INTRODUCTION The GDE accepts that in order to improve teaching and ultimately learning, assessment should serve the purpose of enhancing teaching and that teaching should not be negatively affected by assessment administration. Informal Assessment... Informal Assessment Task (assessment for learning) means the building towards formal assessment (National Protocol for Assessment Grades R page ix).... Teachers may however, choose to record performance in informal or daily assessment tasks in some cases to support the teaching and learning process.. REPORTING.. The National Protocol for Assessment Grades R pages and states that reporting is a process of communicating learner performance to learners, parents, schools and the other stakeholders such as the employers, tertiary institutions, etc. Learner performance can be reported in a number of ways. These include report cards, parents meetings, school visitation days, parent-teacher conferences, phone calls, letters, class or school newsletters, etc... The following is applicable to recording and reporting per phase: (a) Foundation Phase (Grades R ): Record and report in national codes and Curriculum and Assessment Circular: Page of 0

their achievement descriptions. (b) Intermediate Phase (Grades ): Record and report in national codes and their achievement descriptions and percentages. (c) Senior Phase (Grades ): Record and report in national codes and their achievement descriptions and percentages.. MANAGEMENT OF SCHOOL ASSESSMENT RECORDS.. Assessment Records The assessment records that should be developed and kept at school are record sheets, teacher files, learner profiles, report cards and schedules... Record Sheets Teachers are expected to keep efficient current mark sheets of the learners progress. It is expected that carefully compiled records and/or evidence of learner performance be maintained to justify the final rating a learner receives at the end of the year... Report Cards.. A report card is an official document that is used to give feedback to parents on the achievement of learners... The end-of-year report card should indicate cumulative learner performance for the year... Schedules.. Teachers are expected to complete the following schedules for the year: Term schedules (for each term of the year). A possible retention schedule.(grades ) End-of-year progression / promotion schedule... The main purpose of the term schedule is to provide the class teacher with a composite record of the learners performance in all Subjects. A term schedule should either be designed by the school, or the schedule created by SASAMS and used to complete report cards.. Possible retention schedules will either be provided by the province, or the school may choose to use the schedule created by SASAMS, and should be ready for submission during the second half of August. Either GDE support forms or the support schedule printed from the SASAMS learner record and/or other relevant evidence must accompany the Possible Retention Schedule.. The purpose of the Possible Retention Schedule is twofold: It gives the opportunity to teachers to signal to parents that learners are at risk of being retained if intervention and support is not Curriculum and Assessment Circular: Page of 0

intensified and; It provides District Assessment Teams with an opportunity to check the nature and quality of interventions provided to learners who experience barriers to learning.. Learners who are at risk of being retained at the end of the year should be placed on the possible retention schedule.. Over age learners and learners who have been retained in the phase before should also be placed on the possible retention schedule for the purpose of checking support provided to them... Placement on the retention schedule does not mean automatic retention at the end of the year. Every placement of a learner on the possible retention is scrutinised to ensure that no learner is being retained unfairly. Evidence of interventions/support provided should be submitted with the possible retention schedules. GDE Support form or any other form of evidence may be used for this purpose... End-of-year Progression/Promotion schedules will be provided to schools by the province in either electronic or hard copy format. The schedule may also be produced by SASAMS... Progression/Promotion schedules will be ratified by the District Assessment Team (DAT) within the last school days of the school year...0 If schools opt to use computerised systems, care should be taken that all the minimum requirements for schedules are adhered to. Only hard copies of these schedules must be presented to the DAT... The achievement descriptors listed in the NPR must be used in the Foundation Phase while marks are used in the Intermediate and Senior Phase.. Schools are ONLY allowed to issue end of the year report cards to learners after approval of Progression/Promotion schedules by the DAT... Copies of progression schedules must be kept for a period of at least five () years by the school and the District Office. PROMOTION AND PROGRESSION.. The following two statements from the National policy pertaining to the programme and promotion requirements of the National Curriculum Statement Grades R (NPR) is of utmost importance when deciding on the movement of learners from one grade to the next: A learner who does not meet the requirements for promotion can Curriculum and Assessment Circular: Page of 0

be progressed to the next grade in order to prevent the learner being retained in the Phase for longer than four years (NPR chapter par (), chapter par () chapter par ()) AND Promotion from grade to grade through this phase within the appropriate age cohort should be the accepted norm, (NPR chapter par (), chapter par ()).. The promotion requirements as outlined in NPR chapter par (), chapter par () and chapter par () must be considered before the age cohort clause is applied and the learner progressed to the next grade.. LEARNER PROFILES.. It is compulsory for schools to keep a profile of each learner throughout his / her schooling career. The information in the profile, if completed judiciously, gives a consolidated view of the learner s course through school. In many cases the information will be in the form of print-outs of the relevant information from SASAMS.. The learner profile remains confidential and it is the responsibility of schools to ensure it is securely stored and updated..
