1 Job Description: June 2, 2015 Reports to: Director of Programs, Marketing & Communications The of the New Orleans Jazz & Heritage Foundation will work with the Director of Programs, the Executive Director, Board of Directors and fellow staff members to ensure that all public events of the Foundation are staged in a professional and engaging manner. Working within approved budgets, the will oversee the technical production of public presentations in cultural enrichment, education and economic development, making sure that all participants from presenters and performers to audience members enjoy a seamless, stress-free presentation. The production manager will have primary responsibility for the technical production of the Foundation s free festivals, jazz concerts, conferences and educational programs, student performances, media events and other events to which the public is invited. The production manager also will be the primary technical coordinator for events in the George and Joyce Wein Jazz & Heritage Center, whether these are programs of the Foundation and/or its partners, or events for which the venue is being rented to outside groups. The production manager also will oversee the equipment in the Jazz & Heritage Center, maintaining an inventory of all items and working with the Programs Director and Education Coordinator to make sure that the facility is adequately set up for the Don Moose Jamison Heritage School of Music. The production manager also will assist the Director of Programs, Marketing & Communications, the Archivist and other staff to ensure that all of the Foundations events and other programs are adequately documented in video and/or audio, facilitating all recording as well as any broadcasts. This position requires a combination of technical skills, professional experience and self-motivation. The ideal candidate will be primarily a stage hand and technical producer, but with the ability to serve as master of ceremonies if needed. He or she will have the cell phone numbers of most local musicians and also be able to draw their stage plots if needed. He or she will be able to run a recording session, and to interact pleasantly with clients. This is a technical, behind-the-scenes position. It is not a marketing or programs development position. But it will require creative problem-solving. And it would be helpful for the candidate to be passionate about the Foundation s mission of cultural enrichment and education.
2 2 Job Description Page 2 Primary Responsibilities/Duties 1. Festivals, Concerts and Other Events Off-Site a. Site Management i. Venue Rental 1. Coordinate, in consultation with the Programs Director and Executive Director, the selection and rental of parks, theaters or other venues for festivals, concerts and other events produced by the Foundation. 2. Schedule venue usage and facilitate all applications, contracts or other documents needed to rent the facilities. b. Permitting i. Manage the process of securing any permits needed for use of public parks, streets or other locations. 1. Complete and submit permit applications 2. Provide information as needed to city and state agencies a. Attend inter-departmental meetings at City Hall b. Provide complete contact information for all food and craft vendors for sales tax collection c. Artist Liaison i. In consultation with the Programs Director and Executive Director, facilitate the execution of all performance agreements ii. Serve as primary liaison between the Foundation, artists and production (sound, lights, backline, travel) to ensure a smooth event: 1. Communicate with artists representatives for technical advance of each performance, including: a. Technical requirements i. Sound ii. Lights iii. Backline b. Travel, lodging and hospitality c. Secure approved photos, bios, recordings, videos or other materials for marketing the event 2. Manage the supply or rental of all necessary instruments or equipment for artists performances 3. Manage securing of all necessary transportation and lodging, including: a. Working with travel agent to secure air travel as needed b. Oversee coordination of local ground transfers c. Oversee coordination of lodging and hotel services d. Facilitate placement/supply of tour busses d. Technical Direction i. Oversee, in consultation with the Programs Director and Executive Director, the process of securing all necessary technical equipment for staging a successful event, whether indoor or outdoor, including but not limited to: 1. Manage the Site Map a. Produce, maintain and update as needed an overall schematic diagram of site usage 2. Contracting for necessary equipment, including soliciting multiple bids for services and facilitating the execution of all contracts for: a. Stages b. Sound and lighting systems

