5 GENERAL INFORMATION 1 1. General Information 1.1 Purpose The PTPhoneManager II program is used to configure one or more PTCarPhone(s). There are two basic transmission paths for configuration: configuration through data recall and configuration via an FTP server. The choice of which transmission path to use, is dependent on the PTCarPhone version and the user s preferred version. Configuration can only take place via an FTP server if the PTCarPhone that is to be configured contains software version or higher. This software can be used to carry out the following activities: Add, edit and remove phone directories Set operation modes Lock and release numbers in the phone s internal directory Assign short dial keys for directory entries Upload configuration files onto the FTP server 1.2 Preconditions for the system The system must fulfil at least the following preconditions, in order for the program to operate correctly: Intel Pentium 4 Processor/1 GHz or equivalent at least 256 MB RAM at least 50 MB free hard disc Microsoft Windows XP, Vista operating system RS232 or USB interface Screen resolution: 1024 x 768 Correct display of the program in Windows XP can only be guaranteed if the Windows XP stiles are used at 96 dpi (dots per inch). 1.3 Data transmission between computer and phone Data transmission between the computer and PTCarPhone is carried out via a GSM modem that is included in the scope of delivery. This modem is connected to the computer s serial or USB interface. PEI TEL Communications GmbH - PTPhoneManager II - 5 -

6 GENERAL INFORMATION Database The software manages the address and phone directory entries via an external database. The file name of this database is "PHONEMANAGER.fdb" and is saved onto your computer in the following directory when the software is installed: C:\Documents and Settings\All Users\Documents\Peitel\PTPhoneManagerII The specified directory may have a different description depending on your Windows operating system. The software accesses this database as standard with each action. 7 INSTALLATION 2 2. Installation 2.1 General information With this CD, the software is always installed first. The program is activated at a later stage. Directory/File Content This file contains the auto-start menu. This file is the configuration file for the auto-start menu. This file contains all the important documents relating to the PTPhoneManager II in PDF format. Installation file: Contains the PTPhoneManager II installation wizard and its components. Please use the installation wizard to install the software. The installation wizard is started automatically when you click on "Installation" in the auto-start menu. If the auto-start function is deactivated, launch the installation wizard by double-clicking on the "setup.exe" file on the CD. PEI TEL Communications GmbH - PTPhoneManager II - 7 -

8 INSTALLATION Installation procedure Once the setup is complete, the following dialogue box will appear: Figure 1 Select your preferred language. The language choice is selected for the program. 10 INSTALLATION 2 Figure 5 At this stage of the installation, you need to choose between two variants: Complete installation (with program description in PDF format - recommended) User-defined installation (without program description in PDF format) Select the components that are to be installed and confirm with "Next". 11 INSTALLATION 2 Figure 7 Now you can choose the location where the installation wizard should define a shortcut for launching the software. Confirm your selection with "Next". Figure 8 The last installation step allows you to check your entries. If you would like to correct or change one or more steps, click on "Back" until you reach the desired installation step. Correct your entry and continue the installation procedure. Clicking on "Install", installs the software on your computer. PEI TEL Communications GmbH - PTPhoneManager II

12 INSTALLATION 2 Figure 9 If you are installing the software on a computer on which it has already previously been installed, the installation wizard may find an existing database with address and phone directory entries. If this is the case, the above warning message is displayed. Click on "Yes" to overwrite the existing database and to install a blank database. Warning: All database entries from previous PTPhoneManager II installations will be deleted. Click on "No" to retain the existing database and use it with the software. Starting the program and licensing 3.1 Connecting and installing the GSM modem Connect the supplied GSM modem to your computer as per the following instructions in order to use it with the PTPhoneManager II: Install the supplied driver for the RS232 - USB adapter and configure this on the desired COM port. 15 PROGRAM START UND LICENSING Inserting the SIM card When you have connected and installed the GSM modem as per section "3.1 Connecting and installing the GSM modem", the modem is ready for operation. To operate the GSM modem, you require a valid SIM card. This can be obtained from your provider. The SIM card stores all the important information relating to your connection. If you are supplied with a credit card format SIM card, please pull out the small section and remove any left-over plastic. Note: Only insert the SIM card when the device is switched off, i.e. when it is not connected to the mains power supply. Please take care to place the SIM the right way round in the card tray. The SIM card tray can be pushed in easily, it does not require a lot of force. PEI TEL Communications GmbH - PTPhoneManager II

