We will need to remotely access the server for the MS SQL Database for the initial setup. We typically have two methods for connectivity: 1. Client Granted Access via a Remote Access Tool 2. Constant Access With client granted access, someone has to be able to go or access the server and open their email and click an access link or go to a website and enter a code to grant us access. Our default tool for this is TeamViewer. For constant access, some sort of VPN or direct access is provided to us. Our default tool for this is TeamViewer which is a free setup. To learn more about this tool, please visit: http://www.teamviewer.com We can also use remote desktop if the firewall port is opened or some other vpn such as Cisco or Sonic Wall. If you use an alternative access method, please provide us with the details on this remote access. We will accommodate your IT processes and procedures.
We provide a retail and F&B management system that integrates with various point of sale systems. The Inventory system consists of several software programs and services which include: Inventory Client Application for managing your retail inventory Micros Link Service Service which runs on the MICROS server to send and receive retail item information. YDI Mobile Application which runs on a pocket PC for scanning & counting physical inventory. Microsoft SQL Database Database to be provided by client. The team from Yellow Dog Software will be utilized for the implementation, training, and support needs of each installation. Implementation may be remote or on-site. This depends on the how large the installation will be, number of staff to be trained, and client budgetary constraints. We will discuss this and determine if sending a technician on-site will be necessary.
The inventory system supports numerous hardware options in terms of mobile data collectors and bar code printing. The most popular items include the following: Data Collector Package (Includes Windows Mobile 5.0 Portable Terminal w/integrated laser scanner, and touch screen for data collection, USB cradle with spare battery charging function, Configuration, and Training). Bar Code Printer Package (Includes Direct Thermal Printer, USB Cable, Configuration, and Training). Next Workstations Server SQL Storage, Virtualization, and up
The Inventory client is initially installed using a Windows MSI package. After the initial installation, the client should only be Updated on the server. The server will store the version and auto-update any clients upon the next launch of the client software. Supported Operating Systems: Windows 2000 Service Pack 4 Windows XP Service Pack 2+ Windows Vista Business or Ultimate Windows 7 (Recommended) Windows 8 Processor and Ram: Please refer to Microsoft s requirements for each operating system Free Disk Space: 250 MB Framework:.NET Framework 2.0 Download: http://www.microsoft.com/downloads/details.aspx?familyid=0856eacb-4362-4b0d-8eddaab15c5e04f5&displaylang=en.net Framework updates can also be accessed via windows updates.
The Inventory system will need to be installed on a server or some appropriate computer in your environment. The requirements of this server will be dictated by the instance of SQL you install as well as any other requirements for other applications that may share this server and/or the instance of SQL. Supported Server Operating Systems: Windows Server 2003, 32/64 bit Windows Server 2008, 32/64 bit (Recommended with 64 bit) Windows 7 for smaller installations (single store)
We prefer to have SQL use windows authentication. If you do not use this, we will need the login/password to SQL. We will need the following information for this server: Administrator rights for the initial installation of the SQL database. After the initial installation, database specific windows login/password. IP Address and name of the server.
Storage The average database per store per year is 500 Mb to 1 Gb. Yellow Dog Inventory also makes 7 backups (One per day) so total storage of 8 GB per store is us recommended. SQL Express 2005 has a database limitation of 4 Gb. However, SQL Express 2008, has a 10 Gb limit. If you have more than 2 stores and/or have a high volume of transactions, please consider a SQL workgroup or processor license initially or be prepared to upgrade at a later point in time. Virtualization Yellow Dog may also be installed into a virtual environment with the above specifications. up The Inventory system will automatically create backup files in the default location as specified in SQL, but it is the client s responsibility to actually backup the files to other storage devices.
Next Item Data Conversion Vendor Data Conversion
Most installations of our inventory solution will include the conversion of existing retail item information. THE MOST IMPORTANT ASPECT OF THE INSTALL IS SENDING US A COMPLETE AND VALID LIST OF ITEMS TO IMPORT. Ideally, we would prefer a single excel spreadsheet of your items with a header record to indicate what each data column contains. If we are replacing an inventory system that is already connected to Micros, please let us know. We may be able to pull all the items from Micros. A sample Excel spreadsheet for the data conversion can be downloaded from here: The process of data conversion typically looks like this: Client exports out existing data and removes all records they do NOT want in the new system Client formats into excel spreadsheet format as provided by vendor and sends to us for review We add in new retail inventory levels and micros codes and send back to client Client re-categorizes items with these new levels and micros codes and sends back to us We generate new SKU numbers, finalize file, and import Client reviews new items in the inventory system Continue
Please do the following ASAP: Export out all your retail item information Remove any records you do not wish to have added to the new system Include as much information as you can. The inventory data that we can import per item includes: Vendor Vendor SKU (the vendor's reference number) UPC (the barcode printed on the item's packaging) Current SKU Department Category Sub Category Short Description (16 characters) Long Description Price Cost Size Color Unit of Measure MSRP
We can also import a list of existing vendors. Please provide us with an excel spreadsheet of your vendors. If you already have specific vendor numbers, include that information as well. A sample Excel spreadsheet for you to use for the data conversion can be downloaded from here: Continue
Please do the following ASAP: Export out all your vendor information Remove any vendors you do not wish to have added to the new system Include as much information as you can. The vendor data that we can import per item includes: Vendor Name Vendor Number (if known) Website URL Notes Contact Name Phone Number Fax Number Email Cell Number Street Address City State Zip or Postal Code Country Other Information (additional notes)
