So You Want To Take A Property That You Are Advertising, Consider the following: Availability of the property - If it s available now then the landlord is unlikely to wait for you to give two months notice on your current property if required. Have your funds lined up - Many tenants don t realise that we need a deposit to secure the property and the first month s rent on or before the date of entry. Agree on any alterations - Its important at the viewing for you to discuss any alterations/requests to be done to the property as part of any deal, we ask that any alteration requests are declared on the terms and conditions to avoid any doubt upon entry, more often than not the viewing condition will be the same as entry condition unless alterations/requests are made in the T`s and C`s. What Next? Step 1. Complete and return the attached declaration, terms and conditions and code of conduct. Step 2. Pay a deposit, normally equivalent to one month s rental and propose an entry date (subject to referencing and safety checks where applicable). Step 3. Complete an application form from let alliance, downloadable from our website for each tenant over 18 years of age. Step 4. Return the application form and complete an online reference via a email link. Our online referencing agents will make a charge of 50+vat per tenant. We won t officially stop marketing and finding a tenant for the landlord until you have been classed as an Acceptable Tenant By The Referencing Agency Step 5. Come to our office on your entry date and sign all of your tenancy paperwork including a full detailed inventory of the condition of the property Step 6. Enjoy a happy tenancy.

USEFUL INFORMATION Payment In Advance You must pay your first month s rent in advance of being given keys to your new home, payment cannot be made in cash and should be made by way of BACS or debit card at least 5 days before the entry date. Contents Insurance Let Alliance provide accidental damage cover insurance with NO EXCESS when you rent a property with ourselves, contact them on 0845 685 0475 or via www.pennylanehomes.com/insurance It s a condition of your tenancy that you obtain accidental damage cover OR Tenants liability insurance for the length of your tenancy. Council Tax We will set up your council tax account once you have moved in, you can however check banding and rates by visiting www.saa.gov.uk or by calling your local authority. Utility Suppliers We will set up your utility suppliers for gas and electric where applicable, you are free to set up other utilities like TV licence, satellite TV, broadband etc but remember if alterations are required to the property you will require written permission from your landlord. Should you have pre-payment meters installed during your tenancy you must have them changed back to original before leaving. Declaration I/We the proposed tenants of... Understand that I/We are responsible for all utilities and bills excluding factoring fees on entry. Rent Agreed Per Month... I/We understand that A deposit must be paid in order to reserve a property and any deposit amount is non refundable unless Penny lane reject your application or you fulfil the length of your tenancy according the lease clauses. In the event that you decide not to move in any deposit will be used to compensate our client for loss of rental, cost of re-marketing and any remedial works that you agreed on. I/We understand that if I/we fail to provide the full deposit balance and meet our Acceptable Tenant criteria within 7 days of initially reserving the property, in the event that you take longer than this time the landlord has the right to use any deposit paid for loss of rent. The property will be taken off from the market only when our Acceptable Tenant criterion has been fulfilled and a full deposit paid. On completion of the online reference application requested to satisfy out Acceptable Tenant criteria it can take up to 4 days to process the information provided, this time may be less or more depending on how co-operative your previous landlord and or employer are. I/We understand that we are not required to pay Penny Lane Homes any administrative or reference fee in order to obtain a tenancy, I simply must meet the Acceptable Tenant criteria which I have the right to provide myself. Any damage to the let property will be made good by me/us prior to vacating; failure to do so may result in my/our deposit being used to carry out any necessary remedial works. A minimum deduction of 50 + VAT for cleaning will be applied if the property is not returned in a reasonable condition. If I/We fail to make payment of rent on its due date a penalty charge of 10+vat per day will be due, a penalty charge of 25+vat per phone call, 25+vat per letter and 35+vat for account being passed to external debt agency will all be due as appropriate. Rents are always payable in advance. WE PARTNER WITH WALKER LOVE RECOVERIES FOR COLLECTION OF UNPAID RENT I/we understand that I will receive a copy of a Tenant Information Pack and any Inventory Document by digital copy via email. A hard copy of the inventory will be charged at 17+vat. I/We accept that the condition which we viewed the property is the condition in which it will be given to us on the date of entry unless otherwise agreed below. I/We understand that any third party utility company may contact be to arrange and discuss utility supply options. I will be responsible for returning utility meters to their original state and any costs involved in doing so. I/we consent to my employer and previous or current landlord to provide full details of my agreement/s with them and any personal information whether it be positive or negative. I/We understand in full the conditions above and agree to the terms and conditions of letting printed on the overleaf of this page and the above conditions. TERMS AND CONDITIONS OF LETTING At Penny Lane Homes we wish to provide a fast efficient service for our tenants. Please read the following for an overview of our terms and conditions of letting. The minimum contract we can provide is for 6 months, this is a short assured tenancy. Should you wish to remain in the property after this period then another lease can be drawn up. A specimen lease can be emailed to you for your review. We do not include utility rates and council tax with the rental price; these and other bills are the responsibility of the tenant with the exception of factoring fees. The landlord/agent will choose the supplier of utilities. Prior to reserving a property you or a representative must attend a viewing as it is essential that you see the property prior to commencement of the lease. We will