3 How to use SPGRE to Migrate Exchange Data There has been some confusion on the exact processes involved in using the ShadowProtect Granular Recovery for Exchange (SPGRE) product to migrate Exchange information from one Exchange server to another. There are several different scenarios involved as well. The purpose of this whitepaper is to address common migration scenarios and illustrate the ways in which SPGRE can assist. This whitepaper assumes that readers are already familiar with SPGRE operations as well as using the ShadowProtect backup software. The whitepaper also assumes that users are familiar with Exchange and have full access and rights to their Exchange environment. A Note on SPGRE Licensing SPGRE is licensed per Exchange server. This means that the SPGRE tool may only access backup image files created from the licensed Exchange server. If migrating from one Exchange server to a different server, ensure that the SPGRE license is configured for the source Exchange server. Prerequisites and Additional Information For a full list of prerequisites and system requirements, please refer to the SPGRE User Guide located here: For the purposes of this whitepaper, the following information lists best practices and prerequisites to accomplish a successful migration with SPGRE. DO NOT install SPGRE on the Exchange server. This is not a supported configuration and will cause connectivity problems between the SPGRE software and the Exchange server..edb Files: SPGRE may only access.edb files from a mounted ShadowProtect backup image on the local machine. Additionally, it is required to access the.edb file locally on the SPGRE workstation and not over a network connection. The ShadowProtect mount tools are installed as part of a full ShadowProtect installation. To install only the ShadowProtect mount tools on the SPGRE workstation, run the ShadowProtect installation. MAPI Connection: SPGRE requires that Microsoft Messaging API (MAPI) be installed on your computer. SPGRE will not work with 64 bit versions of the Outlook client. Please ensure that when installing Outlook, the 32 bit version is installed on the SPGRE workstation. To get full MAPI functionality, do the following before installing SPGRE: 1. Make sure that Office Outlook is installed and has been run once. 2. Set up an account on an Exchange Server. 3. For those versions of Outlook that distinguish between Internet and Corporate , use Corporate when configuring Outlook. 4. Run Outlook again, and connect to a mailbox on the Exchange Server. NOTE: To determine specific version compatibility between the Exchange Server and the Outlook client, please refer to the SPGRE User Guide. 3

4 Mailbox Creation Wizard: To use the Mailbox Creation Wizard on your computer, you must have the Exchange Server management tools for the version of Microsoft Exchange Server that you will be creating mailboxes on. Ensure the Exchange Server management tools and Microsoft Exchange Server version, service pack, and roll up level are matched. For supported operating system and prerequisite requirements for the Exchange Management Tools, please refer to the Exchange Management Tools documentation for your specific version. Mounting the Image File: Follow these steps to mount the image file. This should be done before launching SPGRE to ensure that the.edb file is accessible. This is a necessary step when migrating backed up Exchange information to the Exchange server. The ShadowProtect mount tools must be installed on the SPGRE workstation in order to accomplish the following. Step 1: Copy the ShadowProtect backup image chain to the SPGRE workstation, or attach a USB drive containing the image chain to the SPGRE workstation. Step 2: Using Windows explorer, browse to the folder containing the image chain and locate the desired image file. This may be the most recent incremental or collapsed file, or could be a new full base image recently taken for the migration. Step 3: Right-click on the desired image file and choose the Quick Mount (Q) option. This will create a new volume on the local machine that contains the files located in the backup image. If the Mount or Quick Mount tools are not available, then the ShadowProtect mount tools have not been installed on the SPGRE workstation. This newly created volume will be accessible through the SPGRE interface as a valid path to mount the.edb file. 4

5 Migration Scenarios The following are common scenarios for migrating Exchange information with instructions on how to leverage the SPGRE tool to accomplish the tasks. SCENARIO #1 Migrating a user mailbox from the backup source to the target Exchange server. This scenario assumes that a user needs to restore an entire mailbox from backup to an Exchange server. This scenario assumes the target mailbox already exists on the target Exchange Server. Step 1: Open the backup source. 1. In the SPGRE interface, click on the Open Source icon in the toolbar. 2. Browse/Select the desired.edb file and choose OK. Step 2: Open the target Exchange Server. 1. In the SPGRE interface, click on the Open Target Exchange Server icon in the toolbar. 2. Choose to connect to the individual mailbox, or connect to the entire Exchange Server. NOTE: If connecting to an individual mailbox, the user will be prompted for credentials that will require FullAccess rights in Exchange to access the mailbox. If connecting to the entire Exchange Server, the logged on credentials of the GRE workstation will be used. This account needs to be configured for full access rights in Exchange to the specified mailbox, or all mailboxes depending on the operation. 5

