1 MARCH NEWSLETTER April 2012 Price Reductions The Pharmacy Guild of Australia has created, for members, an in-store poster and a Stock Management Spreadsheet to assist in the lead-up to the changes of the PBS Listings on 1 April To access these resources members will need to: Log in to the Guild website to access the area reserved for members Click Tools to find the documents required. You will all have seen news of GSK s pre-emptive strike on prices announced to commence 1 March The GSK items affected are Amoxil; Aropax; Augmentin; Avandamet; Lamictal. We recommend to all Fred Dispense clients the simple expedient of putting stickers onto your Dispensary shelves at the affected items so that re-ordering can be closely monitored and stocks run down before the new wholesale prices come into effect. Fred Office Customers Material designed for Fred Office customers will be available on the Fred Help Centre to assist with these changes, this will show a list of the items which will be affected by 1 April 2012 changes. Labour Day Public Holiday Monday 12 March 2012 is a public holiday in Victoria, Fred Help will still be available between the hours of 8.30am to 9.00pm using the usual phone number The Pharmacy Guild ScriptMAP Do you want the clearest available information on changes to PBS pricing, including the official list of 1 April 2012 price changes, and indicative impact on your pharmacy s remuneration up to the end of the Fifth Agreement? The ScriptMAP-2015 report uses your own unique dispensing data and the best available information to provide a comprehensive, customised analysis of the impact of the PBS Reforms, patent expiries, and changes to remuneration. It also provides an Action List and guides you through specific changes that may assist your pharmacy, with a focus on generic substitution and dispensing volume growth. ScriptMAP 2015 has recently been enhanced to include the official list of 1 April 2012 price changes. The enhanced version also includes a comprehensive year-by-year analysis of the impact of PBS reforms and patent expires on your pharmacy s profitability up to the end of the 5th Agreement ( ). Other features of ScriptMAP 2015 include estimates of top line turnover growth and change in percentage gross profit, estimates based on a range of volume growth outcomes (rather than just one level), and a list of drugs where your generic substitution rate is below the national average. The comprehensive, personalised, 34 page ScriptMAP-2015 report is now available at a cost of just $90 plus GST for a single report, or $270 plus GST for a 12 month subscription which includes four reports and a customised ScriptMAP New Brands Report every month. ScriptMAP is only available to Guild members. Guild Members are encouraged to take advantage of the enhanced ScriptMAP 2015 to assist in understanding the full impact of the 1 April 2012 price changes on your pharmacy s profitability. 2 ScriptMAP Instructions with Fred Dispense Guild ScriptMAP reports are generated from Fred Dispense via ScriptMAP Generation, this is found at the bottom of the Fred Dispense Activities menu <ALT+A>, <UP ARROW>. The ScriptMAP Generation Screen, defaults to the previously completed month and allows the pharmacy to enter their preferred phone and contact details. Once these details are entered, clicking Generate and Send will create the ScriptMAP.txt file which will automatically be transmitted by Fred Connect (provided that the ScriptMAP plugin is installed.) Generally the Pharmacy Guild requires at least 2500 scripts to generate the ScriptMAP report. Once the pharmacy has successfully transmitted this they go to With the coming reductions in prices via the PBS it seems a logical time to revisit two Drug Management tasks in Fred Dispense which may assist you in controlling your stock, these are: Manage Stock Groups Manage Drug Ranking The Drug Management feature has been designed to allow pharmacies to quickly and easily manage drug information within and between pharmacies. It provides bulk creation and management of Stock Groups as well as Drug Ranking. This is designed to assist easier Manage Stock Groups <ALT + A><G><S> the following website to order their report. Features in Fred Dispense which may be of Assistance reporting (Stock Groups) as well as quicker dispensing (Drug Ranking). The Drug Management feature is available via the Activities Menu <ALT + A><G> and can be turned on or off via Dispense Options. Stock groups are a great way to manage drugs for effective Reporting (for instance by brand or manufacturer). To assist this process, these groups are now able to be viewed and managed in bulk via Manage Stock Groups. From Manage Stock Groups existing stock groups can be selected via drop down menus where as new stock groups can be added by typing into these fields. The drugs in the group are displayed in the left hand side of the screen A Fred IT Group Company

3 The right hand side of screen allows drugs to be added to the group by Manufacturer or by specific selection. Please note: the Select All and Select None buttons are also available to speed up specific drug selections. Similar to the above addition, drugs can be easily removed from a group using the options on the left hand side of screen. The current Stock Group for the drug displays in the Current Group column. A value of 0 indicates that the drug is currently not part of a Stock Group. Please note: drugs can only be part of one Stock Group at a time. A Fred IT Group Company