require photographic I.D. and possibly proof of residency (last months electricity bill) and your last two months payslip. If you wish to reserve one of our property s this can be done easily by paying a deposit which will reserve the property for you, if you decide not to proceed with the property you will not be refunded any deposit payment. The average move in turnaround time from application is 14 days. If you fail our Acceptable Tenant criteria and are rejected for the property then we will return any paid deposit. After acceptance of your application and payment of the full deposit we can happily confirm a proposed suitable date of entry. On the date of entry you will pay a full months rent prior to signing lease documents and receiving keys. A date of entry is always a proposed date and can only be confirmed once a Gas Safety Certificate has been produced by the landlord. SHOULD YOU REQUIRE A GUARANTOR THEY MUST SIGN THE TENANCY AGREEMENT 14 DAYS BEFORE ENTRY CAN BE GIVEN. YOU MUST OBTAIN ACCIDENTAL DAMAGE COVER FOR THE DURATION OF YOUR TENANCY, YOU ARE FREE TO CHOSE ANY PROVIDER YOU LIKE FOR THIS COVER quotes available on our website. Your rent will always be due on the same day of each month and we remind all tenants that it is their responsibility to ensure this payment reaches us by the specified date and is paid in advance. If for any reason you decide you no longer wish to proceed with letting the property after paying any deposit then no refund can be made as these monies will be used to cover the landlords expenses. CODE OF CONDUCT AND EXPECTATIONS OF TENANCY BEHAVIOUR We would like to take this opportunity to point out various important issues that we feel will be beneficial drawing your attention to prior to agreeing to rent a property from us. Condition Of Property Landlords expect that when renting their property to you that great care and consideration is taken over their house, it s expected that their property is kept clean, tidy and well maintained. In order for us to ensure a high rate of full deposit return we provide a full detailed inventory including pictures when signing for the property, it s important that should this not reflect the property that you amend it and return within 7 days of move in. If you don t then you won t have any come back when you move out. Maintenance A MAJORITY OF SMALL REPAIR ITEMS ARE THE OCCUPIERS RESPONSIBILITY SUCH AS REPLACING LIGHT BULBS, CLEARING GUTTERS, CLEARING BLOCKED SINKS AND DRAINS, PEST REMOVAL, RADIATOR BLEEDING ETC. Behaviour As a tenant renting a private property you have a responsibility to behave in a peaceful and respectful manner whilst residing within any one of our property s, it s expected that should you have any anti social issues with residents that you report them to the local authority straight away. Remember you are representing a category of residents which can sometimes been deemed as less important to neighbours as an owner occupier, we believe different as I m sure you do. Don t give residents or neighbours ammunition to fuel this perception. Tolerations We operate a ZERO TOLERANCE policy on RENT ARREARS, ANTI SOCIAL BEHAVIOUR, MALICIOUS DAMAGE, UNREPORTED DAMAGE TO THE PROPERTY etc. Please be clear that should you have rent arrears which you don t arrange to pay back WE WILL TAKE YOU TO COURT, if you behave in an unacceptable way which breaches anti social behaviour YOUR TENANCY WILL BE TERMINATED and TAKEN TO COURT FOR ANY UNPAID RENT, if you cause any damage within the property which isn t fixed or paid for immediately YOU WILL BE TAKEN TO COURT FOR DAMAGES should it be to the value above any deposit held, if you fail to report maintenance or damage to us in writing YOUR TENANCY MAY BE REVIEWED. We need to be clear that anyone who tries to bend rules, deviate from the lease or behave in any way deemed unacceptable will be pursued for the relevant consequences and any costs involved you will be liable for. All of our landlords are aware of current legislation and the terms of our lease and subsequently are prepared to take necessary action where required. Leaving our property When leaving our property whether it be looking for somewhere bigger, smaller or a change in circumstances we will always try to assist you in finding alternative accommodation. Before handing in notice in writing remember the following: we will require access for viewings, the property must be kept clean and tidy to allow a good chance of re-letting, someone will come along to erect a TO LET sign and we cannot use your deposit as a final rent. When your ready to hand back keys be sure the following has been done, any elec/gas meter have the same balance or more credit than on entry, any damaged plaster or paint must be repaired, any burnt/ripped carpets must be replaced to a similar colour and standard, any missing or damaged items are replaced/repaired, gardens cut, weeded and bushes trimmed, the property is full clean in all areas. Your deposit will be registered with a deposit scheme regulated by The Tenancy Deposit Schemes (Scotland) Regulations 2011, you will be provided with information on how to obtain a refund of any deposit paid and where to claim upon entry to the property. NO EXCESS Tenants Liability Insurance Policy Tenants, it makes sense to insure your legal obligation, as detailed in your lease, to fully reinstate all damages incurred by yourself to your landlords buildings & contents. It s a condition of your tenancy agreement that you hold accidental damage cover at the property at all times during the tenancy, failure to do so will result in breach of your agreement. Damage such as spilled red wine or Irn Bru on a carpet, deep scores or stains on laminate flooring could mean the full replacement of the carpet or flooring and this can run into many hundreds of pounds. The Let Alliance specialist tenants insurance policy offers cover of up to 2,500 for all accidental damage to your landlords buildings and contents that you are responsible for under the lease. In addition, Let Alliance also include all of the following covers at no extra cost: Damage to audio, hi-fi, TV, Computers, Laptops, Electronic Toys & IT software up to 2,500 Cover is from normal insured perils fire, flood, storm damage, escape of water, theft. 20% of sum insured for alternative accommodation. Cover is for loss or theft and where there is no alternative entry to the property. Money to 250, Credit Cards to 500, Mobile Phones to 400, Frozen Food to 250. Cover is to help when there is an insured incident or power cut. Loss of metered oil or water up to 1,000 Cover is to claim back the metered costs following a water or oil pipe leak.
