Collections Curator, a Specialist Librarian, and a Central Library Coordinator. An appropriate staff member will be appointed by the Exhibitions Group to act as the Exhibitions Lead. The appointee will lead each internally curated exhibition and will be responsible for ensuring the exhibition checklist, schedule dates and policy standards are followed. The Library reserves the right to exhibit (or not exhibit), and to allocate space as it sees fit. The Library maintains exhibition spaces primarily for its own purposes. The exhibition spaces are used by the Library to provide a physical environment that promotes and supports teaching, learning and research within the University and external communities. Priority for use of Library exhibition space will be given to exhibitions curated by the Library, using Library collection items. These exhibitions typically involve the showing of original items and items normally held in storage. The Library will support regular, internally curated, researched exhibitions per year, as time, staffing and resources allow. These exhibitions will primarily be held to showcase permanent collections, or collections of significance including: Library Exhibition Policy v Page 2 of 5
3 art collections, including new art acquisitions; archives, photographs or architectural drawings collections; special collections, including rare books; and Macmillan Brown Library collections. As an exercise in increasing awareness about the Library s collections, exhibitions will only occasionally draw on loans of items from private individuals or other institutions. Library displays are not covered by this policy. Externally created exhibitions The exhibition spaces may also be made available to groups and organisations outside the University with a service or cultural focus, with information to display that would to be of interest or benefit to the University community. For externally created exhibitions an Exhibition Lead will be appointed by the Exhibitions Group to work with the Exhibitor and will be responsible for ensuring that the Exhibitor meets schedule dates and policy standards. Exhibition standards and requirements The following applies to all exhibitions in the Library: Material displayed must not contravene the law. No petitions will be accepted in Library space. The Library may at times require a statement that the views expressed are not necessarily those of the University. While the Library makes every effort to honour scheduling commitments, the Art Collections Curator reserves the right to postpone or reschedule an exhibition. Furthermore, an event may be declined or cancelled if the requestors do not meet the agreed standards, conditions and deadlines. It is desirable that content that will highlight the Library collection or services, either directly or indirectly, and thus promote scholarly and educational use of the Library. Exhibitions will conform to accepted professional exhibition standards wherever possible, within the bounds of available resources. Normally, no one issue, theme, or concept shall be featured in an exhibition more than once a year. The Library Exhibitions Group can request to view the exhibition material prior to approving the event. The Library assumes no responsibility for the loss or damage to items included in externally created exhibitions, unless agreed to contractually by the University. 4 The exhibition of borrowed items valued over $25,000 requires the notification of the University s Insurance Broker via the Account Services Manager (Financial Services).
