1 Alumni Admission Ambassador College Fair Training This slideshow provides helpful tips, college fair guidelines and the best ways to represent Providence College at local high school programs

2 In the days leading up to the fair, be sure to familiarize yourself with information by reviewing the Alumni Admission Ambassador program web site and the pages for: College Fair Guidelines Resources and Information These pages will provide the most up-to-date details regarding campus news and Admission Office updates.

3 After you have received the shipment of materials for the college fair, glance through the booklets and information. The You Find Providence brochure will provide students with many different details. Copies of this booklet will be included in the materials shipped to you. This is the best publication for students to pick up and review when they stop by the college fair table! In this booklet you will find: Majors and Minors listed on pages 4-5 Student activities listed on pages 6-9 Internships and Employers on page 11 Visit Opportunities on page 17 Application Deadlines, etc. on page 17* *Students may access the Common Application or the Providence College website to learn about the admission and financial aid applications, forms, and deadlines.

4 There will be one copy of Great Minds to display at your college fair table. Students can find a copy of the course catalog on our website. However, students will find an overview of the following items while glancing through this table copy: Core Curriculum information (including DWC format) Student and faculty testimonials Departmental and collaborative student and faculty research

5 The Student Profile includes valuable statistics that provide a snapshot of the students invited to and enrolled at Providence College. Be sure to refer students and families to this piece for detailed questions! Helpful tip keep at least one copy with you throughout the fair. The average institutional GPA (unweighted and recalculated) of enrolled freshmen High School curriculum choices of incoming students and test scores The average class size and retention rate Number of full-time faculty Study Abroad, Internship, and Employment facts

6 You may transport the materials in a tote bag or wheeled suitcase. Never lift more than you can carry!

8 Allow yourself time for traffic and parking when driving to the college fair. Always arrive thirty minutes before the start of the program to allow yourself time for set-up, refreshments, etc. Some fairs may provide dinner or light refreshments prior to the fair for representatives. We will provide this information to you in the confirmation before the fair. Feel free to grab a snack but you must be at the college fair table for the start of the program.

9 College fairs are typically hosted at local high schools and may take place in the gym or auditorium. Some fairs are held in event centers or on local college campuses. A confirmation will be sent to you before the fair with the location and address as well as any special parking instructions that are available.

11 Many schools have students and staff who will direct you to parking and lead you to your table upon check-in. Be sure to sign in at the fair or ask directions if you cannot find your table.

12 At the fair, please place copies of the brochures, inquiry cards, pens, and a copy of the Great Minds, on the fair table. The brochures and printed materials containing factual information are the only items to be distributed throughout the fair. Gimmicks like candy, t-shirts, key-chains and other items are NOT permitted.

14 You do not need to place all of the materials on the table at the beginning of the fair. Helpful tip: Keep copies of the information behind the table and replenish the materials between conversations with students. Make sure your table is neat and stocked with information throughout the program!

16 Always stand behind your table at the fair; never stand in front or leave the table. Limit the number of representatives behind the table to two people. If there are more than two Ambassadors at the fair, please take shifts throughout the program. A representative must be at the table until the end of the fair.

18 During the fair, many students and parents will have general questions about Providence College. Please remember to review the College Fair FAQ inside the Alumni Admission Ambassador Information Packet posted on our web page (a copy of this will also be sent to you in your college fair confirmation and a printed copy will be included in the materials shipped to you).

19 Always refer a student to the brochures or our admission office for statistics on invited students, application deadlines, or detailed information on programs. Do not promise admission and/or financial aid to students. No decision can be made until an application is reviewed by the Committee on Admission. Financial awards cannot be determined unless forms are reviewed by the Office of Financial Aid. Be professional, approach every student and family with a smile, and treat each student with dignity. Many students are nervous about the college search and will be excited to have a friendly and welcoming representative at the table. Explain your role as an alumni representative. Never sit at your booth reading a newspaper, always be attentive and present at the table. The college search is about finding the best fit. Not every student may be interested in Providence College, this is ok! Remember to never make disparaging comments about other colleges or make inappropriate comparisons between Providence College and another campuses.

20 Beyond general admission information, students and parents will also have questions about academic programs and student life. Feel free to explain your experience both as a student and now as an alumnus.

21 If there is ever a question you are unsure how to answer, never guess. Simply, refer the student to our office. Included in your materials are Alumni Ambassador business cards which include the contact information for our main office. Please hand these out to students and place them on the college fair table!

23 Here are some guidelines for talking with students at college fairs: Smile, and be positive. You are the first contact many students and families will have with Providence College. Introduce yourself as an alumnus of Providence College. Explain your academic experience and be sure to talk about memorable classroom experiences in courses and with faculty as an undergraduate.

24 Always use appropriate language and never initiate a conversation that is overly personal or may make the prospective student uncomfortable. For instance, never ask a student where he or she is applying. Remember, any materials and personal information that a student provides is confidential. Inquiry cards, resumes, etc. must be mailed directly to the Office of Admission in the return envelope.

25 Many students and parents will be interested to hear about your journey through college into your professional career. Feel free to mention your: Major/minor Personal connections with faculty members and Friars Memorable classes or campus events Internships or Study Abroad experiences Campus involvement or leadership roles as a student

27 Providence College no longer distributes a printed course catalog. A full course catalog is available to students online where students may read detailed course descriptions and connect with faculty members directly from the departmental web pages. Do not feel badly if you refer a student to the web pages for course information. Students and faculty appreciate your honesty and will connect with one another through .

28 For those students who stop by the table to collect brochures, encourage them to complete the information on the inquiry cards. Students who provide us with contact information will be added to our mailing list.

29 Some school counseling offices may request a packet of information from your college fair table. At the end of the fair, feel free to provide a few copies of the brochures and the Great Minds booklet to the school counselors.

30 After the fair, collect the completed inquiry cards and please fill out the college fair evaluation form (included in the shipped materials).

31 Mail back the table banner, completed inquiry cards and evaluation form to the Admission Office. We have a limited supply of banners and we have a check-in/check-out system. You will notice a number on the back we ll be in contact if we do not receive your banner!

32 You may place all of these items in the envelope included within your box of materials. Once received, the information about the college fairs will be cataloged and the student contacts will be added to our database.
