1 SLCM Work Permit and Contractors Guideline: ก A. Contractor needs to apply permit to work (Form 1) at Events Office. ก ก ก ก B. Contractor needs to be aware of Shangri-La Hotel, Chiang Mai Guideline & Procedures. This will be explained, if unsure, by Events Manager in charge and the Shangri-La Hotel, Chiang Mai House Rules document must be duly signed after the briefing. ก ก ก ก ก ก C. Events will retain the original copy of permit and duplicates must be given to Security Department and Engineering Department before start work together with organizer s name list. ก ก ก ก ก ก D. Contractor doing Hot Work, they need to apply Hot Work permit at Engineering Office before start work and stand by fire extinguisher. ก ก ก E. Contractor and supplier or others coming in to Shangri-La Hotel, Chiang Mai Back of House areas must prominently display Security pass at all times. ก ก ก SLCM House Rules and Conditions for Contractors: You are to follow the below rules during the period working in at Shangri-La Hotel Chiang Mai: ก - Registration and Contractor Passes ก ก: 1) All Contractors must report to Security staff entrance to obtain a Security Pass (after surrendering their identity cards). ID card will be returned once contractor is leaving the premises. All contractors must provide full particulars of staff list, equipment list to Engineering department, before entering the premise. This on-site supervisor must have the capacity to make a decision on instruction from Engineering Department. ก ก ก ก ก ก ก ก ก ก ก ก ก 2) All working contractors are to visibly display the assigned Security Pass whilst working within Hotel premises. 3) All passes are to be returned to Security when the Contractors have finished their duties (in exchange for their ID s). In the case the pass is lost; a replacement fine of THB200 will be imposed. - ก ก ก 200 4) Passes are issued from 24 hours daily. 24 Page 1 of 6
2 Contractor Staff Attire: ก ก 5) Attire must be appropriate and reasonable for the task being undertaken, in line with the current workplace safety practices. ก ก ก ก ก Personal Vehicles: 6) Do not park your vehicle at non authorized areas and / or blocking any entrance to building or premises. Parking offence (Car will THB500 and Motorcycle THB250) ก ก Contractor Meals: 7) No food or packet drinks except water is allowed to be taken to the work site by the Contractor. ก Smoking Regulation: ก 8) Smoking is NOT allowed except in pre-approved staff smoking area at the Loading Bay. ก Contractor Behavior and Set up Regulations: ก 9) Contractors are to take all necessary safety precautions while working on site. ก 10) Do not bring in any hazardous or highly flammable material. If such materials are brought in, they must be submitted for Hotel s approval 1 week before move in. ก ก ก ก 1 11) No painting activity is allowed within the function area. ก 12) Do not trade for personal business. ก ก 13) Do not loaf, sleep and/or display careless attitude. ก 14) Do not fight, quarrel, threaten, insult, humiliate, harass, be rude, impolite etc with any guest or hotel staff. ก ก ก 15) Do not spit or throw waste anywhere haphazardly. 16) Do not block/obstruct fire exists or emergency doors at all times. Items found obstructing emergency exits may be removed at Hotel s discretion. ก ก ก ก ก ก ก ก 17) Do not lock any entrance/pantry door without the permission. ก 18) All Fire exit signs cannot be covered by any means. They must remain visible from any direction. ก ก ก 19) Only service lifts can be used by contractors, the use of guest facilities are not permitted at any time. Contractors are not allowed to enter / use public areas outside the place of work (function room). Page 2 of 6
3 ก ก ก 20) The event organizers, contractors and sub-contractors are responsible for the work behavior and the actions of companies engaged by them. This includes responsibility for claims, damages, losses and expenses which may arise from the engaged company's actions on behalf of the event organizer or contractor. ก กก ก Electrical Cablings/ Decorations: ก ก 21) All floor cables need to be arranged and tidied, covered with cable tunnels to avoid accident. ก ก ก ก 22) All decorative items deemed to be heavy must be self standing. ก ก ก 23) Contractors and sub-contractors must not damage the function rooms, building or any part thereof (including fixtures), and cannot make any alterations to the structure of the building. ก ก ก 24) The hotel Management will