Since 1948 more than 1 million students have chosen to fulfill a board position within the largest international student organization in the world; AIESEC! By means of this information booklet we will provide you with the bigger picture of this organization, and what this organization could provide you with. Worldwide there are over 90,000 students from 128 different countries working for AIESEC. As a parttime or fulltime board member, you will develop yourself personally and professionally; expand your national and international network; develop a global mindset; and obviously you will have a lot of fun while doing this! What your AIESEC experience will bring you exactly is for you to decide. Do you want to work in a close team learn how to build a good strategy, have contact with multinational organizations, receive different trainings or do you want to go to a national or international conference? These are all among the opportunities AIESEC will give you. We hope that after reading this booklet you will have a good image of all the things AIESEC can offer you and hopefully you will be even more interested to apply for a board position. 5 Why join the board of AIESEC Rotterdam? A sparkling year full of surprises and great activities is what you can expect when you choose to fulfill a board position within AIESEC! You will work together in a board of 22 enthusiastic students for one year. On a daily basis, we run our processes, we talk to students, to companies, we write strategy, we talk to the network, we send and receive students to and from all around the world, and of course, we have a lot of fun. 6 Structure of AIESEC Globally AIESC exists of 3 levels. AIESEC International is the umbrella of the organization, it consists of 23 people coming from different nationalities. They are based in Rotterdam! All the 128 countries have a national board, a Member Committee. The MC of the Netherlands consists of 7 AIESEC International AIESEC the Netherlands AIESEC Rotterdam fulltime members who are responsible for coordinating and supporting the Local Committees of the Netherlands. In the Netherlands AIESEC is located in 11 university cities: Amsterdam, Delft, Groningen, Leiden, Maastricht, Nijmegen, Rotterdam, Twente, Tilburg, Utrecht and Wageningen. The structure of AIESEC Rotterdam is as follows: the Executive Board (EB) is the full-time board of AIESEC Rotterdam; consisting of a President, a Vice-President (Finance, IT & External Relations) and the three Vice Presidents in control of the operational teams. These three VPs are leading their own teams with parttime members: the Incoming Exchange team (ICX), the Outgoing Global Internship Program team (ogip) and the Outgoing Global Community Devopment Program (ogcdp). 7 Activities & Opportunities Throughout a board year with AIESEC, you will get many chances and opportunities to develop yourself. AIESEC focuses a lot on the development of its members. The opportunities that AIESEC will offer you are a unique chance and will speed up your personal development. As a member you can attend trainings, reception weekends, national and international conferences and many other international opportunities. Companies like Randstad, BCG, MCKinsey&Company, Bain&Company, PWC, and many more organize trainings and in-house days for AIESEC members. (inter) National Conferences During a two-day conference (organized twice a year) all the 300 AIESEC board members of the Netherlands gather together, to get to know each other and to share experiences. These two days consist of trainings and policy sessions, where everyone thinks about the short and long term strategic direction of AIESEC the Netherlands. And most of all, it is all about fun and getting to know new people! These national conferences are organized by all countries, which means we could attend these as well. Trainings Examples of trainings you might get during the upcoming year are personal branding, sales, time management and CV selection. Next to that there are a lot of different other opportunities such as visiting international conferences abroad, trainingweekends, etc. 7

8 Time commitment A great board year is what you can expect if you decide to apply for AIESEC. For a whole year you will work intensively together with 22 enthusiastic students. In this year you will learn to deal with different kinds of people, learn how to manage your time, to plan, to coordinate, to organize and many more things! It is extremely useful to commit yourself one year to an organization that wants to grow in quality and quantity and where your personal development is centralized. The great thing about AIESEC is that operations are nationally aligned, which results in the fact that both quality and professionalism are one of the key elements within the organization. The professional way of working, the huge responsibilities and the contact with your team, students, companies and organizations make an AIESEC year amazing. Time As a part-time board member you are part of your team, but also of AIESEC Rotterdam. This means that you will spend on average 20 hours a week on your team and AIESEC. You will be working 1/3 of your time for your team, 1/3 of your time on function specific tasks and 1/3 of your time for AIESEC in general. Wednesday afternoon and evening are AIESEC time. Every week you will have a team meeting with your team, followed by an LC meeting with the entire group. These will take place at the Erasmus University campus, where importand and fun things will be discussed. After every LC Meeting, we will have dinner and drinks with the LC and trainees at Café De Beurs. Conclusion: joining the AIESEC Rotterdam board is about more than fulfilling your own function. You join AIESEC, which of course includes joining activities of other teams and of AIESEC the Netherlands. 8

