1 PREAMBLE The Sports Mentoring Association is a student organization at Western Michigan University designed to provide current WMU students interested in athletics an avenue to establish a network of WMU alumni whom have or have had careers in the field of athletics. SMA will increase the knowledge of sports as a profession, provide opportunities to gain hands on experience and continuously strengthening the network among SMA members, alumni, sport organizations and the community. ARTICLE I Name Sports Mentoring Association ARTICLE II Membership Section A. Types of Membership - The Sports Mentoring Association offers two types of memberships in the fall. Students can choose a full year (fall and spring) or one semester. In the spring, only the semester option is available. Section B. Membership Qualifications - Members must be students or alumni of Western Michigan University. The presiding executive board must approve exceptions to this rule. - Members are encourage to be sports focused students - Any major or minor field of study is welcome - You must pay your due for the current semester Non-Discrimination Policy No individual will be denied membership because of race, color, religion, national origin, sex, sexual orientation, gender identity, age, protected disability, veteran status, height, weight, or marital status. Section C. Selection of Members - Members are self selected and automatically a member after paying their dues at the beginning of the semester (or year). Members will not be voted in and will remain active by attending meetings regularly. - SMA is open to anyone whom has an interest in learning about and engaging in sports from a professional standpoint. Section D. Voting Privileges - The executive board members vote on issues; however active members opinions are always encouraged to bring an issue to the table, they are open for discussion and will be considered if found - Executive board members must be given notice of the meeting and vote at least one day prior to its occurrence. - Those executive members must be present at the meeting to vote, however expectations may be granted by the President or Vice President. - Absentee ballots may not be used
2 Section E. Termination of Membership - When a documented (written or ) complaint has been issued to the executive board and will be up to the board to review and determine as to whether the membership will be terminated or not. - Misconduct or break any of the SMA Constitution/Bylaws - Poor representation of the Sports Mentoring Association - Unpaid dues ARTICLE III Officers Section A. Elected Officers President - Fully dedicated and held personally accountable to upholding the SMA mission statement and voluntarily oversee the association in its entirety. To passionately work towards managing the executive board by discussing individual officer goals, duties and responsibilities along with delegating important SMA tasks. The president is responsible for successfully creating, managing, and running executive board meetings, general SMA meetings and ensuring that the over all goals of the Sports Mentoring Association are being achieved. The president must continuously manage the growth of new and alumni SMA members while maintaining current SMA members. The president must be someone who has served previously on the executive board or have been an active member in the organization for at least one year. The president will be the official liaison to the SMA Advisor, the Sports Marketing Program faculty/staff (Professor Weitzel), the Sports Management Graduate Program (Dr. James Lewis & Dr. Thomas Kelly), and College of Education and Human Development Dean Dr. Ming Li. Vice President - The Vice President will assume duties of the President upon his/her absence from any event or meeting and determined to work towards the success of SMA. He/she will collaborate with the President in creating, coordinating and updating the calendar of events and facilitating communication among the executive board and all SMA members. Must coordinate with the appropriate individuals to ensure calendar events are posted on social media platforms, website, HCOB Calendar, etc. The Vice President is responsible for helping the President oversee that the executive board officers are working towards and fulfilling their individual goals, duties and responsibilities associated with SMA. They need to attend all of the organization s functions unless there are extreme circumstances. Vice President of Finance & Records - The VP of Finance & Records will be responsible for producing and implementing a budget in collaboration with members of the executive board. The VP will host an SMA executive board meeting to discuss each areas needs and financial quotes for the year to accurately form the SMA budget. The Vice President of Finance & Records will also take attendance at all SMA meetings and events, ensure dues are paid on time, keep track of membership, and SMA bank funds. The VP of Finance & Records will be in charge of collaboratively working with the Vice President of Communications in developing a phone and list to provide members with contact information. Must provide attendance numbers to VP of Promotions to create end of the semester certificate. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances.
