1 Teacher Preparation Required: Follow these procedures to prepare your laptop to be stored over the summer. If you experience any difficulties or have any questions while following these procedures, please call the Help Desk at or go to the Help Desk at and create a Help Desk ticket. There are certain folders\files that you will want to backup prior to the summer break. Some of these are the Internet Explorer Favorites, My Documents, and GroupWise Archive. Here are instructions on where to locate these items. The Internet Explorer Favorites folder. 1. On the desktop, double-click on My Computer. 2. Double-click on Local Disk (C:). 3. Double-click on Documents and Settings. 4. Double-click on the folder with your username. 5. The Favorites folder is where the Internet Explorer Favorite links are stored. 2 The GroupWise Archive folder. 1. Open GroupWise. 2. Click on Tools > Options. 3. Double-click on Environment. 4. Click on the File Location tab. 5. Look in the Archive directory: box and notate the file location below. C:\ (write the path here for future reference) 6. Close GroupWise. 7. Go to the My Computer window. 8. Double-click on the C: drive. 9. Navigate to the folder location saved in Step 5 above. You will want to save the entire Archive folder. Location of your documents. If you have saved documents to your computer, they may be in several places. The most common locations are in My Documents and on the Desktop. Technology Services 2 of 5 March 2011

3 1. Go to your Desktop. 2. Right-click on the Desktop and select New > Folder. 3. Name the folder Desktop Documents. 4. Drag and drop all files on the Desktop (such as.xls and.doc) into the Desktop Documents folder. You may also drag and drop Internet Explorer shortcuts and other folders into the folder. Do not put any application icons in this folder. 5. Double-click on My Computer. 6. Double-click on Local Disk (C:). 7. Double-click on Documents and Settings. 8. Double-click on the folder with your username. 9. Double-click on the Desktop folder. 10. There is the Desktop Documents folder you created. Technology Services 3 of 5 March 2011

4 Locate your Music. There are two scenarios for storage of music files on your computer you use itunes to manage the music library for an ios device (ipod, ipod Touch, or ipad) or you do not use itunes. If you use itunes, please see the instructions below. If you do not use itunes, your music will be located in the folder My Documents. itunes Preparation De-authorize the itunes account If your laptop serves as a syncing station for campus equipment, the itunes account must be deauthorized. 1. Open itunes. 2. Choose Store > Deauthorize Computer (in earlier versions of itunes, access this option from the Advanced menu). 3. Select Deauthorize Computer for Apple Account and enter your Apple ID and password. Backing up playlists Go to for complete instructions. 5 Verifying your data Once you have located all the files\folders that you need to save, you can save them to a CD or external hard-drive. After copying the files, you need to verify that you have copied all the data. After you have copied a parent folder (such as My Documents), right-click on the original folder and select Properties. You will see the numbers for Size:, Size on disk: and Contains incrementing. Then right-click on the copied folder and select Properties.