9 Available Board Positions Executive Board Fulltime functions The Executive Board (EB) consists of 5 students working fulltime for AIESEC Rotterdam: the Local Committee President, Vice-President Finance & ER, Vice President Outgoing Global Community Development Program, Vice Outgoing Global Internship Program and Vice President Incoming Exchange. They are mainly responsible for the development of AIESEC Rotterdam as an organization and they coordinate all the projects AIESEC offers. The EB of AIESEC Rotterdam, a team consisting of five people, works fulltime on; Continuity and strategic direction of AIESEC Rotterdam Decision-making on a general level Leading, motivating and supporting your team and all our members Representing AIESEC Rotterdam on a national and international level Coaching and developing your team members Main competencies/characteristics we are looking for, for all fulltime members; Pro-active attitude Business-minded and dare to make decisions Structured and precise working methods A good planner; clear sense of tasks and priorities Excellent communication skills Deep understanding of AIESEC or the strong desire to develop this. Important for the fulltime positions Though your function officially starts the 1 st of July, the take-over will start in May. Take-overs are very important within AIESEC, because we want to prepare you as good as possible for your new job. Your predecessor has a lot of experience and knowledge that should be transferred to you in a proper way. Before you start, you will get the opportunity to select the team you will work with for a whole year! In May there will be several national events, one for you and your team and one national congress for only EB ers. During this national congress you will be introduced to your new colleagues from other cities, and you ll learn more about your function. In June you will have meetings with external parties and work along days with your predecessor. Of course we are quite flexible, but in May and June you have to be available. The mandatory dates are given on page 19. 9

10 Local Committee Vice-President Finance & ER (LCVP F&ER) The Local Committee Vice-President Finance & ER has the sole and main responsibility over all the financial processes within AIESEC Rotterdam. This means that you are controlling and registering the transactions of your Local Committee on a daily basis, making budgets, funding the teams and tracking the financial results. Being final responsible for the financial state and sustainability of AIESEC Rotterdam, you will meet with the Audit Committee to further enhance financial control. Additionally, you focus on finding long-term investments, as well as supporting your LC in making long-term financial decisions. As LCVP F&ER you are responsible for maintaining contact and interaction with the Local Advisory Board (Lokale Advies Raad; LAR). This board exists out of people who are in senior management positions in companies active in Rotterdam, which means that they have a lot of experience in operational and strategic areas. Additionally, your responsibility is to maintain contact with all External Relations of AIESEC Rotterdam as well as focusing on the acquisition of new partners and maximizing partner value. Finally, as LCVP F&ER you form the Head-Office with the President. Together you discuss the performance of the Local Committee, track the Executive Board s performance, and make decisions about the direction in which the Local Committee, the Executive Board and the Head-Office itself should be heading. Main responsibilities: Primary responsibility for the finance of AIESEC Rotterdam Responsible for tracking other teams on their budget Chairing Local Advisory Board meetings and individual meetings Responsible for the External Relations of AIESEC Rotterdam Responsible for meeting and maintaining contact with the Audit Committee Final responsibility for office management 10

11 Vice President Incoming Global Internship Program (VP igip) The Vice President Incoming Global Internship Program has the final responsibility over all the operations and performance of the igip team. You are managing your team on a daily basis, ensuring that you reach the targets that your team has set. As VP igip you are end responsible for finding companies that are willing to place an international intern in their company. When contracts are signed you have to find the right students for the open job opportunities. You will be responsible for all the formalities, like work permits and insurances, in order to get the student to Rotterdam. Together with your team, you write your strategy for your term and you ensure that this strategy is executed. As Vice President Incoming Global Internship Program one of your most important tasks and challenges is developing the members of your team. You have to ensure, together with the other members of the Executive Board, that a year in AIESEC is worthwhile for them. This means that both on the social and the professional level you are responsible for their development throughout the year. At the end of their term in the igip team, they have to have lived an AIESEC Experience, and you are there to guide them through it. Main responsibilities: Primary responsibility for the igip team and its results Managing the igip team and its members Developing the team members of the igip team Developing the interns you placed in Rotterdam Final responsibility for the Exchange Partners of AIESEC Rotterdam Final responsibility for the wellbeing of AIESEC interns in Rotterdam 11

