2 1. Introduction The Media Press Centre will be located in the Parque de las Mujeres Argentinas (Argentine Women s Park), adjacent to the Hilton Hotel, the venue for the 125 th Session. The MPC will be available from 1 to 10 September The Local Organising Committee (LOC) will provide the media with a range of products and services in the MPC. We are looking forward to welcoming you to Buenos Aires. Please find a list of products and services available for hire. 2. Products The deadline for placing your order is 28 June Note: Rates are in US Dollars (VAT included) and for the whole period (1 to 10 September 2013). a. 4 Terms and Conditions The standard rental period is from 1 to 10 September 2013 (total of 10 days). Prices and taxes The prices are in US Dollars and VAT is included. All payments must be made in US Dollars. The full payment must be received by 1 August The Local Organising Committee (LOC) reserves the right to revise any products or prices in Press Rate Card A if there is a significant change in the demand for services or a significant change in market conditions and exchange rates. Prices include technical support and services. Prices do not include insurance. All risk or loss, damage or destruction will be the user s responsibility. Order deadlines There is an order deadline of 28 June 2013 for all services in this Rate Card. Orders can be sent by to the LOC. The LOC will confirm order through a statement of confirmation. Orders will only be initiated after receiving full payment by credit card or bank transfer. Late orders are subject to inventory limitations and may be subject to a lateorder fee. The LOC reserves the right to accept or reject any late orders. Changes to original orders Any additions or modifications to original requests must be submitted in writing. They will be studied on a case-by-case basis without the guarantee of approval or availability. If modifications or changes to original requests are approved, additional charges may apply. Payment The full payment by VISA credit card or bank transfer must be received on or before 1 August 2013, upon receipt of the statement of confirmation. If payment has not been received by this date, all confirmed orders will be cancelled by the LOC. Fax: ratecard@buenosaires2013.com 4

5 Cancellations The following policies apply for every request: From the date requested until 28 June 2013, no cancellation fees apply. From 28 June to 1 August 2013, 50% will be charged. From 1 August, 100% will be charged. Operational periods During the operational periods, the LOC will accept bookings, subject to availability, at the Rate Card Service Centre located within the IBC/MPC. Bookings can be confirmed only with 100% payment. Cancellation fees will apply. Rate card administration The LOC will operate a Rate Card Service Centre located at the IBC / MPC from 9 a.m. to 6 p.m. from 1 to 10 September Please indicate special requests for additional office equipment or other comments. Feel free to contact us directly at ratecard@buenosaires2013.com Check-in & check-out procedure Upon arrival, a representative from each Media organisation shall confirm, in writing to the LOC, the acceptance of all Rate Card products ordered. Upon departure, the representative is required to formally return items to the LOC, which acknowledges receipt thereof. If the check-out process is incomplete, the full replacement value of the products in question must be paid upon request from the LOC Acknowledgement of responsibility For each product on the Rate Card, the following terms and conditions apply upon the LOC s receipt of your order and payment, to be confirmed at delivery: We will be fully responsible for any Rate Card goods and services while they are in our care and will return the goods to the LOC in the same condition, except for reasonable wear and tear, as we receive them. If any goods in our care are damaged, stolen or lost, we will immediately notify the LOC and pay, upon request, the full replacement value of the products. The description, availability and price of certain products in the Rate Card may change and we will now hold the LOC liable for any charges, except 5

6 for reimbursement by the Organising Committee, of any payment already made by us for products that it cannot provide. Upon receipt or the products we paid for, we will satisfy ourselves that they are in working order and comply with the description in the Rate Card and advise the LOC immediately in writing if this is not the case. Such notification should be sent to using our order number. If so notified, the LOC will repair or, subject to availability, provide an equivalent replacement or provide a refund for any such product. Other than what is required by law, the LOC will have no other liability to us for any matter connected with the Rate Card or the goods and services, whether for breach of its terms, negligence or otherwise. 6