allow work to carry on only when the hotel management is satisfied that it is safe to do so. Any delay to meet the function timetable will be the sole responsibility of the contractors. ก ก 25) The hotel reserves the right to stop construction of any decorations should the above clauses not be respected. ก ก ก ก 26) The use the hotel GENEE is not permitted due to Health & Safety reasons. GENEE ก 27) The contractor have to bring an under liner for carpet protection prior to starting or dismantling of any work. ก ก 28) Hotel staffs (Banqueting/ Engineering/ Security/ Events) have the full rights to stop any decoration that is considered to endanger life or invite disaster and to ban contractors from the property should above rules and regulations not being followed. ก ก ก ก ก ก ก ก ก ก 29) The Engineering department has the right to refuse access to Contractors or Sub-Contractors and / or Equipment, or any installation not considered to be of a suitable standard. The aim of this procedure is to ensure there is a formal process in place to manage reckless conduct and unacceptable behavior by external parties performing work within the hotel function rooms. ก ก ก ก ก ก ก Rubbish Removal: ก 30) Debris and rubbish are to be cleaned and removed immediately after the function. If the hotel staff has to perform these tasks on behalf of the contractor or sub-contractor, charges incurred will be Page 3 of 6
4 borne by the organizer. ก ก ก The Hotel Stage Lighting 31) Any requirements to use the stage lights must get approval from the Engineering department. The contractors are not allowed to remove any stage lighting without the Engineering department approval. ก ก ก ก ก Technical and Safety (Electrical Power Distribution) -ก ก ก 32) Shangri-La Hotel Chiang Mai is capable of providing up to 3 phase power at 60 amps in each Lanna Ballroom venue however, all technical requirements and set ups are to be submitted for approval to the Events Department/ Engineering Department at least 2 days prior to set up days. ก 3 60 ก ก กก 60 ก ก ก ก 2 33) All electrical equipment must be tagged and tested before the event start. Please note that the hotel Engineering Department reserves the right to inspect all electrical equipment. ก ก ก ก ก ก ก ก 34) All lighting and audio equipment must be floor mounted, all floor stands must be in good working order (e.g., vertical truss, push ups and t-bars), any equipment that is rigged on stands must have safety chains, and all cables are to be fully gaffed down and cable trays used if necessary. ก ก ก 35) All installations and temporary storage of flight equipment cases by the organizer must comply with the hotel safety and regulations. ก ก ก ก ก 36) The installation and connection is to be carried out by an installer licensed to carry out such work and it must be a qualified Electrician. ก ก 37) The hotel is not responsible for any power trip that has been tap by the contractor. All power loading must be check properly before the event start. ก ก ก ก ก ก ก ก 38) Do not cross the cables at main entrance function rooms. 39) All electrical distribution must meet the hotel standard and the engineering requirement. ก ก ก 40) Frequently the Hotel Engineers will visit the ballroom during the production to ensure these requirements are met and will check the power loading. ก ก ก ก ก ก RIGGING AND HANGING ก 41) Rule: Rigging and hanging in the Grand Ballroom. - All rigging and hanging from the hang points throughout the facility is subject to approval by Engineering Department and is expected to meet generally accepted the hotel standard. ก ก ก Page 4 of 6
5 Reason: Safety is the primary issue. It is our job to be concerned with the safety of attendees and to maintain facility hang points and ceiling structures. Rigging and hanging carry significant liabilities for the responsible party. It is our goal to eliminate any potential problems or hazards before they occur. ก ก ก ก ก ก ก ก Without exception, these rules and regulations are applicable to everyone using the facility for hanging and rigging. ก ก ก ก ก ก ก Failure to abide by these rules and regulations will result in the immediate removal of non-compliant items. ก ก ก ก ก In the event of non availability of the contractor for the tear down service, the Hotel will arrange the same and the cost of this including all labour charge will be charged to the contractor. Maximum hanging loading at 50kg per hanger is allowed at ceiling rigging point.
