3 Introduction Thank you for subscribing to the Mediapoint service supplied to you by the Press Association. This pack aims to help you get started using the service and the website. You ll find a brief overview of Mediapoint, a guide to our additional services and a comprehensive user guide to help you to use the site effectively. Also included are the names and details of key staff you may wish to contact regarding your day-to-day use of the product. Please have a look over your Account Manager s name and details, if you are not already familiar with these. We have also included a who s who guide containing the names and numbers of specialist journalists within the Press Association who you may wish to contact from time to time. 9 What is Mediapoint? Mediapoint was launched in January 2004 to provide a comprehensive, real-time breaking news service to assist PR and communications professionals with their media relations activities. At the heart of the service is the latest breaking news from the Press Association, the national news agency of the UK and Ireland. The PA is relied upon and trusted by the media industry throughout the world. It supplies a wire feed directly to the newsrooms of every national and daily regional newspaper and 95% of broadcasters in the UK and Ireland. Mediapoint allows our customers unrivalled access to the PA wire feed at exactly the same time as the media, providing the unique opportunity to view the news before it is reported. This exposure to agenda-setting news provides the maximum opportunity to manage relevant news stories as you see fit, rather than react to them once they have already appeared in a newspaper, or on radio or television. Mediapoint is delivered over the Internet in real time 24 hours a day, 365 days a year. It contains an excellent search tool that s simple to use and enables you to find stories containing keywords or phrases within a matter of seconds. It also contains a fully searchable archive of news stories published in the last 30 days. A key feature of the Mediapoint website is its alert service, which allows relevant articles to be sent straight to your inbox as soon as they are reported. All you need to do is choose a selection of keywords relating to your areas of interest and the website will do the rest. Users can have up to 20 searches running at any one time. Page 9

10 Content on Mediapoint All articles carried on the service can be accessed by clicking on the links in the navigation menu on the left column of each page. Navigation is split into the following categories: a. News UK Newswires: The main stories running on the Press Association news services. News Schedule: The day s news agenda of top stories updated throughout the day by the PA Newsdesk. Picture Wire: Pictures and graphics filed to accompany stories. Video Wire: Videos filed to accompany stories. Business & Finance: City and Finance stories only. Education: Education stories only. Environment: Environmental stories only. Health: Health stories only. National & Regional: Stories categorised by UK regions. Politics: Political and Governmental stories only. Technology: Technology stories only. Transport: Transport stories only, categorised by Transport, Air, Rail, and Sea. Weather: Weather from the UK. b. Sport UK Sport: The main stories running on the Press Association sport service. International Sport: Foreign sport stories only. Sport Pictures: Pictures filed to accompany sport stories Wire: News stories relating to the Olyimpics. c. Schedules & Diaries Diary Search: A fully interactive diary of events, which allows you to search up to years in advance. Daily Diary: What s happening today across the UK and world. Four Week Diary: A forward planning diary of events over the next month. Picture Diary: The day s photo opportunities. Parliament Diary: The day s business at Westminster. City Diary: Company reports due to be published and financial events. Features Diary: A schedule of features material running on the PA wire service. First Editions: A round-up of headlines from the day s national newspapers. d. Features Latest Features: Daily, nightly and weekly schedule of stories. 12 How to Use Mediapoint When you arrive at the website, you will be greeted by a welcome page: Figure 1 Your account manager will have provided you with a username and password giving you access to the service. Type them into the boxes marked username and password and click the Login button. Page 12

13 You will now see the main newswire page: Figure 2 This is an index of headlines to stories currently running on the PA wire service. The most recent story to be filed can be found at the top of the list. In this case, Liverpool Court Battle to Resume. To read the story, click on the headline. Page 13

14 Reading a story Clicking on the headline in the index page will display the full story: Figure 3 Information provided with the story: a. Liverpool Court Battle to Resume : The headline. b. COURTS Liverpool: This is the catchline used to identify a story (topic and keyword). c. Topic: COURTS: Clicking on this link will return a list of all other stories filed with the same topic within the last two days. d. Published DAY MONTH YEAR: The time the story was published. e. By NAME: The author of the story. Should you need to contact this journalist you will find details under the Who s Who section of the site. f. Pages: The number of pages filed by the PA Newsdesk as the story has developed. g. Page, Time: The latest page and exact time it was filed. Page 14