12 Vice President Outgoing Global Internship Program (VP ogip) The Vice President Outgoing Global Internship Program has the final responsibility over all the operations and performance of the Outgoing Global Internship team, which consists of 6 part time members. As a VP ogip you are managing the ogip team on a daily basis and you ensure that, from a supportive role, you are there to improve the performance of all the team members of the ogip team. As a Vice President, you are naturally responsible for the strategy and planning of all operations on a local level and the alignment of these plans with the national and global ogip strategy agenda. Together with your colleagues VP ogip in all the other AIESEC cities in the Netherlands, you translate and improve the national strategy towards your team. Within the ogip team, the Vice President is the one that leads every meeting, prepares and plans activities ahead, keeps the overview of the bigger picture and coaches the members in their personal development and team performance. Together with the Vice President ogcdp you are responsible for all outgoing exchange activities in Rotterdam. Within the Local Committee, you lead the Local Committee Meeting together with the Executive Board, are the primary contact person for all information that comes from the national level to the local level, and take the lead in organizing local ogip events. Main responsibilities: Managing the ogip team of AIESEC Rotterdam Managing the collaboration between the ogip and ogcdp teams. Chairing ogip team meetings and responsibility for the ogip events on a Local Committee level Final responsibility for the results and performance of the ogip team Final responsibility for the personal development of the ogip team members Primary responsibility for the strategy and long-term vision of ogip Translating the global and national agenda to the local level Developing and growing AIESEC Rotterdam to new heights 12

13 Vice President Outgoing Global Community Development Program (VP ogcdp) The Vice President Outgoing Global Community Development Program has the final responsibility over all the operations and performance of the ogcdp Team, which consists of 6 part-time members. As a VPoGCDP you are managing the ogcdp Team on a daily basis and you ensure that, from a supportive role, you are there to improve the performance of all the team members of the ogcdp team. As a Vice President, you are naturally responsible for the strategy and planning of all operations on a local level and the alignment of these plans with the national and global ogcdp strategy agenda. Together with your colleague VPoGCDP s in all the other AIESEC cities in the Netherlands, you translate and improve the national strategy towards your ogcdp Team. 14 Local Committee (LC) Parttime functions In these positions you will be part of one of the three teams of the Local Committee (LC) and contribute to its performance. You will officially start the 1st of July, however we expect you to participate already 5 hours a week in June for the take-over and the ability to already create your own pipeline for upcoming year. General Job Description As a part time board member, you will spend an average of 20 hours a week within AIESEC: this includes working with your team or function, but also working with AIESEC in general and assisting the other teams. This means that you will spend more or less 20 hours a week on your team and AIESEC. You will be working 1/3 of your time for your team, 1/3 of your time on function specific tasks and 1/3 of your time for AIESEC in general. To give an idea of what this means a short overview is provided below. Attendance at LC Meetings, Drinks and Activities Wednesday evening is AIESEC evening. At 16.00h your team meeting starts and at 17.00h the Local Committee Meeting starts, afterwards we always have dinner and drinks each Wednesday. Furthermore, you also have to be present at LC activities such as kick-off weekends. These activities are important to determine the objectives of AIESEC Rotterdam and laying the foundation for your term and passing it on to your successors. National and International Conferences We will promote the opportunity of going to national and international conferences in the LC, so if you get the chance to join, do so! These conferences and trainings are very inspiring! During the international conferences you meet AIESEC ers from all over the world and have the opportunity to travel through the country afterwards. Events of Other Teams For you and for the rest of the LC, it is nice if you attend as many activities as possible of other teams. Therefore most of the times you and your team will try to help out other teams in order to make each event or activity a big success. This way team activities become AIESEC Rotterdam activities. 14

