4 Introduction This module gives a background of the Tablet PC, a guide to Inking support in Microsoft Office, an overview of OneNote, and setup of the product. Objectives Understand the goal of OneNote and some of its features Understand the setup of OneNote Prerequisite Knowledge None 3

5 OneNote Overview OneNote 2003, a new application in the Microsoft Office System of products, allows users to electronically capture, organize, and reuse notes typed or written on a laptop, desktop, or Tablet PC. OneNote 2003 provides a single place to collect and customize notes as you like capturing information in multiple ways and organizing it according to your needs. OneNote 2003 turns the act of note taking into a dynamic and integral part of every work day. OneNote allows you to: Take notes Organize information easily Access information quickly Reuse and share notes effectively Microsoft Office OneNote 2003 helps make your notes more productive by transforming the note taking process into an active and effective part of your day. Rather than transcribing paper-based notes into electronic form, the notes are already captured electronically, ready for distribution as soon as a meeting concludes. Add to that the ability to insert diagrams, Web research, and business notes to transform from something that piles up, unused and forgotten, into a central part of your business process. OneNote 2003 helps you: Increase efficiency by centralizing all notes electronically Reduce downtime associated with note transcription Boost productivity by easily integrating OneNote content into other Microsoft Office applications While OneNote 2003 can be used on a laptop, desktop, or Tablet PC, the pen input device on a Tablet PC enables additional capabilities in OneNote. For example, with the Tablet PC, you can handwrite your notes (and convert them to text if desired), and draw diagrams or pictures as part of your notes. If you use OneNote with a laptop or desktop PC with a pen-input accessory, you can also write and draw in OneNote, but your handwriting is treated as pictures and cannot be converted to text as in a Tablet PC. With Microsoft Office OneNote 2003, you can access powerful features that help organize your notes the way you want. The flexible interface gives you a digital notebook where you can create as many folders, sections, and pages as you need, while still keeping them all in one convenient place. You can create a digital note taking and filing system that works best for you. No matter how you decide to organize information, you can easily search across all of your notes to quickly find the information you want. Features Since OneNote is a note-taking application, it has a unique set of features targeted specifically at taking and organizing your notes. The following features are available and are discussed in detail throughout the course: Inking Support Inking support is provided for users that have a Tablet PC. Users can write directly into the pages, outline their written text, make drawings, and later search the text. For more information, see the Inking Module Side Notes A feature that allows you to create notes quickly from an icon in the Windows System Tray. These notes are collected in a Side Note page in your notebook. 4

6 Selecting Open New Side Note from System Tray Icon Notes entered into Side Note Drag and Drop - You can easily drag and drop notes on the page to get them in the location you want as well as having the ability to use drag and drop to reorder pages in your notebook. Note Flags You can apply icons to notes to better distinguish and organize your thoughts. You can use the Note Flags Summary task pane to view all the note flags in an outline format as well as create Tasks in Microsoft Outlook 2003 directly from OneNote. Note Flags Find You can use the provided search box to search for keywords across your notebook, including written text (requires Tablet PC). The Page List task pane can be used to view the results in an outline format. Stationery Stationery gives you the ability to change the look and feel of your notebook. You can select the stationery to use from the New task pane. The stationery is broken into various categories such as Planner, Business, Blank Paper, Academic, Tablet PC Stationery, and Designer Paper. For more information, see the OneNote features module. 5

7 Stationery pages give you a consistent look in all note taking sessions, help you avoid typing recurrent text (such as the word Attendees in every meeting note), and help you achieve visually pleasing notes without having to think about layout and font styles. Page heading for the Meeting Stationary Recording Linked Audio - OneNote can record the audio from a meeting or class and link the typed or written notes to the audio. You can then hover over the note and play back the audio associated with the notes taken or you can play back all of the recorded audio while highlighting the note that was written. Creating Linked Audio Share Notes - Easily share your notes by sending them via , saving them as HTML, opening the files from an UNC path, or by publishing the notes to a Microsoft Windows SharePoint Services site using the Shared Workspace feature. If the Notebook has Linked Audio, you can share this with the Notebook as well. 6