16 PROGRAM START UND LICENSING Starting the PTPhoneManager II Before starting the PTPhoneManager II, please ensure your GSM modem is connected to your computer with an inserted SIM card and the modem is activated Licensing When first starting the PTPhoneManager II, the program is automatically licensed as a demo. You can see this in the program description in the title bar: The demo version of the program offers all the functions of the full version apart from three restrictions. The demo version has the following restrictions: only one phone can be assigned to the "Phones" list a maximum of 10 address entries can be assigned no data can be transmitted In order to be able to assign an unlimited number of phones and address entries, and to be able to transmit data, you will need to license the program. To do this, click on the "Licensing" button in the menu bar. The input field for the serial number and the activation code appear: In the "Serialnumber" input field, enter the supplied serial number (consists of nine digits), and enter the supplied activation code in the "Key-Code" field (consists of 16 characters, letters and digits). Confirm your input with "Apply". If you have entered a valid serial number and a valid activation code, the input window will close and a dialogue box will appear confirming the program has been licensed. Furthermore, the program description in the title bar changes from "PTPhoneManager II Demo" to "PTPhoneManager II" If you enter an incorrect character, the wrong serial number and/or the wrong activation code, you will receive a message to say that one of the entries was incorrect. 17 PROGRAM START UND LICENSING Establishing a connection After you have licensed your PTPhoneManager II, you have to carry out a "Modem and network dialin" before you are able to transmit data. It serves to ensure the following connections are secure and is required each time the program is started: Computer - Modem Modem Provider The modem and network dial-in is launched with the "Modem dial in" button in the bottom-switchpanel. If the modem and network dial-in is successful, the button changes to "Transmit changes", which you can click to start the first data transmission. Note: Please only use the PTPhoneManager II with the modem supplied. If you wish to use a different modem PTPhoneManager II for the modem and network dial-in, the program is reset to the demo version. Database entries are not lost. Menu description 4.1 Title bar The PTPhoneManager II does not have a windows framework, so all the system functions such as scroll, maximise, minimise and exit are available on the title bar. 4.2 Menu bar File o Import addressbook from Outlook o Import addressbook o Export addressbook o Save database o Restore database o Fullscreen o Window o Minimize o Exit Settings o Modem/server settings o Language English French German Licensing? o Help o Information about PTPhoneManager II 4.3 Settings The "Settings" button in the menu bar opens the "Modem/server settings". 19 MENU DESCRIPTION Modem test and network dial-in The "Modem test and network dial-in" tab allows you to check whether your modem is properly connected to the computer. Furthermore, you can also view the network status and the reception quality. If you receive an error message, this is displayed in the left output window. The right output window only shows whether your modem is registered on the network COM-Settings The "COM-Settings" are needed for the configuration of the supplied GSM modem. The program's preset values are configured as a modem for the PTCarPhone. COM port: Select the port to which your GSM modem is connected. Baud rate: Select "115200". 20 MENU DESCRIPTION FTP settings On the "FTP settings" tab you can make all the necessary settings for your FTP server. From version V , the PTCarPhone II allows you to carry out the configuration - as well as the phone directory entries, operation mode etc. - of the device via a configuration file that is located on an FTP server. All settings that you make via the PTPhoneManager II on your phone are recorded in a file and stored on the specified FTP server. This file can then be read by the PTCarPhone II using GPRS download. Several PTCarPhone II units can then be compared in a significantly shorter period of time. In order to test the accessibility of the FTP server, click on "Test". If the following dialogue box appears, the FTP server can be accessed: Note: Activating the "Test" button only checks the connection to the server. The correct username, password and storage folder of the file are not tested. PEI TEL Communications GmbH - PTPhoneManager II

