3 Introduction The following document is intended as a tool by which the configuration requirements of PGDS is defined, specifically the Hardware Build and the application of asset tags required by PGDS to be affixed to their equipment as well as the capture of this information and the MAC addresses. Once initial configuration information is agreed and signed off, the document will be deployed. This ensures that at all times, both XMA and PGDS are in agreement and up-to-date with all changes. The delivery of a quality service is paramount throughout all departments of XMA, escalation procedures and quality checks monitor the service provided to maintain customer satisfaction. 6 Asset Tagging Process PGDS currently have 4 different ranges of rumbering for their asset stickers: A2xxxxx A3xxxxx A4xxxxx A7xxxxx Laptops, Printers, Tablets, External HDD s, Projectors, Apple TV Desktops Monitors & TV s Thin Clients Laptops: Laptops, Printers, Tablets, External HDD s and Projectors will be assetised with a Tag starting A2XXXXX Currently laptops are assetised on the base of the machine in the corner between the battery compartment and the Windows COA. The attached photo is of a Lenovo X230. The attached photo is of a Lenovo T430.

7 Laptops Continued: The attached photo is of a Lenovo X1 Carbon. The attached photo is of a Toshiba Portege Z930.

8 Dell Desktop: Desktops will be assetised with a Tag starting A3XXXXX The current Dell desktops need to be tagged at the front above the USB ports. The photo is of a Dell 7010 Optiplex. Printers: HP Printers will be assetised with a Tag starting A2XXXXXX The asset tag shall be placed underneath the HP Logo. The attached photo is of an HP Laserjet M602x.

9 Apple ipad: Apple ipad s shall be assetised with a tag starting A2XXXXX The asset tag shall be placed below the Apple logo on the back of the device. The attached photo is of a 4th Gen ipad. The attached photo is of an ipad Mini. Projectors: Projectors shall be assetised with a tag starting A2XXXXXX The asset tag shall be placed on the underside of the device on a non removable part as per the image. The attached photo is of an NEC Projector. The attached photo is of the 3M Pocket Projector.

10 Monitors & TV s: Monitors & TV s will be assetised with a Tag starting A4XXXXX The asset tag shall be placed on the back of the monitor at the top to the left of the NEC logo. The picture shown is of an NEC E2233W 22 Monitor. Thin Clients: Thin Clients will be assetised with a Tag starting A7XXXXXX The asset tag shall be placed on the black slot on the side of the unit as per the photo. The attached photo is of an HP T610. All asset details are logged into to the XMA Asset Management System and these are also available for reporting purposes via our online procurement tool, Shop.Xma.co.uk.

11 Useful Information Asset Tag Replenishment Process XMA to notify PGDS when each range of Asset Tags reaches a minimum stock holding level of 100 tags. PGDS will then request the stock to be replenished, advising the quantity and sequence required and XMA will obtain pricing from 3M. Once the order is placed, 3M will send through the Proof (image on the right) to be checked and signed by PGDS. Standard Asset tags PGDS order 3M Barcoded Durable Silver Polyester tags, 100% laminated in Black & Red (50mm x 25mm) USB Flash Drive Asset tags PGDS order 3M Polyester Laminated Tags, 100% Laminated in Black & Red (25mm x 15mm) as per the image to the right. XMA initially provide the asset tags to PGDS. The USB Flash Drives are delivered untagged to PGDS OSS, OSS then tag themselves. PGDS do not want Property of PGDS printed on these asset tags. Asset Tag, Serial & MAC Address Actions The MAC addresses should be captured for all: Dell Desktops Lenovo Laptops HP Thin Clients This data must be captured in the Asset Manager. If a product does NOT require a MAC address capture, then a blank field barcode (NO MAC) can be used to speed the capture of the data, as the field is still available in the Asset Manager. A DESPATCH LIST must be printed for all orders. This is a list of all serial numbers and asset numbers pertaining to that order. This is attached to the product, and attached to the final despatch by the Warehouse despatch team