4 Manage Drug Ranking<ALT + A><G><D> By default drugs appear in alphabetical order during dispensing, however Drug Ranking allows this order to be adjusted to suit your needs. More popular drugs can be ranked to appear first in the list, enabling fast drug selection during dispensing. Similar to the Manage Stock Groups function, Manage Drug Ranking allows the addition of drugs via the right hand side of screen and removal of drugs via the left. The pull down allows you to select the Drug Ranking (1-9) to focus on. Please note: 1 is the highest possible rank a user may set and 9 is the lowest possible rank. 5 is considered unranked and is the default rank for all drugs in Fred Dispense. If you have run the Drug Usage Rank Report, these drugs are given a 0 rank and will always appear highest in the list when dispensing. The current Drug Ranking can be viewed via the Rank columns. Drugs can only have one Rank. If a drug rank is removed, it will return to the default rank of 5. Blank Labels and Name and address We have had a number of reports that Medicare is possibly rejecting scripts if the name and address of the Pharmacy does not appear on the coding sticker. After discussions with Medicare we have been assured that, if blank labels are used, adding the Pharmacy stamp (with location details) to the script when submitted will suffice. The legislation, as far as we can interpret, does not seem to refer to the coding stocker, merely to the submitted prescription. A Fred IT Group Company

5 The much anticipated MedView trial will commence rollout in the coming weeks, with the first sites having access to the new infrastructure in March Participating healthcare professionals and patients in the Barwon Medicare Local region of Victoria will be the first of the national sites to experience the benefits of a combined prescribed and dispensed medications information repository. Safer visibility over a patient s combined prescribed and dispensed medications history gives you the ability to monitor regime compliance and limit adverse drug interactions. Discharge information See hospital discharge medications to ensure continuity of care. Efficient giving you the time to focus on the patient s broader needs. Consolidated information will assist you with making informed suggestions for the sale of complimentary medicines and supporting products. Cost effective no charge to install or use MedView. What to do As part of the Commonwealth Government s ehealth program, all MedView participating healthcare providers across Australia will need to ensure they have the following: A Health Provider Identifier for Organisations (HPI-O) allocated by the HI Service A Health Provider Identifier for Individuals (HPI-I) allocated by the HI Service erx Script Exchange (essential for the participation in MedView) Healthcare professionals in trial regions will be contacted directly regarding Go Live dates in their specific areas. Why do I need to apply for these? You will need a HPI-O (and ultimately a HPI-I) for many of your dealings with Medicare, and the Federal Government under the new Health Identifier (HI) Service. This will also enable you to access MedView, as well as further national infrastructure and ehealth initiatives in the future. You will need to have access to the HI service for Fred Dispense to validate the patient s IHI (individual Health Identifier). A valid patient IHI is necessary for consenting patient s information to be uploaded to or viewed in MedView. You need to be registered and using erx Script Exchange to both contribute to and view medications information through MedView. How do I apply for these? MedView launches March 2012 You should apply for your HPI-O via MediCare now so that you are ready for your dealing with the HI Service. 12 MONTHLY UPDATE PROCEDURE FOR STEP 1 Please tick 3 and initial when step is completed > PERFORMING A BACKUP A backup must be performed before running the Fred Dispense Monthly update. The pre-update backup takes a copy of the Fred Dispense data and programs before you upgrade to a later version. It is recommended that this backup is taken away from the pharmacy and stored off-site. It is recommended that you perform the backup after receiving the update notification or before running Step 3 for the program update. STEP 2 Please tick 3 and initial when step is completed > DOWNLOAD UPDATE USING FRED CONNECT Within 24 hours of receiving the Monthly Update Fred Connect automatically downloads the Fred Dispense Update. Alternatively you can use Fred Connect to download the update manually 1. Right click on the Fred Connect icon found in the system tray and left click on Show 2. Left click on the Plugins Tab then left click on the Utility Configuration Tab 3. Left click on the Select Program Updates to Download button. A window will appear showing the list of updates available. Scroll to the bottom of the list and tick the box next to the update required. Left click the Download Selected Updates button to begin downloading the update. 4. The Fred Connect program will switch to the Downloads tab where the update download progress is shown. At this time you may wish to wait until the download completes. Alternatively Fred Connect can be sent back to the system tray by left clicking on the cross on the top right hand side of the window. The update will continue to download and dispensing can continue. STEP 3 RUNNING THE PROGRAM UPDATE The next time the Fred Dispense program is re-opened after the update has downloaded; a prompt will appear to run the program update. At this point Fred Dispense and Fred Connect should be exited on all computers. 1. Close Fred Dispense on all computers using <ALT + X> 2. Close Fred Connect by right clicking the Fred Connect icon in the system tray and choosing STOP. You can then choose YES to the prompt to run the program update. You DO NOT need to wait until the end of the month to run the Program Update step. Please tick 3 and initial when step is completed > STEP 4 Please tick 3 and initial when step is completed > RUNNING THE DRUG UPDATE This step is to be run after close of trade on the last trading day of the month. 1. Exit Fred Dispense and Fred Connect 2. Left click on the Windows Start Menu and on all computers choose Programs, Fred, Fred Dispense, Drug Update. 3. After performing the drug update Fred Dispense will run with new Drug details and prices. This can be checked by pressing <F7> Quick Drug Price lookup from Fred Dispense and typing TEST <ENTER> to check if the current month s Test Drug is displayed at the top of the screen.