21 MENU DESCRIPTION Directory PC The "Directory PC" consists of two elements: Button bar List of address entries The "New address", "Edit" and "Delete" buttons can be used to create, edit or delete new address entries in the addressbook. The functions of these buttons always relate to the selected entry (marked in blue). The "Search" button activates the search field. The search function allows you to search by name. Editing an address entry can also be called up by double-clicking on the address entry that is to be edited. Furthermore, you have the option of transmitting several address book entries into one phone simultaneously using Drag&Drop. To do this, press and hold the "Ctrl" key while selecting the addressbook entries to be transmitted using the mouse. If an addressbook entry is ready to be transmitted to a phone or if it has already been transmitted, it appears in green. The precondition is that the phone that should/has received the address entry is selected in the "Phones" list 4.5 Phones "Phones" is made up of two elements: Button bar Phone tree In the "Phones" column, all the saved phones are listed in a tree structure. The saved phones can be grouped together for a clearer overview. The following elements cannot be deleted from the "Phones" column: Main folder: "All phones" "New group", "New phone" and "Delete" allow new groups and phones to be saved and deleted. The functions of these buttons always relate to the selected element (marked in blue). Clicking on "Search" activates the phone search field. Saved phones can be moved from one group to another using Drag&Drop. Whole groups cannot be moved. PEI TEL Communications GmbH - PTPhoneManager II

22 MENU DESCRIPTION Edit screen The edit screen (highlighted in green) changes in the "Phones" column depending on the element selected. The following edit screens are available: Set up a new phone: Press the "New phone" button Display the phones in a group: When selecting a group in the "Phones" column Display the phone settings as well as other directory entries Display all the items that have not yet been transmitted to the phone 4.7 Bottom-switch-panel The bottom switch panel contains the "Transmit changes" and "Exit" buttons. If a new phone is saved or the settings of a phone are changed, the "Transmit changes" button in the bottom-switch-panel is available. The program is ended with "Exit". If changes were made to the phones and these are not transmitted, the following question appears: By confirming this question with "Yes", the edit screen of the transactions appears and the program end procedure is interrupted. By clicking "No", all the changes that are to be transmitted are saved and the program is ended. PEI TEL Communications GmbH - PTPhoneManager II

23 MENU DESCRIPTION Transaction list The transaction list is a summary of all the changes. All the changes to the phone settings made by the user are saved and displayed in this list. This way, the list assigns each change that is made to the corresponding phone. If the user has edited the phone settings, for example, and then made changes to the other phones, with all future changes the phone will search for this phone according to already available entries, and will assign it to these. Before the transmission is made, the list is automatically optimised. This ensures that each phone only needs to be selected once for all changes to be transmitted. If settings were changed by phones or their directories, the "Transmit changes" button is displayed in the bottom-switch-panel. You can decide at any time whether the changes made should be transmitted at this point or whether you would like to continue editing this phone or another one. The edit screen of the transaction list is opened using "Transmit changes". The "Transmission" list lists all the phones to which changes are made. The list provides the following information: the checkbox in the phone column displays whether the phone is selected for the transmission "Phone": displays the name and number "Mode of transmission": displays the way in which the changes are transmitted "Action": displays how much of the transmission has been carried out "State": displays the transmission status of the phone s changes The checkboxes at the start of the line allow the user to choose whether or not the phone should be selected for transmission of its changes in the current transaction. Phones that are not ticked are not included in the transmission procedure. By double-clicking on an entry, the "Action list" (detail list) of any phone can be viewed. 24 MENU DESCRIPTION Action list The "Action list" displays all the transmissions that are relevant to the selected phone. Note: Individual transmission actions rely on each other for correct operation of the PTCarPhone. By clicking on "Close" you are returned to the transaction list. Clicking on "Start" launches the transmission procedure from the data to the phones. The transaction list works through all the transactions in the transaction list in order and marks the entry in the Status column with the corresponding transmission result. The transmission action that is currently underway is displayed in the action column. If you would like to cancel the transmission procedure, press "Stop". The transaction list ends the current command and then stops the transmission. This procedure may take some time. This is necessary for the current transmission to end correctly and so that the cancellation of the connection does not send any incomplete or incorrect data to the PTCarPhone. If the transmission procedure is cancelled by the user or due to a connection error, the overall transaction list for the phone is retained. Actions that have already been successfully sent are not deleted from the list. PEI TEL Communications GmbH - PTPhoneManager II