15 Incoming Global Internship Program Team (igip team) The Incoming Global Internship Program Team is responsible for the acquisition and retention of internship spots at companies in the Rotterdam area. As a member of the igip team you will either focus on sales (acquisition) or relationship management (account management). Furthermore, the igip team is responsible for the reception and management of the trainees and ensuring that all of their exchange related needs are taken care of (e.g. visa, housing, cultural preparation, first day at the office, social activities). As a member of the igip team you will have the opportunity to literally sit around the table with many companies in and around Rotterdam; the perfect chance to work on your personal network as well! Furthermore, you will get to meet incoming trainees from all over the world, organizing social activities for them and getting to know them better. Being part of the igip team therefore means the perfect balance between contact with local employers and international students. For the position of acquisition manager we prefer Dutch speaking students. Available positions: Position Acquisition Manager Account Manager Description The Acquisition Manager is the sales tiger of the igip team. The Acquisition Manager is responsible for staying updated on the supply and demand in the internship market; where do our trainees come from, which background do they have and where is the demand in the Rotterdam internship market? The practical side of the job (on which you will spend most of your time) concerns the activities necessary to raise an AIESEC internship in a company; market and company research, cold/warm calling, attending networking events, company meetings, and follow-up calls and meetings. The Account Manager is responsible for the servicing towards the companies that have been acquired by the Acquisition Managers as a customer that wants an AIESEC trainee. This entails that the Account Manager is the primary contact person of his/her accounts and is responsible for finding suitable candidates, selecting the best applicants for the internship, and helping the incoming intern with accommodation needs, visa support, first day at work, and social reception. Also, you will assist the interns with their personal development. 15

16 Outgoing Global Internship Program Team (ogip team) As a member of the ogip team you are responsible for the outgoing professional internships program. Together with both your VP and the other team members you select, support and prepare students who wish to go on a professional internship with AIESEC. Also, you will learn how to select suitable students, how to match these students to the right internships and how to prepare them for their journey. Furthermore, you get the opportunity to get in contact with people from any of the 127 AIESEC countries to which people could go on exchange and to collaborate with your colleagues from other AIESEC cities within the Netherlands. Available positions: Position Marketing Manager (2x) Matching Manager (1x) EP Manager (1x) Description Ensuring enough participants for the outgoing professional exchange program via setting up and executing an efficient marketing plan. Furthermore, focuses on the organization and execution of the marketing periods. You will work together closely with the other Marketing Managers, with whom you organize marketing stunts, give lecture talks and attend internship fairs. Primary responsible for the process of matching students to the best professional internship; interviewing, informing students on the possibilities within AIESEC, providing support in the use of our exchanges database, guide students through the matching phase and structuring the whole ogip process. Carries the responsibility to prepare students that go on exchange with AIESEC for their job in another country. Furthermore, the EP Manager is the primary contact person for students that are abroad with AIESEC and has contact with every one of them on a regular basis. Finally, the organization of reintegration seminars and the collection of feedback and experience stories from people who have been abroad with AIESEC is also an important responsibility within this function. 16

17 Outgoing Global Community Development Program Team (ogcdp team) As a member of the ogcdp team you are responsible for the outgoing volunteer projects. Together with both your VP and the other ogcdp team members you select, support and prepare students who wish to go abroad with AIESEC. Also, you will learn how to interest students and how to match these students to appropriate volunteer projects for them. Furthermore, you get the opportunity to get in contact with people from any of the 127 AIESEC countries to which people could go on exchange and to collaborate with your colleagues from other AIESEC cities within the Netherlands. 18 Application Procedure Expectations What does AIESEC expect from you? Applying So how do I apply? - If you want to become a part-time board member at AIESEC Rotterdam 1. Fill in the following document: 2. When you have applied there are 2 rounds First there will be an assessment. To prepare for the assessment you need to have general background information on what AIESEC stands for and what products we offer. After the assessment you will receive an whether or not you passed the first round. If you passed it, you will be invited for a personal interview. Here we want to get to know you as a person, what your qualities are and what you want to get out of a year in AIESEC. You will hear Tuesday the 10th of May if you are selected to become part of LC 2016/ If you want to become a full-time board member at AIESEC Rotterdam 1. Fill in the following document 2. Send your letter of motivation, CV and Photo to Rotterdam@aiesec.net 3. When you have applied you will have 2 interviews scheduled in weeks 17 and You will hear Tuesday the 10 th of May if you are selected to become part of the EB 2016/2017.