Take primary responsibility for the proper use, care and maintenance of all facilities rented by the Foundation ( first one in, last one out ). 2. Liaison with Parks Department or other interested parties (eg: neighborhood organizations) 3. Overall direction of festival infrastructure, including delivery, placement and removal of stages, tents, electrical and other equipment, supplies or materials. 4. Liaison with other Foundation departments and staff for the smooth operation of each event a. WWOZ broadcasts b. VIP, sponsors and hospitality c. Merchandising Operations d. Food Operations e. Arts Market Operations f. Beverage Concessions g. Volunteers h. Hospitality/catering i. Lodging j. Transportation k. Donation boxes l. Security m. Fire Department n. Homeland Security o. Clean-up f. Documentation of Foundation Programs and Events i. In collaboration with the Programs Director, Archivist and Executive Director, ensure that all Foundation programs, events and other activities are properly documented in photographic and video/audio formats; negotiate service agreements with photographers and videographers, including rates, copyright ownership, fair uses of such materials and other related issues ii. Ensure that all photo, video and other documentation of Foundation programs, events and activities are transferred to the Jazz & Heritage Archive in a timely 3

Create and maintain databases of participants (and, when possible, attendees or other stakeholders) in Foundation programs, events and activities 2. Jazz & Heritage Center Technical Supervisor a. On-Site Management i. Take primary responsibility for the proper use, care and maintenance of all facilities of the Foundation ( first one in, last one out ). b. Primary responsibility for technical equipment relating to public events i. Oversee the proper use and maintenance of Foundation assets 1. Sound and light systems 2. Recording systems 3. Video systems 4. Instruments, amplifiers ii. Maintain inventory of all assets iii. Train in the proper use of all facilities and equipment iv. Oversee a pool of properly trained engineers for hire to staff events and projects 1. Schedule technical staff as needed and oversee production c. Technical supervisor for all programs and events in the Jazz & Heritage Center, including but not limited to: i. Jazz & Heritage Foundation Programs, including but not limited to: 1. Jazz Journey Concerts 2. Heritage School of Music 3. Sync Up Conference 4. Tom Dent Congo Square Lecture Series 5. Catapult Fund 6. Media events 7. Board and committee meetings ii. Programs involving Jazz & Heritage Foundation partners or clients, such as: 1. Receptions and parties iii. Rentals 1. Serve as primary technical liaison between the Foundation and rental clients to ensure that all production requirements are met, including: a. Sound b. Lights c. Projection d. Video/audio capture or broadcast e. Seating configurations f. Tables, chairs, tents g. Catering h. Parking i. Security 2. Serve as Foundation s on-site representative for all rental events a. Opening and closing the facility b. Security (including providing for the security of all equipment) c. Clean up iv. Recording Sessions

In coordination with the Education Coordinator, Programs Director and Executive Director, ensure that the Jazz & Heritage Center is equipped, supplied and configured for the proper use of the facility by the Heritage School of music, or other educational programs authorized by the Foundation i. Seating ii. Music stands iii. Audio and video equipment iv. Instruments and amplifiers v. White boards and other miscellaneous supplies b. Manage inventory and proper maintenance of all equipment and supplies c. Assist the Education Coordinator, Programs Director and Executive Director in scheduling educational programs, and facilitating all technical services i. Heritage School of Music ii. Education programs involving Foundation partners 1. Music instruction 2. Sound recording 3. Audio engineering 4. Music and video editing 5. Cultural traditions d. Documentation of Foundation Programs and Events i. In collaboration with the Programs Director, Archivist and Executive Director, ensure that all Foundation programs, events and other activities are properly documented in photographic and video/audio formats; negotiate service agreements with photographers and videographers, including rates, copyright ownership, fair uses of such materials and other related issues ii. Ensure that all photo, video and other documentation of Foundation programs, events and activities are transferred to the Jazz & Heritage Archive in a timely manner, including proper documentation of rights agreements with photographers, videographers, interviewers and participants iii. Create and maintain databases of participants (and, when possible, attendees or other stakeholders) in Foundation programs, events and activities Minimum Requirements: Bachelor s degree Five years of experience in event production Excellent written and verbal communication skills Microsoft Office tools (Word, Excel, PowerPoint) Working knowledge of professional audio, lighting and recording systems, musical instruments and amplifiers 5