8 History Navigation - With the many ways to navigate through OneNote and locate information, it is important to have an easy way to return to pages that have been recently viewed. OneNote tracks all the pages visited across all notebooks just as a Web browser tracks all the Web pages that have been visited. And, just like in a browser, you can move back and forward through these pages by clicking Back and Forward in the upper-left corner of the application. The history is cleared each time the application is closed. Navigation Controls Automatic Save Like writing on paper, you never have to save your notes in OneNote everything created in OneNote is automatically saved. The notes are always saved within the My Notebook folder and are always easily accessible through the OneNote interface. Copy and Paste - You can copy and paste by using the drag-and-drop feature to move notes around within OneNote or between any other Office application and many non-office applications. Special copy and paste scenarios are covered in the Office Integration Module. If you copy information from Microsoft Internet Explorer, the link to the original information along with the information is pasted into OneNote. Notes pasted from Internet Explorer Outlining - OneNote automatically recognizes a simple list of phrases, a series of bulleted paragraphs, or the traditional number and letter hierarchy of headings as types of outlines. Bullets and Numbering - Easily add bullets to visually separate items in a list and draw attention to specific entries, or use numbers to show a sequence. You can even combine bullets and numbers within the same list. Research Library Task Pane OneNote integrates with the Research Library task pane in the same way as other Office 2003 applications. Rich Word-processing Experience The product is focused on note taking, but does provide some of the same formatting features available in other Office applications. 7

9 OneNote Setup OneNote is either sold as a standalone application on store shelves or distributed on new PCs by OEMs. The product, however, was developed side-by-side with Microsoft Office 2003 and has a lot of Office dependences. OneNote installs the necessary Office Components for it to work on machines that do not have Office 2003 installed. OneNote setup behaves the same as the Office 2003 and individual Office applications so the actual setup is not covered in detail. This lesson covers the System Requirements, the Office components installed by OneNote, as well as the list of files installed. Systems Requirements The system requirements are similar to other Office 2003 applications. Microsoft Windows XP Tablet PC Edition is required for inking features. PC with Pentium 233 MHz or higher processor; Pentium III recommended Microsoft Windows 2000 with Service Pack 3 (SP3) or Microsoft Windows XP or later operating system For Windows 2000 and Windows XP: 128MB of RAM for the operating system plus an additional 8 MB of RAM for each application running simultaneously 245 MB of available hard-disk space with 115 MB on the hard disk where the operating system is installed (hard-disk use varies depending on configuration; custom installation choices may require more or less hard-disk space) Other: CD-ROM drive Super VGA (800 x 600) or higher-resolution monitor with 256 colors Tablet PC pen-input required for capturing digital ink. Digital ink enables features such as numbering and bulleting handwritten notes, converting handwritten notes to text, and searching handwritten notes. Installed Components The OneNote installation installs the actual application, the help file for the product, an animated tour of OneNote that launches when the application is first launched, and handwriting fonts. They are not required by the application, but are installed so users can type in a font that appears like handwriting. The required files and how to use the files are covered in the Office Resource Kit (ORK). The Group Policy file for OneNote is called ONENT11.ADM. 13 Known Setup Issues: The following are known issues around the OneNote setup. Issue: When launching OneNote, you receive the following error: "The application has failed to start because {filename} was not found. Re-installing the application may fix this problem." Resolution: This is caused by a missing DLL or EXE file required for OneNote to run. You will need to repair or reinstall the application from Add/Remove Programs since OneNote does not use the Windows Installer to repair missing files. Issue: If a user installs OneNote on top of an Office 2000 installation, and then uses the Open Office Document functionality, the.one files do not show up as Office files. The.one file extension is used for OneNote sections. Sections are covered in the User Interface module. Below are the steps to reproduce the behavior: 1. Install Office 2000 on a clean machine under Win XP. 2. Run an Office application. 3. Exit the application. 4. Install OneNote. 5. Open OneNote. 6. Close OneNote. 7. Open the Start Menu. 8. Select All Programs. 9. Select Open Office Document. 10. Navigate into the My Notebook directory. 12

14 Lab Install OneNote This lab walks through installing OneNote. This installation is used for the rest of the course. Installation 1. Get a product key for a single installation. 2. Run Setup.exe from the OneNote flat. 3. Perform a Custom Installation and look at the list of available options. 4. After installation is complete walk through the Tour of the product to get an introduction of the product.. Automatic Repair 1. Close OneNote. 2. Browse to C:\Program Files\Microsoft Office\Office Delete the OnMain.dll file. 4. Launch OneNote. Did the application repair itself? 5. Repair the application through Add/Remove Programs. 6. Launch OneNote. Did the application launch? 13