15 Additional information: a. Any pictures or graphics accompanying the story will be displayed to the right of the text. Click on these to read the caption and/or download the high-resolution image. b. Use the TOOLS at the top right-hand side of the story to go to the Next story, Back to the previous page, Refresh the page, Print the page or Download the story into a text file. c. You can also Track a story so that if there are any updates or added pages you will be notified by an alert. These can be untracked and deleted in the Tracked Stories section of My Account on the right-hand side. d. You can also Contribute to a story. This easy form will be sent straight to our newsdesk with your comment attached and will be read by one of our correspondents or editors. Figure 4 e. 16 Quick searching for a story This feature appears to the right of each page of the website. You can simply search up to the last 24 hours. You can save and create alerts from here (see instructions from page 18 for a more in depth view of this). Figure 5 Instructions: a. Enter a keyword into the Find box and press Search b. Click the box marked exact phrase if you would like to search for a phrase or more than one keyword. There is no need to add a + sign or any punctuation between words. Page 16

17 Searching for stories Click on one of the News search, Sport search or International search links on the right column. Clicking on News search will bring you to this page: Figure 6 Instructions: a. Find: Type in a keyword to be searched for into the include field. There is no need to add a + sign or any punctuation between words. b. Exclude: You may choose to add a keyword to be excluded from the search into the exclude box. Eg. Tony Blair but not Ian Blair. c. Exact matches: This is defaulted to being ticked. If you want to run a search on two words, which don t appear as a phrase e.g Energy Electricity, you will need to uncheck this box. d. From/To: The date range on which you d like to search. You can search for stories as far back as the last 30 days. e. Newswire: Use the Newswire drop-down menu to search only for regional stories. f. Government Department: Use the Government department drop-down menu to search only for press releases from a particular Government department. g. Topic: Use the Topic drop-down menu to search for stories with a particular topic. This is designated by our journalists and is therefore variable. Leaving as All will bring back the most results. 18 h. Keyword: If you know the Keyword of the particular story you re looking for (eg DEFENCE Sailors), type the keyword (Sailors) into the Keyword box. Again, this is variable so we would only recommend using this to search for specific stories. i. Provider: You can choose to search on a single content provider using the dropdown menu e.g. AP, COI, PR Newswire. j. Content Type: You can choose to refine your search further, by choosing Text Only (articles only, no picture captions), Pictures Only (no articles, only picture captions), or Text and Pictures (both articles and picture captions). Search Results The results of a search are displayed in descending date and time order: Figure 7 To save the search, give it a name in the box provided at the top of the page e.g. Cancer. Click Save Page 18

19 alerts After saving a search, you can choose to be alerted by whenever a story matching your search criteria is filed on Mediapoint, at any time of the day or night. You can choose to be alerted to a story in real time within seconds of it being published on Mediapoint, or you can opt to be kept informed at regular intervals during the day, once a day or even once a week. There are two ways to set up an alert: a. By clicking Set an alert from the screen below you ll see directly after saving a search, or b. From within a search you have saved previously (see Figure 8), by clicking on Add alert. Figure 8 Page 19

22 Information a. Description: The name you gave to the search b. Date saved: The date you saved the search. c. Default: Yes/No. Click Set default to automatically run the search immediately after you log into Mediapoint and appear instead of the UK Newswire. d. alert: Yes/no. Click add alert to set up an alert e. Type: The Content type saved in the search, from a choice of Text Only, Pictures Only and Text and Pictures. f. Including: The keyword/phrase you searched on and when you searched with (exact phrase) ticked. g. From: The date you ran the search from. Page 22

23 Setting up an alert a. From Figure 8, click on Set alert b. From Figure 10, click on Add alert beside the title alert. Both ask you to confirm your address and then take you to the Alert Details page. Instructions a. Frequency: You can choose to have your s delivered: Real time (as soon as a story appears on Mediapoint) Once an hour (Mediapoint automatically runs the search once and hour and delivers any results it finds in one ) Every two hours Every three hours Every four hours Every five hours Every six hours Every 12 hours Daily Weekly. b. Next day to run search: Choose a day from Sunday to Saturday c. Next time to run search: To be used when selecting to run daily or weekly searches. Choose a time for the search to be carried out from the drop-down menu. d. Content: Use the tick boxes to choose to receive either the full story or just the first paragraph in your alert. e. Format: Use the tick boxes to choose to receive your alert in either plain text or HTML format. f. Attachments: Choose to include pictures as an attachment or none at all. Click on Save to store the changes. You can save up to 20 searches and run them at any time by clicking on the Saved search and tab at the top of each page. You can also edit or delete them at any time. Page 23

24 Additional information a. Forgotten Password: Click on the tab across the top and type your username into the field provided and click the send button. You will receive an with a new automatically generated password. Contact your Account Manager or Client Services contact if you cannot remember your username. b. Change password: Once you have logged in you can alter your password at any time. Type the new password in the two fields provided and click change. c.