25 MENU DESCRIPTION 4 For a PTCarPhone from version V , a directory transmission can be carried out via an FTP server. If this option is selected in the phone settings, the transaction list defines two transactions for a phone with the corresponding changes. The first transaction relates to the transmission of a new directory on the specified FTP server. The second transaction selects the phone via data call and communicates the file download command from the FTP server (via GPRS). The transaction list automatically ensures that the transaction of the file to the FTP server takes place before the data call is carried out. If some of the transactions could not be carried out or if the transaction list for transmission of changes could not be called up by the user, the program indicates this with the following dialogue box when it ends: Clicking on "No" saves all the changes that are to be transmitted and the program ends. If this request is confirmed with "Yes", the following dialogue box is displayed and the ending procedure of the program is interrupted. The dialogue box for launching the transactions is displayed. If confirmed with "Yes", the transmission is automatically started immediately. If "No" is clicked, the edit screen of the transaction list is displayed as it is when the "Transmit changes" button is pressed. The transaction list can be edited in the usual way and the transmission of changes can be started. If the program is ended without transmitting the changes or parts thereof, all the open actions are saved for each phone. PEI TEL Communications GmbH - PTPhoneManager II

26 USING THE PROGRAM 5 5. Using the program 5.1 Addresses All the addresses and phone numbers of the PTPhoneManager II are managed in the "Directory PC". The numbers added here can be assigned to the directories. Note: Direct input of a number in the settings of a PTCarPhone is not possible Saving a new address To save a new address, click on "New address". The following input window is opened: The "Phone" and "First name" or "Name" fields are compulsory fields. All further details such as "Company", "Zip", "City", "Street", "House number" and "Notes" can be filled out as desired. The "Name" field is automatically completed when the first name and/or last name is/are entered. When changes are made to the first name or last name, the name is automatically corrected. The name appears as "last name, first name"by default. You can select further options from the drop-downmenu of the name. Furthermore, you can enter text in the "Name shown" field. The system allows just 16 characters to be entered in the "Name shown" input field. The name is displayed in the same way here as it is later on in the display of the PTCarPhone. Tip: It is recommended that phone numbers are always entered with the international dialling code (e.g.: ). This way, you can ensure that the numbers can also be reached from abroad or while you are abroad. With "Add and close", the entry is transmitted as a new address entry in the database and the "Edit contacts" window is closed. With "Add address", a new entry is added in the database as a new address, but the "Edit Contacts" window remains open. PEI TEL Communications GmbH - PTPhoneManager II

27 USING THE PROGRAM Editing an address You can edit an address by double-clicking on an address entry or by clicking on "Edit". Changes to the names and/or phone numbers are automatically transmitted to the directories Deleting an address With "Delete" or the "Del" key you can delete an address entry after confirming the confirmation dialogue. Clicking on "OK" automatically deletes the address entry from the database of the "Directory PC" as well as from all the phone directories. Clicking on "Cancel" cancels the delete procedure Searching for an address Clicking on "Search" displays the address search input field. This function allows you to search by first name, last name and phone number. The search is not casesensitive. Pressing allows you to hide the search field. 28 USING THE PROGRAM Groups In order to make it easier to view and edit your phones, you can create and save groups Saving a new group A group is saved as a sub-group of the main "All phones" group. A new group can only be created when the main "All phones" group is selected. Clicking on "New group" in the "Phones" list brings up the following dialogue box to allow you to create and save a new group: Clicking on "OK" transmits the new group to the database. By clicking on "Cancel", all the entries are discarded Editing a group Clicking on a group changes the edit screen on the right-hand side of the program to the group view screen. All phones in this group are displayed here. You can rename the group name using the group name input field. Double-clicking on a phone takes you straight to the directory. 29 USING THE PROGRAM Deleting a group A group can only be deleted if it does not contain any phones. If the group that you want to delete contains phones, these need to be deleted first (see section Deleting phones) or moved to another group using Drag&Drop. Select the group that you want to delete in the "Phones" list. Clicking on "Delete" or on the "Del" key deletes the list after the confirmation dialogue is confirmed. Click on "OK" to delete the group. Click on "Cancel" to cancel the delete procedure. Note: The main group "All phones" cannot be deleted Searching for a group Click on "Find" in the "Phones" list to show the group search input field. This function allows you to search by group name. This function is not case-sensitive. Pressing allows you to hide the search field. PEI TEL Communications GmbH - PTPhoneManager II

