Payroll is a very important function for any organization after all, it determines the take home pay of its employees! Due to its sheer sensitivity, it is a service with no room for error. As a result, effective payroll services require specialization and a clear understanding of the applicable laws. Recent trends indicate that an increasing number of companies in the Indian market outsource their payroll function. Why outsource payroll? Specialised service Payroll is a specialized function. Our approach Our approach is to provide a range of services in relation to payroll rather than just salary calculations every month. Our payroll processing services are divided into four stages Step 1 Planning We set up an initial meeting with the company, in order to obtain the necessary information on the payroll for employees in India. The information collected from the initial and additional meetings and conversations, will allow both teams (from the Company as well as KPMG) to appoint persons responsible for the transition, to establish communication channels, key contacts, etc. Information or documentation such as the following would be provided by the Company to us at this stage: Company Organization Chart Determination of manager and employee roles Salary structure, etc. Step 4 Continuous Improvement Processes, once designed and implemented, need continuous review to achieve quality and improvement. We review the processes involved and strive to bring improvements to them. The improvement plan will be developed in consultation with the Company. Our work need not end with the payroll outputs that we provide. We can also help in implementation of the suggestions to confirm that the payroll process is carried out appropriately and in an improved manner. Step 2 Transition We work together with the company and/ or with the previous payroll service provider, to collect all data necessary for the transition of the payroll process. Our goal is to facilitate an integrated approach towards transition to make it as smooth as possible. We put together a transition plan which avoids disruption to your operations. The entire process is controlled and managed by a dedicated team and the progress is monitored against the set plan on a regular basis. Step 3 Start up and Delivery In order to make sure that all the previous stages have been correctly closed, we work in parallel with the previous payroll provider for one month. We also address all the issues that may be detected during this time and keep the Company duly informed about the problems, if any, arising in the process. This start up process minimizes the impact of transition and allows us to address any issues faced and to obtain experience of the previous payroll processes of the Company before starting to work in a real scenario. The output from the payroll processing includes tax and net pay calculations, pay slips, various MIS reports, statutory reports, returns to be filed by the Company, etc. Our services are tailored according to the Company s requirements. Accordingly, we can provide standard as well as customized pay reports to the Company.

People support We are available at a dedicated mailbox to take and resolve client queries. We also address queries of clients by telephone during office hours. Once a month, we place a team member at the client location to meet employees faceto-face and clarify their queries. Constant interaction with the Company and its employees gives them a sense of comfort as their queries are resolved in a timely manner. Technology Data Security The client data will be hosted on KPMG IT Infrastructure which is secured as per industry norms. The infrastructure has been assessed as per industry accepted security standards. These security assessments are conducted periodically and improvement areas are addressed on priority basis.
