2 Student Services A general information office located in: City Centre, University Main building, Fabianinkatu 33, ground floor Kumpula, the Study Office of the Faculty of Science, Jyrängöntie 2 Meilahti, the Study Office of the Faculty of Medicine, Tukholmankatu 8 B. 4 Annual Registration Registration for attendance (or non-attendance) is obligatory for all students: undergraduates, graduates and postgraduates For the first year students the registration is completed at the same time when you enrol to the university. From the second year on you have to remember to register yourself! PhD students must register either as an attending or a non-attending student for every academic year. For Phd students, the Student Union fee is voluntary. The yearly registration time is

6 User accounts In order to use the university's IT systems and services, you need a user account. The user account includes a user ID and password, an address, disk space on a server, a printing quota of 400 sheets per term and access to various programs. The user account is activated at the user accounts desk after your information is in the Student Register. University of Helsinki Main Library Kaisa (City center campus), Mon-Fri 9 a.m. - 4 p.m. 6

7 WebOodi WebOodi, is an electronic information system where you can: complete the annual registration to the university, see degree requirements, browse through study guides and courses on offer, register for courses and examinations, check your credits and order an unofficial transcript of your credits, give course feedback, update your contact information. Instructions for using WebOodi can be found within the system. 7

8 Flamma university intranet flamma.helsinki.fi Flamma, the University of Helsinki Intranet, is a joint communication channel and personal work tool for all students One of the basic principles is that all internal communication within the University is done through Flamma. You need a University of Helsinki user account to use the Intranet. Upon login you will see a layout customised according to your status at the University e.g. student

9 Student union = HYY Represents all students of the University of Helsinki and looks after their interests. As postgraduate students you can decide if you want to become members. Student Union fees: Autumn/Spring term (2014) euro, full academic year usually around euro Services for members include: student card, Unicafes, student housing, legal assistance, day care, cultural activities and there are a lot of organizations within the student union. Tsemppi = organization for international degree students, Postgraduate students are not entitled to the meal subsidy of KELA, Finnish Student Health Services or the student discounts in public transport (HSL, Matkahuolto, VR) 9

10 Student card A year tag shows you have paid the student union fee. The card itself is valid your entire study time. The card functions as a membership card of your student union and works all over Finland as a proof that you are a student Student card for PhD students 15,10 Can be ordered online (or at the HYY office if you don t have a bank card/credit card) For any questions contact HYY: lyyra@hyy.fi With the card you get most of the student benefits in Finland, excluding VR (railway), Matkahuolto, HLS and FSHS (Finnish Student Health Service). 10

11 University Sports Services Unisport, office on Fabianinkatu 20 C (in the basement) and facilities on all campuses. Group training, gym, ball games and racket sports, wall climbing, massage, courses. Fees: 12 month fee about 92 euro, gives you unlimited access. Some special courses might have an extra fee. Also for the massage you need to pay extra. 11

13 The obligation to apply for the right to reside in Finland or a residence permit depends on your citizenship status: Citizens of the Nordic countries Place of residence EU-citizens + Liechtenstein and Switzerland Right to reside in Finland Citizens of other countries Residence permit All degree students Population registration

14 Citizens of the Nordic Countries Nordic citizens, who are studying in Finland for more than 6 months, need to inform the Register Office of their place of residence no later than a week after the moving date. -> Get an appointment at the Register Office (maistraatti), take an official identification document with you For contact information, see OHB page 59

15 Citizens of the EU + Liechtenstein and Switzerland Need to register, at the local police office, the right to reside in Finland if they stay more than 3 months. Helsinki police departments serve only by personal appointment. You can make an appointment e.g. via Internet at Address: Pasilan poliisitalo 2, Pasilanraitio 11, in West Pasila (Espoo and Vantaa: see Orientation Handbook page 56)

16 To register the right to reside in Finland (EU-citizens + Liechtenstein and Switzerland) Take with you: passport or ID card letter of acceptance (must indicate that you have accepted the place of study) or an enrolment certificate from the University the EU health insurance card from your home country EU students may decide how they indicate their financial situation.

17 Citizens of other countries Citizens of other countries need to have a RESIDENCE PERMIT, if the stay lasts more than three months residence permit is usually applied at the student s home country Residence permit has to be renewed at the local police office before expiration, usually a student s permit is valid for a year It might take up to 6 months to renew the permit, so be on time!

18 Population Registration All degree students regardless of nationality have to do this! You will usually get a Finnish ID-code and be granted a home municipality. This in turn gives you for example the right to use municipal health care. Go to the Register Office (maistraatti) & take with you: Passport/ID and a valid residence permit OR certificate of the Right to Reside in Finland It will take a couple of weeks to get the Finnish IDcode

19 Important to know about Finnish Personal ID-code Foreign citizen who reside in Finland permanently or whose stay exceeds one year are given the same kind of personal identity code as Finnish citizen have the code is given at the Register Office with the population registration Before you have a Finnish Personal ID-code, the university will give you a temporary code that you can use at the university When you get your official Finnish Personal IDcode, remember to inform the Student Services! 19