30 USING THE PROGRAM Phones The directories and settings for all of the saved phones are managed with the PTPhoneManager II Saving a new phone Clicking on "New phone" in the "Phones" list allows you to save a new phone. The following dialogue box opens on the right side of the program: Phone number: In the "Call number" field, enter the phone number for your phone. The following formats are permitted: (recommended) Name: In the "Name" field, enter a name for the phone that allows you to identify it so that you have a clear overview of the "Phones" list. Password: You need the password in order to access your PTCarPhone. The default password when delivered is "peitel". If you have not yet changed the PTCarPone password, enter "peitel" when saving a new phone. The password can be changed at a later stage. (Please see section 5.5.3, Changing the password). 31 USING THE PROGRAM 5 Phone group: If you have already saved some groups, you can use the drop-down menu under "Phone groups" to select the group in which you want to save the phone. PTCarPhone software version: In the "Software Version PTCarPhone" field you can select the software version of your phone. If you do not know which software version is installed on your phone, please select "Autodetect". The number of directory entries for this phone is limited to 150. When the first directory transmission is made to the phone, the current software version is displayed and automatically saved in the PTPhoneManager II. From software version onwards, 1000 directory entries are then automatically available. Clicking on "Finish" automatically saves the phone in the "Phones" list. Clicking on "Cancel" discards all the changes Editing a phone In order to edit the properties and settings of a phone, you need to first select the phone that is to be edited. Depending on the software version, the following three tabs appear in the "Edit screen": Directory Phone settings GPRS 1 1 The GPRS settings can only be viewed in the PTPhoneManager II with PTCarPhone software version or higher Deleting a phone Select the phone that is to be deleted from the "Phones" list. Clicking on "Delete" or pressing the "Del" key deletes the phone after confirmation of the confirmation dialogue. Click on "OK" to delete the phone. 32 USING THE PROGRAM Directory Clicking on a phone opens the right-hand side of the program with the heading "Directory". In the "Directory" tab you can amend the directory settings. In the "Phone settings" tab you can change the name and the number of the phone and define the operating mode. In the "Change password" tab you can change the password for accessing your PTCarPhone. With "Read phone", you can display the directory information for the selected phone. If the selected phone has the software version or higher, the GPRS tab is also displayed Adding a directory entry In the "Directory PC", select the desired entries and move these to the desired phone or directory using Drag&Drop. If you wish to highlight several entries at once, press and hold the "Ctrl" key. All the entries found in one phone can be viewed under "Directory" Editing the directory entry A directory entry can only be edited under "Directory PC" (see section Editing an address) Deleting a directory entry To delete a directory entry, select the entry and then click on "Delete". After the confirmation dialogue has been confirmed with "OK", the entry is deleted from the directory. Click on "Cancel" to cancel the procedure. Clicking on "Delete all" allows you to delete all the entries in the directory simultaneously after confirming the confirmation dialogue with "OK". Click on "Cancel" to cancel the procedure. 33 USING THE PROGRAM Searching for a directory entry Click on "Search" to display the address search input field. You can search for an address by name or by number. The search function is not case-sensitive Printing the directory list The "Print" option allows you to print a list of your directory entries Release The release column allows you to see whether the directory entry has been released ( ) or is locked (X) Locking directory entries To lock a directory entry, click on the desired directory entry in the "Release" column, and select "Locked" using the drop-down menus. If a directory entry is locked, this number cannot be dialled from phones set to operation mode Short dial In order to assign a directory entry with short dial, please click on "Short dial" in the desired directory entry in the "Short dial" column. With the drop-down menu, select the desired short dial. Only numbers 1-9 are available for each directory. PEI TEL Communications GmbH - PTPhoneManager II

