Assigning Access and Roles to FAMTest Step by step instructions for how to assign access to FAMTest so that users can learn and practice on the new Sit/209 program. Notes: A new user must first complete the Request for Access form on line. To assign Application and Role access to FAMTest requires manager privileges. National level manager (or help desk) assigns a GACC level manager s privileges. GACC level manager assigns a local level manager s privileges. Local level manager assigns a local user s (non manager) privileges. Assign an expiration date only if you want that person s privileges to expire at a certain time. (Access privileges automatically expire if not used for 60 days.) Only the Help Desk or Charlie can complete the final steps to provide a new user with access to FAMTest. New user must complete the Application Account below: 2
New user fills out the form, check SITT Access and 209 Access boxes, then click Add button. Next, new user calls the GACC manager to let them know the application has been completed. GACC manager completes the Application Assignment for the user (next slides). 3
Go to the FAMWEB homepage. Log in as manager. Expand Administration menu. Choose Administer Users option. Enter person s last name (user name can also be used). Click Find button. The window at right appears with user s information. 4
Scroll below the buttons shown below to the bulleted options. Select Application Assignment. 5
Managers: If the user does not already have New 209 program in his/her account: Click New button Under Application drop down menu, choose New 209. Ignore the Effective and Expiration Dates. Click the Add button (blue box). Verify that the user has New 209 listed under Application Assignment before closing his/her account window. (Next slide.) 6
Press the Update button (red box) to save changes made to this user account. 7
At this point the GACC manager must notify the Help Desk or Charlie to let them know that this person has been approved for access. Email Help Desk: helpdesk@dms.nwcg.gov Or call: 866 224 7677 Provide the Help Desk with user name and agency information, GACC and unit (dispatch office) affiliation, and user name. *** The Help Desk does not approve user requests for access, nor does it complete user Application Assignments. To finish assigning a user (new or existing) to the new Sit/209 program, follow the next steps in the FAMTest Sit/209 program. 8
*** Make a note of the user s log on name in the Administer Users main page (as shown below). It is very important that the new Sit/209 program has the correct user name entered. Follow these rules to be sure that the FAMWEB user account name matches the user name in the new Sit/209 program: Upper and lower case sensitive. Space sensitive (preferable to not use spaces in user names). Special character sensitive. 9
Open the New Sit/209 program. Go to Tools tab, select User Access. 1) Select the program the new user needs access to (button in blue box below). 2) Select the dispatch office or GACC the user needs access to (blue box below). Hint: If your list is long, type in the first two digits of the dispatch office s state, then choose the correct office from the list. 3) *** Very important! Use the drop down under User Role (orange box) to verify that the new user does not already exist in the program. DO NOT create a duplicate account for a user that is already assigned to an office. 4) If the user does not already exist in that dispatch office or GACC, click New User Role button (green box). See next slide for tips on assigning roles to new users, or changing existing users roles. 1 2 4 3 10
Notes: You may choose the dispatch center on the left side first (green arrow), then click New User Role button. This will pre populate the Dispatch Office block on the right (#1). This is an optional step. Be sure to first select the application (either SIT or 209) before assigning a role (to prevent assigning the wrong application to the user). If a user needs both SIT and 209 roles, you must assign each separately. *** Warning: The program will accept any user name you enter in the UserID block (even if that user name does not exist in the system). Be sure to spell the user name correctly. If you don t, that user will not get access because the Administer Users account user name will not match the Sit/209 program user name. 11
Enter all the appropriate information for that new user. 1) Remember: If the new user needs access only to one program (Sit or 209), select the correct application before you save the changes (green box). 2) Type in the user name in the User ID field (pink box). Again, spelling must match the user name in FAMWEB Administer Users! 3) Select Scope and Authority for that user. Click the Save button in the top right. 4) If the new user needs access to both Sit and 209 applications, repeat the process for each program. 5) Verify that the new user account was added to that dispatch office by looking in the User Role list (blue box). You ll need to check this fore each application you assigned to the new user (Sit and/or 209) by clicking the buttons (red box). Then check User Role (blue box) for each program. Be sure to select the correct Scope and Authority The configuration at right sets this user to GACC level manager, which means that they can set scope and roles for other people within that GACC. * User cannot set their own scope and role! A higher level manager must do it at the GACC or NICC. 12
