4 Chapter 1: Introduction This application note describes the handset sharing functionality on a Spectralink IP-DECT Server 400/6500. Overview Handset sharing The traditional concept of a communication device is to have a device (phone) assigned to a number. The number can be a line on a PBX or a SIP user. The basic concept of handset sharing is to break the link between the device and the number, and make it possible for any number/user to sign-in to any device. This is typically done for one of two reasons. The scenario requires more handsets than numbers/users. One such scenario could be a certain line/number which is required to have 24/7 operation and where there is no or very little possibility for charging the handset while in use. Imagine a hospital with a nurse on duty. When the shift of the nurse on duty ends it is possible to let the next nurse use a different handset (fully charged because it was not used by the previous nurse). This way several nurses can share a line/number without sharing a device. Normally 30 minutes of charging of the handset will be sufficient every 24 hours, thus under normal conditions it is not necessary to have extra devices only for the purpose of charging while not in use. The scenario requires more numbers/users than handsets. An example of this scenario can be that several users, each with their own number, need to use a phone on a site but not at the same time. E.g. a site with 10 different users working at the same site but only 4 users at any given time. The traditional approach would require 10 devices with the 10 different numbers/users. With handset sharing it is possible to let the 10 users share 4 devices for cost-saving reasons. 4

5 Firmware Compatibility The Spectralink IP-DECT Server 400 and 6500 support Handset sharing starting with firmware version PCS14_. Non Spectralink handsets do not support handset sharing and some features may only be available in some handset models. 6 Handset sharing on DECT Server 8000 Handset sharing is available on the Spectralink DECT Server 8000 however the functionality is different than that on the Spectralink IP-DECT Server 400 and The main difference is that on the Spectralink IP-DECT Server 400 and 6500 the user signin/sign-out process is mainly triggered by a user. This is a major difference from the Spectralink DECT Server 8000 family implementation in which a handset power-on/off and in/out-charger will trigger a sign-in/sign-out process. The emphasis in the Spectralink DECT Server 8000 solution is on securing 24/7 operation i.e. the handset will typically be unused while it is being charged. The emphasis in the Spectralink IP-DECT Server 400 and 6500 solution is on several users/numbers sharing the same handset Note Handset sharing is available on the Spectralink DECT Server 8000 however the functionality is different than that on the Spectralink IP-DECT Server 400 and

7 Chapter 2: Configuration Step1: Adding a Handset Sharing license Add a handset sharing license to the Spectralink IP-DECT Server 1 Click Administration and then click License. 2 In the License field, enter the License code. 3 Click the Load button. The license is loaded and new window states that handset sharing license has been loaded. 4 Reboot the Spectralink IP-DECT Server when prompted Note When a Handset Sharing license is loaded and the IP-DECT Server is rebooted the administration GUI will display users differently than without a handset sharing license. The Users menu will have a List Users submenu and a List Devices submenu. The List users submenu is for SIP user data and the List devices sub-menu is for device data. Furthermore the DECT access code which is used for securing DECT subscriptions is handled differently depending on whether a handset sharing license is present or not. Without handset sharing the DECT access code is part of the data for a specific user. With handset sharing the DECT access code is not a part of the data for a specific user, it is a part of the data for a specific device. If a user specific DECT access code is configured before installing the handset sharing license the DECT access code will be used as device DECT access code and as (initial) user pin code. Both can however be changed independently of each other, if a license is present. Step: 2 Adding Users to the IP-DECT Server Users are identified by their SIP username. User data are split in four categories. DECT device. This list data of the device currently associated with the user (if any). Furthermore by editing the IPEI it is possible for the administrator to sign-in a user to the device or alternatively to sign-out a user. User User data are data specific to a specific user. The Standby text is displayed in the handset when the user is signed-in. If no user is currently signed in to a device the device will display Signed out. The user PIN code is used by the user to sign-in to a device. 7

8 SIP The sip category consists of SIP data specific to the user. Features Features are user specific feature data. 8

9 Step: 3 Adding Devices to the IP-DECT Server Devices can be added and subscribed without any SIP users associated. Devices are identified by the IPEI which is a globally unique number identifying the DECT device. Devices can be added manually to the IP-DECT Server by specifying an IPEI or they can be automatically created when subscribed to the IP-DECT Server. Device data are split in two categories. DECT device. Device specific data include an IPEI (mandatory) and an access code (optional). The access code is used for subscribing the device to the DECT Server. User. The User category is used to list the user currently signed-in to the device (if any). Editing the username will allow the administrator to sign-in a user to the device or alternatively to sign-out a user. 9

10 The List Devices menu lists all devices on the DECT Server. 10

11 Chapter 3: User sign-in/sign-out Signing in to a device 1 Long press 9 or choose MSF function 9 in the handset menu to access the sign-in/sign-out menu. Note The behavior of a handset while long-pressing 9 can be configured to send MSF function 9, this way it is not necessary to navigate through the handset menu to initiate a sign-in/sign-out). If no user is signed in to the handset, long pressing 9 will lead the user directly to the sign-in screen. 2 Choose sign-in and enter the username and the corresponding PIN-code. 3 If the sign-in is successful the handset will show the standby text from the user on the handset. 11

12 If supported by the handset the following lists are cleared in the handset, after a successful sign-in: incoming/outgoing/missed calls list incoming/outgoing message list task list message template list Note When a sign-in/sign-out is in progress the handset will wait 120 seconds for user input. If no user input is received the process will be aborted and the handset will return to the state it was in before the sign-in/sign-out was initiated. Note If a sign-in/sign-out is initiated while the user is busy the sign-in will not be allowed. Signing out from a device 1 Long-press 9 or choose MSF function 9 on the handset to access the sign-in/sign-out menu. 2 Choose sign-out. 3 If the sign-out is successful the handset will display Signed-out. If supported by the handset the following lists are cleared in the handset, after a successful sign-in: incoming/outgoing/missed calls list incoming/outgoing message list task list message template list 12

13 Chapter 4: Provisioning This chapter describes how handset sharing should be used in combination with provisioning. Users can be provisioned via the <MAC>-users.xml file. Devices cannot be provisioned because the intention is that devices will be automatically created when they are subscribed. It is recommended to provision users without an IPEI and let the user/device binding be handled by signing-in from the handsets. Furthermore it is recommended not to create the devices manually via the GUI but let the system automatically create them when subscribed. For security reasons it is recommended to restrict device subscription with a system access code. 13
