GoEnbox is a web-based encrypted email service for Settlement Service providers and Small Businesses. You can use GoEnbox to communicate securely with users outside your organization. Topics for the Administrator Administrators are special full/standard users that have extra options and tools in GoEnbox. A company can have several Administrators, in fact, any full/standard user can also be given Administrator access. The capabilities of an Administrator are defined below. All of these features are found under the Administration page in GoEnBox. Every administrative option has additional help information available inside GoEnbox by clicking the Help link on the page you are visiting. The Help page is context-sensitive and will show help relevant to the tasks at hand. Adding/Removing Users It is the Administrator s responsibility to define all full/standard users in your company. When the service was purchased, a certain number of licenses were paid for. You can register as many full/standard/administrator users as you like, up to the maximum number of licenses. When you have reached the maximum, you will receive an error message when you try to create a user. If additional licenses are required, you can email Orders to purchase more. To add and remove users, go to Administration (top right) > User Management > Add User. You can create multiple Administrator accounts that will allow access to reporting features and user management. Both Standard users and Administrator users can send encrypted emails. Registered Recipients do not need to be defined in User Management. Those accounts are created automatically the first time you send an encrypted email to a non-licensed users (your clients). Reports You can generate a report using the Reports page in the Administration section. This helps you track a particular message to confirm when it was sent, and whether it was picked up. Recalling a Message An Administrator has the ability to recall a message, which deletes it from the system. To recall a message, run a Message Audit Report to find the message, and then click the Delete button that appears next to the message. Recalling a message does not delete the notification emails that have already been sent to the recipients. But following the link in a notification email will generate a friendly error message to the user that the message is no longer available. Configuration Management The Configuration Management page (in the Administration section) contains options for customizing GoEnBox to best suit your organization. This section allows you to customize: time zone, notifications, lockout periods, login attempts and password requirements. These are already configured for you to our standard policies and best practices, but have given you the option to change them if you would like. If you do not understand a setting, hover over the tool tip ( ) to get more information. Page 2 of 5

Time Zone Under the Configuration Management page this function requires an industry technology code to apply your applicable time zone. Copy and paste a code below to apply your time zone: Eastern: Central: Mountain: Pacific: Hawaii: America/New_York America/Chicago America/Denver America/Los_Angeles Pacific/Hawaii These locations do not appear anywhere in your communications but are used to set your time zone. Information about Accounts What is an account? When you register for GoEnbox, a web-based Inbox is created for you using your existing email address. It s not a new email address, but rather a secure website where you send, store, and receive encrypted emails that are associated with the email account you already have. Similarly, when you want to send an encrypted email, you can send to any valid email address. That recipient will be notified in their regular email client (Gmail, Live, Yahoo, etc.) to come and create a free account in GoEnbox. Difference between a paid account and a free account The web-based interface is almost identical for you as a full/standard user and a free Registered Recipient. The differences are as follows: A full/standard user can: - Compose a new secure email to anyone - Keep messages in your Inbox and Sent Items folder forever (no expiry) - See an Address Book (of all other full/standard users) A Registered Recipient can: - Reply to messages (but cannot compose new or forward to someone else) - Keep messages for 30 days at which point they will disappear (deleted from system) Changing or Recovering your Password If you know your password and can login to GoEnbox, then you can change your password anytime by going to Options > Password Options. Full/Standard Users If you forget your password and need to recover it, click the Forgot My Password link on the Login Page. This will guide you through the process of answering your recovery questions and then receiving a new activation email in your regular email Inbox. Page 3 of 5

If you forget your password and your recovery answers, then you will need to email Support for an account reset. Registered Recipients If they forget their password and need to recover it, they click on the same Forgot My Password link on the Login Page. There are no recovery answers required so they can always recover their password provided they can access their email account. Sending and receiving Encrypted Email Notification Emails Anytime an email arrives into your GoEnbox account, you will receive a notification in your regular email client. This is nice so that you don t have to constantly monitor your secure Inbox. This applies for registered users as well as Registered Recipients. If you would like Notifications to be sent to a different email account, or perhaps you don t want to receive notifications at all, you can configure that in Options > Notification Options inside GoEnbox. Drafts Standard users can compose an email and save it to their Drafts folder instead of sending. Messages are saved automatically as drafts every 2 minutes. It will stay here (encrypted and saved on the server) until you are ready to send it later. You can also move your unsent drafts to other folders. Unsent drafts are marked with a pencil ( ) icon. Address Book Standard users can view the Contacts page, which shows all other full/standard users. This is handy for large organizations who send a lot of encrypted email between one another. When you are sending to a free Registered Recipient, you must type the email address. If you would like, you can enable cookies in your web browser to remember clients emails that you type in from past visits to the portal. However, removing/not enabling cookies will not allow the email addresses to be stored. Saving a Message There are several choices when you want to save a message to your local desktop. Depending on how you want to view the message later, you can choose from three plain-text (not encrypted) formats (.MSG,.EML,.TXT), or you can choose an encrypted PDF file (you supply a password used to encrypt the PDF). Saving messages is common practice for Registered Recipients because messages only stay in the GoEnbox for 30 days. A user must save it before it expires if they need to keep it permanently. This is different than a full/standard (paid) user s account where messages never expire. Page 4 of 5

Recalling a Message A Standard user has the ability to recall a message, which deletes it from the recipient s inbox. To recall a message, open the message from the Sent folder, and click the Recall button. Recalling a message does not delete the notification emails that have already been sent to the recipients. But following the link in a notification email will generate a friendly error message to the user that the message is no longer available. Mobile Support Since the GoEnbox is accessed through a browser, you can do almost everything from your mobile browser that you can do on your desktop. The mobile interface looks different because it has been optimized for a small screen, but all the core functionality is the same. The differences between Desktop Interface and Mobile Interface: - Mobile screens do not support saving of messages or saving of attachments Sending encrypted emails directly to the recipient via TLS (no web portal) Professionals in the Settlement Industry (who own their own domain name) have purchased another product from Echoworx called OneWorld. This is gateway encryption technology that supports multiple types of encryption including TLS. Currently, all encrypted messages stay within the GoEnbox and all recipients must come to the web portal to read their message. But in a future release of the GoEnBox, there are plans to deliver via TLS to Echoworx OneWorld enterprise recipients. We are also hoping to add TLS functionality for you to send messages to large Lenders without them having to go to a portal! Stay tuned for more news on this topic!
