Introduction Welcome to the 2.204 Administration Building conference room. This manual is to describe the operating functions of the room and the touch panel control system. The room features the following multimedia equipment: Projector Two LCD Tv s Cabinet with built in equipment: PC Cabling for hooking up a laptop Wall mounted Touch panel for control of Audio Visual equipment. Undock / Dock the AMX Touch Panel: 1. Press the blue LED panel at the base of the AMX touch panel to release it from the wall. 2. If a code is requested, enter code and hit done. 3. The panel will whir and the top will lean forward toward you. 4. Using both hands on both sides of the touch panel, pull the panel slightly up and out carefully.. 5. Use the kickstand or lay it flat on a flat surface such as the table. 6. Replace it in its base by leaning the touch panel slightly towards you and drop it gently into the bottom of the wall recess mount. Gently push the top of the touch panel upright into the wall. When the AMX Remote Control is seated firmly in its base, it will display the message "Panel Docked" for a few seconds and a twinkle sound will be heard. Failure to follow this procedure for removal and insertion of the touch panel into the recessed wall mount can result in the panel to fall out of the mount! Use caution! 2

Operations Logo Page: Simply press the touch panel to start turning on the system. What would you like to do? Select the media you would like to use. If you are not video conferencing, you may just use the PC, or Laptop. If you are finished, you may press the I am done, Turn off power button to begin turning things off and disconnect any video connections you have on the CODEC. Using the PC in the podium Open the cabinet and turn on the PC. The mouse and keyboard are on top of the cabinet. There is a wireless remote for PowerPoint in the drawer. You may use the Back button on the touch panel to go back to the What would you like to do menu. Using the Laptop connections You may bring your own laptop and use it instead of the built in PC. There is a VGA cable and audio cable for you to hook into your laptop located in the drawer. Watching Television: The Watch Television option on the touch panel is to turn on the TV, and to control the channels and volume. 3

Video Conferencing Main Page Video/Audio Conference Allows you to dial, hang up, set up video conferencing hardware, Front Camera This bring up controls for controlling the camera. If you are sending content, press it a second time to stop sending content. Cabinet PC Begins sending the Cabinet PC image and sound to the far side as Content. Laptop Begins sending your Laptop image and sound to the far side as Content. Back You may use the Back button on the touch panel to go back to the What would you like to do menu. Video Layout Bring up a page for individually controlling the monitor layout etc. Utilities Bring up a page for individually controlling the power options (Ex: turn monitor off, turn projector off). FECC Brings up Far End Camera Controls. This allows you to move cameras on the remote site when videoconferencing if available. Mic Mute Mutes all microphones, lavalieres, podium, and ceiling microphones. Back Takes you back to the What Do You Want To Do page to turn off power. Camera Controls Presets Press momentarily to recall a camera preset. To set, move the camera to the desired location and then press and hold for 5 seconds to memorize. Up, Down, Left, Right, and Zoom Moves selected camera accordingly Toggle Full Screen Switches Polycom menus on or off 4

Podium PC, Laptop Broadcast quality Switches between two modes for broadcasting the image. Sharp Still Best for static image presentations (PowerPoint), shows at highest resolution Smooth Motion Best for videos with motion drops resolution, but increases frame rate for smooth video movement View CODEC Switches between viewing original source and the Video Conferencing generated image of source. Toggle Full Screen Switches Polycom menus on or off Utilities Page(troubleshooting) Power Controls Turns power on/off for corresponding device. Ex: Left Monitor, Projector. Use this page for changing channels and adjusting volume on either monitor. Reboot CODEC If you cannot connect anywhere, or the CODEC is not responding or just behaving flakey, then select this button to reboot the CODEC. Reboot AMX If the control system is not working correctly, try rebooting it. Reboot Touch Panel If the control system is not working correctly, try rebooting it. Reinitialize AMX If the control system is not displaying information correctly, then try this button. FECC Far End Camera Control Allows you to control the camera of the remote site you are connected to. Pan their camera up, down, left, right, and zoom in or out. Dialing out to a video site From the Audio/Video Conference Page, select Video Call. 5

Video Call Page Directory Brings up the directory page. Speed Allows you to set the speed to dial out at. 384K is default. Call Press to connect to remote site DTMF Touch Tones Brings up keypad to enter touch tones. Used for entering bridge conferences requiring codes. Numeric keypad Used to enter in the number of the site you wish to dial. Hang Up Used to disconnect remote sites. Flips page to verify you do want to disconnect. Bksp When entering in number, if you make a mistake, this backs up entry one space. Clear When entering a number, this clears out entire number Conference Setup Flips to page to Video Conference CODEC Set Up. Directory Page Online Directory Press to load the Global Address Book. Local Phonebook default Press to load the local phonebook. Up/Down arrows Brings up next/previous page of sites Call After you select a site by pressing it to highlight it, press this to call it. Hang Up Press to disconnect video call. Flips page to verify you do want to disconnect. Polycom Remote This page emulates the Polycom Remote. The real Polycom remote is located in the rack drawer in the credenza. 6

Video Conference CODEC Set Up Auto Answer Turns on/off automatic answering. Default is ON. Do Not Disturb If on, the CODEC will not respond to any incoming calls. Auto Mute If turned on, the CODEC will automatically mute audio if an incoming call is received. Far End Camera Control Allows/Disallows remote sites to control your cameras. Dual Monitor Emulation Allows for split screen operation or PIP view on the Transmit monitor. Default is ON. PIP Position Moves PIP around screen if PIP is active. Dual Stream Enabled Allows sending of both cameras and content video at the same time. Default is ON. Telephone (Audio) Call Page Call Press to connect to remote site DTMF Touch Tones Brings up keypad to enter touch tones. Used for entering bridge conferences requiring codes. To make a Lync call: Search To make a Lync call, you can use the search bar to find someone or scroll to find anyone in your Contacts list. 1. Open Microsoft Lync. 2. Type the person s name or phone number in search bar. 3. Point to the contact, and then click the Call button. When you click to call, the contact s work number is the default number that is dialed. 1. Click the Call menu arrow to select other numbers to call the contact. Answer Call: 1. Click the notification window for the incoming call. 2. The conversation window appears and the call begins. To mute during the call click on the microphone button. To share your video during a Lync call click on the Video drop down menu. Click Video to start your webcam. To share your Desktop during a Lync call click on the Share drop down menu. Click Share to show your desktop to participants. 8

Online Meeting: To Create Outlook New Online Meeting, Click on New Online Meeting in Outlook. Send to your participants. They can click on Join Online Meeting. Use Outlook to Schedule Lync Online Meetings Join online meeting connects you to the meeting through Lync, which lets you hear a conference call and see visual content such as web camera and desktop sharing. Meeting hyperlink provides an Internet browser method of connecting, if the Join link fails or you don t have Lync installed. Join by Phone connects you to the conference call if you are using a home or cell phone. It connects you through Lync if you are using Lync Phone Edition or the Lync Dial pad. Conference ID is required when you are prompted. You are not prompted when using Join online meeting or the meeting hyperlink. 9
