3 Purpose of This Document This document is designed to provide users of certain Canon, Océ, and ecopy-branded products and solutions with the necessary information to help their organization evaluate and manage risks associated with Microsoft Corporation's announcement surrounding the discontinuation of support for the Microsoft Windows XP SP3 operating system (also known as Windows XP Professional). Overview After 12 years, Microsoft s support of the Windows XP Professional operating system has come to an end. Microsoft Corporation announced the discontinuation of support for Windows XP SP3 (Professional) effective April 8, While your Windows XP Professional system will continue to operate, an unsupported version of Windows will no longer receive software updates from the Windows Update feature of the OS. These include security updates that can help protect your PC as well as the latest software updates designed to improve the reliability of Windows. While support for Microsoft Windows XP Professional has been discontinued, Microsoft Corporation will continue to support the Windows XP Embedded operating system (also known as Windows XPe) until January 12, Click here for more information from Microsoft Corporation relative to Windows XPe. 6 Migration Options Canon Solutions America is committed to ensuring our customers derive the maximum benefit from their technology investments. With technology constantly advancing and ever present security risks, the ability to adapt to changing requirements while minimizing the costs associated with product and services enhancements is critical to achieving company performance and profitability goals. Canon Solutions America recognizes these challenges and strives to build migration options that help our customers take advantage of technology enhancements, while protecting existing investments. To that end, Canon Solutions America is pleased to offer optional Upgrade Kits to existing EFI Fiery and Creo-based print controllers, as well as multiple upgrade options for ecopy ScanStations and general purpose PC s. While each of the Upgrade Kits offers varying degrees of new feature / functionality enhancements, as well as physical components (RAM, graphics card, etc.), every kit includes an upgrade to a supported Microsoft operating system including; Windows 7 Professional for Embedded Systems (FES) or Windows XPe (FES). Migration options for ecopy StanStations include: 1. Transfer of the ecopy ShareScan license from the ScanStation hardware to an embedding ecopy license, running directly on the Canon imagerunner device. 2. Upgrade of the operating system on the existing ecopy ScanStation to Microsoft Windows 7 Professional. 3. Replacement of the ecopy ScanStation hardware to the latest hardware configuration (workstation, OS, stand, touchscreen monitor). With each of these options, the ecopy ShareScan software must be upgraded to version 5.1 or higher. Customers with an active ecopy software maintenance agreement (SMA) are entitled to receive the latest version of ecopy software (currently version 5.2) free-of-charge. Migration options for general purpose PCs may include: 1. Upgrade of the operating system on the existing hardware platform, to Microsoft Windows 7 Professional and reinstallation of the hosted software. 2. Replacement of the general purpose PC and reinstallation of the hosted software. With both options, the hosted software must be analyzed to validate compatibility with the new operating system. In the event the hosted software is not compatible with new OS, a newer version of the hosted software may be required. 6

7 Frequently Asked Questions 1. Which Canon print controllers are impacted by Microsoft s support discontinuation announcement? Canon controllers that leveraged Windows XP SP3 (also known as Windows XP Professional) are the only controllers impacted by this announcement. Any controller that leverages Windows XP Embedded (XPe) will not be affected, as Microsoft will continue to support Windows XPe until January 12, Please see page 3 of this document for a complete list of print controllers that leverage Windows XP Professional. 2. Are upgrades available to migrate my print controller from Windows XP Professional to an operating system that is supported by Microsoft? Canon invests a significant portion of our annual revenues into the research & development necessary to bring new and innovative products to our customers. Together with our industry partners, we also continually monitor and respond to changes that impact our technology business so as to ensure our customers are able to adapt to these changes as they arise. When Microsoft communicated their intention to move away from Windows XP Professional, in favor of Windows 7, Canon and our partners developed product architectures that leveraged this new platform. Additionally, we developed plans to enable existing systems to migrate to the new platform. Where feasible, Canon has developed Upgrade Kits to enable our existing customer base to migrate to the newer platform, in order to take advantage of new features, functionality and operating systems. 3. Does the hardware maintenance contract on my Canon print device include the upgrade? While firmware updates to the print engine are included with the hardware maintenance agreement, upgrades which introduce new functionality and/or include new OEM license requirements are considered fee-based options. 4. My print controller utilizes Windows XPe. Is this version also impacted by Microsoft s support discontinuation? No. Any controller that leverages Windows XP Embedded (XPe) will not be affected, as Microsoft will continue to support Windows XPe until January 12, The list of Canon and Océ products using Windows XPe and not affected can be found on page 4 of this document. 5. Will Canon Solutions America continue to support my Windows XP Pro based print controller, even though Windows XP Pro is no longer receiving OS updates from Microsoft? Yes. Canon Solutions America will continue to provide maintenance service and software support consistent with our contract obligations. 6. Who installs the print controller upgrade? Is this something I can install on my own? Print controller upgrade kits can involve both hardware (RAM, graphics card) as well as software (new OS, system software, drivers, user software, etc.) Given the complexity of the installation, it must be installed by a Canon Solutions America engineer that s certified on the specific system. 7. How long does it take to install a print controller upgrade kit? Because each customer situation is different (controller type, environment, training, etc.) the required labor to install the controller upgrade Kits will vary. Some of the factors that can contribute to longer install times include: data backup requirements, training on new features/functionality, new color profile creation, etc. Typical labor times range from 4 to 8 hours. 7

8 8. Beyond the migration to a new (supported) operating system, what other benefits do the Upgrade Kits provide? The new features and functionality of the Upgrade Kits will vary based upon the print controller models. Many of the Upgrade Kits for the imagepress production engines include a new operating system as well as new System Software. The System Software enhancement (V9 to V10) introduces ma ny new features that improve productivity, workflow, and usability. Please contact your Canon Solutions America sales representative to learn more about the specific feature/functionality enhancements of these kits. 9. Will the installation of the Upgrade Kit have any effect on the color management of my imagepress device? Upgrading your imagepress Server with the print controller Upgrade Kit may require the creation of new color profiles. This is because Windows 7 handles color differently than Windows XP. Also, the new System Software (v10) manages color differently than System Software v My ecopy solution is currently running version 4.x. Can I simply upgrade the operating system on the ScanStation to Windows 7? Unfortunately, ecopy versions prior to v5 do not support Windows 7. There are a number of approaches to upgrade an ecopy ScanStation including: ecopy Hardware Upgrade Kit (new CPU, new 15 touchscreen monitor, new style Scanstand). Existing ecopy ShareScan license is transferred to the new ecopy hardware* Windows 7 software upgrade only (requires a current model ScanStation PC capable of supporting the Microsoft Window 7 operating system)* Transfer the license to an ecopy embedded version, and run ecopy ShareScan directly on the imagerunner MFD* *Requires an active software maintenance agreement (SMA) on the ecopy ShareScan software. 11. How do I get more information on the upgrades, including the benefits of each upgrade kit? Please contact the Canon Solutions America national help desk at to discuss the upgrade kits for the various models as well as the anticipated amount of time required to complete the installation and train users on new features and functionality. 12. For general purpose PCs that currently host solutions from Canon Solutions America, can I purchase my own OS upgrade and install it? While customers can certainly acquire and install OS upgrades without the assistance of Canon Solutions America, it is strongly recommended that you engage our Professional Services team to assist with the reinstallation and/or upgrade of the host software. This will help to ensure the system is effectively configured for the new environment, configuration files and user data are properly transferred, and performance of the system is tuned for the new OS.
