SALESFORCE IMPLEMENTATION GRANT THE PURPOSE Provide organizations with the tools to think and act strategically with regard to relationship management Create a useable database system to support broader relationship management strategies Use relationship management to improve community impact and strengthen partnerships
VALUE PROPOSITION The Taproot Foundation pro bono consultant team delivers a user-friendly Salesforce database that improves your organization s ability to manage relationships. The work typically includes: Assessment of need Customized Salesforce database Migration and testing of data Training on your Salesforce database
OUR PHILOSOPHY A Salesforce Implementation grant is most successful when all of the following criteria are met: The project is completed and delivered in a timely manner. The database is useable and sustainable. The nonprofit s and pro bono consultants expectations are met or exceeded. All parties involved report high satisfaction with the group s interactions. The nonprofit reports the project made an impact.
NONPROFIT TEAM EXECUTIVE SPONSOR Available for key decisions and intervention as needed. DEVELOPMENT/PARTNERSHIP DIRECTOR* 2-3 hours per week. Helps identify shortcomings of the current database and define future needs. Can serve as day-to-day contact. PRIMARY DATABASE USER 2-5 hours per week. Works closely with the existing data and database systems. May also be the Development/Partnership Director, if that person is not serving as the day-to-day-contact. DAY-TO-DAY CONTACT 5 hours per week. Either the primary database user, Development Director/Partnership Director, or another team member will serve this role. *Additional time may be required to manage and perform the data cleaning process in the beginning stages of the grant
BUSINESS ANALYST Compiles results of discovery interviews, writes requirements brief, and prepares customized training guide. PRO BONO CONSULTANT TEAM ACCOUNT DIRECTOR Staffs, supervises and leads the pro bono consultant team. PROJECT MANAGER Coordinates the team on a day-to-day basis, plans and leads meetings, connects with nonprofit team, and ensures the project runs on time. DATA ANALYST Technical expert who works to assess database needs and works with the Configuration Specialist to design the new Salesforce database. They are also responsible for managing the data integrity, conversion, migration, and testing. CONFIGURATION SPECIALIST Is an expert in Salesforce, responsible for designing and setting up a database that meets the nonprofit s established business needs.
WHAT DOES THE TAPROOT TEAM DO? NEEDS ANALYSIS AND DISCOVERY The pro bono consultant team works to understand your needs, your partnership and fundraising goals, and key stakeholders within the organization so that they deliver a database that works for you. Deliverables include discovery interview findings and a requirements brief. DATABASE BUILD Guided by the requirements brief, the team begins configuring a sample database. The team presents the database at key points in the database creation to receive nonprofit feedback. DELIVERY AND TRAINING The team migrates the draft database into its final format, imports and tests the data, and incorporates nonprofit team feedback. The deliverable is the finalized database. The team provides training on Salesforce and a customized training guide as a deliverable.

OUT OF SCOPE ACTIVITIES THAT ARE NOT IN SCOPE Improving an existing Salesforce database Creating a Salesforce database intended for use beyond constituent or fundraising tracking Cleanup of legacy data for the nonprofit Building interfaces from Salesforce to other systems (e.g. accounting or HR systems) Providing ongoing database maintenance and support following the completion of the grant
GRANT CRITERIA A clearly articulated relationship management plan. An Executive Director strongly committed to this project. Managing data consistently in an existing system. Ability to sign up for the Salesforce Nonprofit Starter Pack. A dedicated person to be the Salesforce Administrator. Staff that can invest the necessary time to make the project succeed: Executive Director: Available as needed. Development/Partnership Director: 2-3 hours per week. Primary Database User: 2-5 hours per week. Day-to-Day Contact (either the Development/ Partnership Director or the Primary Database User): 5 hours each week.
OASES CASE STUDY OAKLAND ASIAN STUDENTS EDUCATIONAL SERVICES THE NEED Technology infrastructure trailed behind the growing needs of the organization and staff in tracking thousands of volunteers, students, and donors. Data was fragmented across multiple systems, which made it difficult to generate financial reports. The organization wanted to grow their individual donor base, but needed a system that would enable them to support individual donor cultivation in an efficient way.
OASES CASE STUDY OAKLAND ASIAN STUDENTS EDUCATIONAL SERVICES THE WORK The pro bono consultant team met key stakeholders within OASES to determine the need and the scope of the project. Taproot Foundation transformed three separate Filemaker Pro databases into a consolidated information system in a Salesforce database. Once database design, data transfer, and testing were completed, OASES staff members were trained in the key features of their new database.
OASES CASE STUDY OAKLAND ASIAN STUDENTS EDUCATIONAL SERVICES THE IMPACT The Salesforce database supports a new individual giving strategy, helping to diversify revenue and further the organization s goal to expand to another program site. A culture of collaboration, continuous improvement and evaluation as staff members can easily track progress and produce reports. Better data entry and maintenance due to ease of use.

LITMUS TEST FOR A SUCCESSFUL PROJECT Have key stakeholders at the organization been involved in the process? Are all stakeholders committed to using and maintaining the database? Is the nonprofit prepared to make the Salesforce database part of a long-term relationship management strategy? Is the nonprofit clear about what data will be used for the database, where it exists and how they will clean the data to prepare it for migration? Is the nonprofit prepared to undertake ongoing education efforts to better understand how to use Salesforce?