3 Vice President of Membership Development - The VP of Membership Development is fully in charge of attracting new members to the SMA along with aiding to existing members with any issues or suggestions they may have. When attracting new members, he/she is responsible for designing, creating and presenting the SMA information to all of the undergraduate sports marketing courses as well as the sports management courses. Provide/ SMA flier to professors/faculty/staff in charge of sports marketing courses and sport management department allowing them to forward information to their students, expand to other department as he/she seems fitting. The VP of Membership Development must be present at Bronco Bash, work with the First Year Experience department to find other ways to get involved to get the word out to incoming students, and any avenue in which he/she could reach the current WMU student body to be made aware of the opportunities that come to those being apart of the SMA. He/she is also responsible for checking the SMA account 2-4 times a day answering any questions in a timely fashion about new membership or existing membership and will report to the President & VP with any issues. Lastly, the VP of Membership Development will collaboratively work with the VP of Promotion to design, ordering and the disbursement of the SMA T-Shirt. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. * Must bring t-shirt proof design to the President & Vice President for approval before proceeding with purchase * Vice President of Public Relations & Social Media- The VP of Public Relations must ensure the SMA brand message is consistent, stays up to date with events, and to grow & sustain online communities by communicating with VP of Promotion, Technology, Community Service, Social Events, Business Events, Alumni Relations, and Membership Development. Will be responsible for working with the VP of Promotion, Photography & Video and Technology in managing promotional pieces and sending them out via blasts, social media campaigns on twitter, facebook and instagram. Document and create PR releases about the presence of companies at events, mentor appearances, special guest speakers, and any sponsorship acknowledgement. He/she must report to the President and Vice President any employers/sponsors/speakers/mentors that will be attending a SMA meeting and/or speaking. The VP of PR & Social Media must attend all SMA events. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Vice President of Technology & Web Design - The VP of Technology & Web Design is fully responsible for the operations of the SMA website; displaying appropriate, up to date content including: SMA Mission statement, personal background story of SMA, SMA goals, executive board officers and advisor, list of member roster, pay pal link, registration link, various tabs to include; meeting agenda s, meeting minutes, professional development activities, highlighted mentor (of the week/month/semester/year), business functions, social events, community service, internship/graduate assistantship/job opportunities, calendar of events, and live chat option. Include and maintain a list of employers that our members (current/alumni students) are currently working for along with any sponsorship information. Special thanks page with quotes and ratings via PR. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances.
4 Vice President of Alumni Mentorship - The Vice President of Alumni Relations is self-driven, dedication and responsible for growing and maintaining the alumni database and alumni contacts whom have either been a member of SMA or are past graduates of WMU who are currently working in or have previously worked as a professional in the area of athletics. He/she is to work with the VP of Business Events and recruit those WMU alumni who are currently working in or have previously worked as a professional in the area of athletics to be mentors for the SMA program during given semesters/months, whatever can be arranged based on their time availabilities/level of commitment. He/she is responsible for the organization alumni event(s). The VP of Alumni Relations is responsible for forming a relationship with the admissions/ alumni center on campus along with establishing a relationship with the SMA Advisor, the Sports Marketing Program faculty/staff (Professor Weitzel), the Sports Management Graduate Program (Dr. James Lewis & Dr. Thomas Kelly), Dean Dr. Ming Li. (Dean of the College of Education and Human Development) along with staff with the WMU Athletic Department (Robert D Amelio, Mat Kanan). He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Vice President of Promotions - The Vice President of Promotions will design, create, and distribute promotional materials which support SMA activities for Professional Development, Membership Development, Mentors, Community Service, Business and Social Events. These promotional pieces need to be approved by President, VP and VP of PR to be then posted to the website, social media outlets, and blasts. He/she will work on design the SMA T-Shirt to be approved by President and VP. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. *Experience in Photoshop, InDesign, and or Adobe Illustrator is preferred. * Vice President of Professional Development - The Vice President of Professional Development is responsible for arranging monthly functions that focus on the personal development of the members such as leadership seminars/retreats, interview skills, resume development, practice interviewing sessions, mentor program, and work with the career center staff in organizing and planning the Fall & Spring Food Marketing Career Day activities. The VP of Professional Development should establish committees for each monthly professional development event to encourage greater membership involvement. The Vice President of Professional Development is responsible for establishing a budget for all Professional Development activities as well as coordinating all food service needs for planned events. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Association Photographer - Responsible for digitally capturing all SMA activities for use in appropriate venues such as SMA Website, Social Media Venues, SMA Promotional Materials, Window Display or SMA Yearbook. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances.