6 Step 3: Migrate the mailbox from the source to the Exchange server. 1. In the SPGRE interface, right-click on the mailbox from the source. 2. Use the copy/paste or drag and drop feature to copy the source mailbox. 3. Be sure to select the root of the Exchange server as the target of the paste or drag and drop. 6

7 4. A Copy Progress window will appear, indicating the progress of the copy and any Successes or Failures. Save the Copy Progress or hit Close to exit the window. NOTE: Make sure to select the root of the server as the target. Otherwise, the copy operation will create nested folders underneath the mailbox. The same applies when copying individual folders from the mailbox. The user would need to target the root of the target mailbox to move the desired folder. If the mailbox is copied to the mailbox level, or the folder copied to the folder level, then the copy will incorrectly nest the objects. 7

8 SCENARIO #2 Migrate users to a new Exchange server. This scenario assumes the need to migrate users from an existing Exchange server to a new server within the same domain, either due to failing hardware, or a hardware upgrade. This scenario also assumes that the Exchange server is being backed up with ShadowProtect. Step 1: Use a ShadowProtect restore to install the OS and Exchange on the new server. Step 2: Take a final snapshot of the source Exchange server when the new Exchange server is online. Step 3: Open the backup source. 1. In the SPGRE interface, click on the Open Source icon in the toolbar. 2. Browse/Select the desired.edb file and choose OK. Step 4: Open the target Exchange Server. 1. In the SPGRE interface, click on the Open Target Exchange Server icon in the toolbar. 2. Choose the radio to Connect to all mailboxes on server. 8

9 Step 5: Copy all source mailboxes to the target Exchange server. 1. In the SPGRE interface, right-click on the Source.edb and choose Copy, or use the drag and drop feature. 2. Paste the Source or drop onto the root of the connected Exchange server. 3. A Copy Progress window will appear, indicating the progress of the copy and any Successes or Failures. Save the Copy Progress or hit Close to exit the window. 9

10 SCENARIO #3 Migrate users to an upgraded Exchange Server version or on a new domain. This scenario illustrates how SPGRE can be used to migrate users to a new Exchange server that is either a new installation or is located on another domain. This process will require the creation of mailboxes on the target Exchange server. In order for SPGRE to accomplish this, the Exchange System Management (ESM) tools must be installed on the SPGRE workstation and configured to connect to the target Exchange server. Step #1 Open the backup source. 1. In the SPGRE interface, click on the Open Source icon in the toolbar. 2. Browse/Select the desired.edb file and choose OK. Step #2 Open the target Exchange Server. 1. In the SPGRE interface, click on the Open Target Exchange Server icon in the toolbar. 2. Choose the radio to Connect to all mailboxes on server. 10

11 3. Assuming that no mailboxes have been manually created on this Exchange server, there will only be the default Exchange mailbox listed on the Exchange server. Step #3 Create the mailboxes and copy the contents from the backup source to the Exchange server. 1. In the SPGRE interface, right-click on the source.edb or use the drag and drop feature. 2. Paste the Source or drop onto the root of the connected Exchange server. 3. On the Mailbox Creation prompt, choose Yes to create new mailboxes. 11

12 4. The New Mailbox wizard will appear, allowing users to Specify the Organizational unit and a default password to be set. 5. Select Next and configure the Mailbox database, Managed folder policy and Active Sync policy, if desired, or skip to take the defaults. 6. Select Next again and choose to create an archive mailbox if desired. 7. Select Finish to begin the migration process. NOTE: If the Active Directory user does not exist in the target domain, the mailbox creation process will create a new Active Directory user. This new user will be assigned a new SID in the target Active Directory. 8. A Copy Progress window will appear, indicating the progress of the copy and any Successes or Failures. Save the Copy Progress or hit Close to exit the window. 12