34 USING THE PROGRAM Phone settings In the "Phone settings" tab, you can change the phone number and the name, and you can also define the operating mode. All further fields (greyed out) can only be made directly on the phone and only serve as information in this tab Defining the operation mode Operation mode 0: In this operation mode, the device is operated as a normal phone. The selected phone memory is available as a directory. There are no restrictions in the handset menu tree. This operation mode is the default setting. Tip: If you select operation mode 0, please ensure that the display area "PHONE" is displayed in the PTCarPhone, otherwise you will not be able to see the transmitted directory entries on the phone. Operation mode 1: With this operation mode, use of the directory is limited. Only the internal directory is available. The menus for editing the directory no longer appear on the handset. However, there are no restrictions relating to dialling phone numbers and sending SMS messages via the input keys. Operation mode 2: The same functions apply for the directory as in operation mode 1. Phone selection via the input keys is only available to a limited degree. Only numbers that appear in the directory and have been released can be dialled. These restrictions also apply for sending SMS messages. 112 and 911 can still be dialled. The call diversion menu item is not activated. 35 USING THE PROGRAM GPRS In the "GPRS" tab you can set up a new provider, such as the path for the FTP server, for each phone. 36 USING THE PROGRAM Adding a provider In order to save another provider for a phone, click on the "GPRS" tab. Enter the necessary information for "Provider number", "Provider APN", "Username" and "Password" FTP server path In the "Filename" field, you can enter the path at which the phone directory entries should be saved on the FTP server. All further information such as "IP address", "Username" and "FTP Password" is set in the global FTP settings (see item FTP settings) and can be applied by clicking on the following button: By checking the "Use FTP for configuration" box, changes to the selected phone will always be made via the FTP and not via a data call. 37 USING THE PROGRAM Changing the password With "Change password", you can change the password for accessing the PTCarPhone. To change the password, click on "Change password". The following dialogue box appears: In the "Old password" field, enter the password that you have used up until the change (default password is "peitel"). In the "New password" field, enter your new password. In the "Repeat new password" field, enter your new password again. Note: Please make a note of your new password. After successful transmission, the new password is stored in the PTCarPhone. If you need to restart your PTCarPhone after a delete procedure or new installation in the PTPhoneManager II, the new password will need to be entered to restart the phone. The default password when the device is supplied is "peitel". Clicking on "Apply" applies the password and it is automatically transmitted to the PTCarPhone via data call. Clicking on "Cancel" cancels the procedure and the old password is retained. Warning: Please make a note of your passwords for each phone. 38 USING THE PROGRAM Read phone book With "Read phone book" you can view the directory selected on the PTCarPhone. Note: The "Read phone book" function will overwrite the directory that is currently displayed on the computer. Confirming the "Read phone book" button opens the following window: You can cancel the procedure by clicking on "Close". Clicking on "Start" dials the selected phone and the phone s directory is displayed. If the directory of the dialled phone contains entries that are not contained in the addressbook, these are automatically added to the addressbook. These new entries can be completed or corrected in the "Directory PC" of the PTPhoneManager II. PEI TEL Communications GmbH - PTPhoneManager II

39 USING THE PROGRAM Database With each action, the software accesses the database by default. You should therefore ensure that this database is not deleted, damaged or changed by other programs. For this reason, a security feature has been integrated into the software to back up the database Backing up the database To secure your current database, click on "File > Save database" in the menu list. The following dialogue box is opened: You can now select where you want to save the database back up, and confirm your selection with "Save". PEI TEL Communications GmbH - PTPhoneManager II

40 USING THE PROGRAM Restoring the database To restore a backed up database, click on "File > Restore database" in the menu bar. The following dialogue box appears where you can select the database you want to restore. Click on "Open" to confirm your selection. To restore a backed up database, you will need to restart the PTPhoneManager II. The following dialogue box allows you to restart the program: Clicking on "Yes" restores the database and closes the program. Clicking on "No" cancels the restoration procedure. 41 USING THE PROGRAM Import and export function The PTPhoneManager II allows you to import existing contact lists into the "Directory PC" in CSV format or from Outlook 2003 and Outlook In addition, you can also export contacts from your "Directory PC" into a CSV file Importing an addressbook from Outlook To import your contacts from Outlook 2003 or Outlook 2007 into the PTPhoneManager II, click on "File > Import addressbook from Outlook" Importing an addressbook With "File > Import addressbook" you can import contacts from a CSV file. The following dialogue box opens after you click on "File > Import addressbook": In this dialogue box, you can select the CSV file with the address data and confirm your selection with "Open".
