4 There 1PU R P OS E AN D S COPE is a recognition among leading UK event managers, producers, DMCs, suppliers and venues that over-inflated pricing and/or inappropriate trading practices during the period of time surrounding the Olympic Games and Paralympic Games in 2012 risk doing long-term damage to the international reputation of London in particular as an event host city, to the UK as a host destination and to the UK event industry in terms of its international competitiveness. The 2012 UK Event Industry Fair Pricing and Practices Charter provides a vehicle for its signatories to declare their intentions with regard to such matters during the peak periods of demand in In doing so, these companies are committing to the guidelines set out within this Charter to protect the long-term reputation, image and international perception of London and the UK as premier host destinations and the UK event industry as world leaders in their field. Signatory membership of the Charter provides useful initial selection criteria to event stakeholders intending to request expressions of interest from potential suppliers of facilities, products and services related to their project. The Charter calls on signatory members to abide by a professional code of practice, thus ensuring stakeholder opportunity to obtain outstanding support for all aspects of their project. Although the Charter sets out guidelines for its signatories to be measured against by event stakeholders, it is not a legally-binding document, but rather a firm statement of intent upon which signatories are prepared to risk the good reputation of their companies to deliver. page 6 The 2012 UK Event Industry Fair Pricing and Practice Charter The 2012 UK Event Industry Fair Pricing and Practice Charter page 7

6 3PR ICI NG All signatories to this Charter undertake: that their pricing to be offered during the period of June1 st to September 30 th 2012 will be fair and reasonable, to meet with individual standard and regular year on year increases for the period. not to enter into any cartel or similar arrangement to artificially inflate pricing levels for any goods or services. to accept that the advisory group of the Charter reserves the right to exclude from the Charter membership any company that, in its opinion and after a full audit, has not upheld the spirit, standards and/or intent of the Charter and the right to make such an exclusion known. page 10 The 2012 UK Event Industry Fair Pricing and Practice Charter The 2012 UK Event Industry Fair Pricing and Practice Charter page 11
7 4COD E OF PRACTICE AN D QUALITY All signatories to this Charter undertake: to deal professionally with their clients, employees and suppliers in ways that are consistent, open, decent and ethical and which comply with UK law. to provide a detailed written quotation for products and services to be supplied that meets the client s stated requirements in terms of specification and delivery schedule. to have written agreements in place with all their clients which include specific reference to pricing with details of the scope and specification of work, plus the arrangements for charges and payments. to invoice clients promptly, accurately and in good faith, including reference to quotations submitted and about which agreements are in place. to provide products and services that are fit for purpose and that adhere to and support appropriate health and safety regulations. to provide standard terms and conditions of business that are simple, clear to understand, are made publicly available and which are consistent with the spirit of the Charter. page 12 The 2012 UK Event Industry Fair Pricing and Practice Charter The 2012 UK Event Industry Fair Pricing and Practice Charter page 13
8 5H EALTH AN D SAFETY All signatories to this Charter undertake: to ensure that all systems, procedures and assessments comply with all UK statutory regulation, guidance and good practice for purposes of safety. to ensure that all their staff and personnel under their control are appropriately trained in Health and Safety considerations pertaining to the delivery of the company s products or services, in addition to those concerning the delivery environment and circumstances. to ensure that all of their operators of plant and machinery are appropriately trained, certified and insured. to maintain employer, public and product liability insurances and, where appropriate, professional indemnity cover, each at least in line with legal minimum requirements and which are proportional to the scale of project and associated risks undertaken. page 14 The 2012 UK Event Industry Fair Pricing and Practice Charter The 2012 UK Event Industry Fair Pricing and Practice Charter page 15

12 9B RAN D COMMUNICATIONS AN D CONFIDENTIALITY All signatories to this Charter undertake: to protect their client s brand from misuse, adhering to any guidelines supplied by the client at the relevant time. to honour any written confidentiality or non-disclosure agreement entered into with their clients, and to acquire similar commitments from the project supply chain. In lieu of such an agreement, to treat all sensitive or proprietary client information with responsible discretion. 13 0 AM B US H MAR KETI NG All signatories to this Charter undertake: to avoid unauthorised use of any of the Olympic Games' marks (or any other marks or logos that are confusingly similar to, or likely to be mistaken for them), which they understand is strictly prohibited. that they will not encourage, assist or otherwise support any activity, action or statement by any client or company that they know or suspect impinges upon the provisions set out in section 8.1 afore mentioned. not to make or allow the unauthorised use of their client s name, brand, trademark or details of their project for the purposes of self-publicity or marketing. page 24 The 2012 UK Event Industry Fair Pricing and Practice Charter The 2012 UK Event Industry Fair Pricing and Practice Charter page 25