5 Vice President of Sponsorships - The Vice President of Sponsorships is responsible for growing and maintaing SMA sponsors. He/she will be in charge of working with the President, VP and VP of Finance to discuss and set financial needs SMA should strive to reach in order to successfully accomplish and meet the goals of SMA executive board and members. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Vice President of Business Events - The Vice President of Business Events is responsible for working with the VP of Alumni Mentorship in arranging special featured mentors per month/semester (whatever level of commitment the alumni is able to do). He/she is responsible for monthly functions that focus on non-social events; such as Guest Speakers for weekly meetings, employer panels, and other networking or business related events. The VP of Business events should establish committees for each monthly business event to encourage greater membership involvement. The Vice President of Business events is responsible for establishing a budget for all Business events as well as coordinating all food service needs for planned events. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Vice President of Social Events - The Vice President of Social Events is responsible for arranging monthly or bi-monthly social events such as the kick-off year event, tailgate events, sport game group outings (i.e. WMU Athletic Games, K-Wings, Griffins, Pistons, Growlers), senior send-off party, banquets and other social activities. The Vice President of Social events should establish committees for each monthly event to encourage greater membership involvement. The Vice President of Social events is responsible for establishing a budget for all Social activities as well as coordinating all food service needs for planned events. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances. Vice President of Community Service - The VP of Community Service will be responsible for organizing a community service event for the Fall & Spring semester which encourages good citizenship and social awareness by our all members. Events might include a Food Drive, Walk for the Cure, or work with organizations such as the Special Olympics (Polar Plunge), YMCA, Habitat for Humanity, Gospel Mission Soup Kitchen, Loaves & Fishes Food Bank, Red Cross, or Big Brothers & Sisters. The VP for Community Service should establish a committee to assist in the planning and execution of community service activities. The Vice President of Community Service is responsible for establishing a budget for all service activities as well as coordinating all food service needs for planned events. He/she will have the opportunity to form and oversee a small 2-4 student committee to help support their given officer duties and serve as a sub-team to the executive board. The VP and committee is responsible for coming up with a semester/yearly budget to present to the President, VP and VP of Finances.
6 Section B. Qualifications for Holding Officer - Officers must be currently enrolled WMU Students - The president must have previously held an Executive Board position or have at least one year as an active member of SMA - Regular attendance in meetings - Involvement within SMA Section C. Selection of Officers - Elections occur at the end of the year (April) as well as when new positions open up - New executive board members may be elected by the association or interviewed and selected by executive board members - An executive board member may hold their position until he/she graduates, is no longer a WMU student, or chooses to step down - Officers will assume their duties immediately and serve either a semester or a full year depending on what was decided by the needs of the executive committee Section D. Filling Vacancies - In case of the absentee of the President, the Vice President will assume that responsibility and duties - All other positions are the responsibility of the President to perform, to delegate to other executive board members until voting takes place to fill vacancy Section E. Recall of Officers - If any executive board member has consistently missed meetings, ignored their assigned duties, and responsibilities, they may be impeached - The remaining executive board must vote on whether to impeach the member in question - Two thirds of the executive board much vote in favor for an impeachment - Final action should be delayed until next regular meeting ARTICLE IV Finances Section A. On-Campus Accounts - SMA will follow and be subject to all University policies, procedures, and practices regarding student organization accounts and finances Section B. Off-Campus Accounts - Non-University funds will be banked at National City Bank unless another banking institution is needed Section C. Dues, Assessments, or Initiation Fees - Members pay dues either once or twice annually ($60 for year of $35 per semester) - Alumni members pay dues just once upon their commencement ($50) - Dues are subject to change without notice - The treasurer and the president can change dues
7 Section D. Financial Policy - The financial books and records will be audited at least once a year - Officers designated as responsible for financial matters will attend University financial workshops as required Section E. Disposition of Non-University Funds in the Case of Inactivation - If the organization goes inactive or dissolves, the advisor may decide to keep funds sitting dormant in the account of leverage them to donate them to the Sports Management Department. If neither of these options is applicable, the funds will be donated to a charity scholarship for Western Michigan Sports Management Students. ARTICLE V Statement of Compliance The organization will comply with all SA&LP and University policies, procedures, and practices and all local, state, and federal laws. Section A. Registration/Reactivation - The president of the Sports Mentoring Association is responsible for setting and renewing the SA&LP registered student organization annually ARTICLE VI Meetings Section A. Frequency of Meetings - Meetings for members are typically held once a week Section B. Special Meetings/Events - The executive board will plan special meetings and events. - Members will be notified by and posted on the main website as soon as possible ARTICLE VII Advisors - The advisor is responsible for taking administrative measures, which the executive board may not be able to conduct - An advisor may be selected if the executive board approves them and the advisor consents to their role - All advisors must be faculty or staff members of Western Michigan University or a spouse/partner of a faculty/staff member
8 ARTICLE VIII Amendments Section A. Constitution - Any executive board member or advisor may propose an amendment to the constitution - Amendments will be considered by the executive board and decided by them - 75% of active executive board members must agree with the amendment
