ONLINE ADMINISTRATION OF ASSESSMENTS There are assessments within STARS that can be administered online through the Student Portal. This document will review the process for administering any assessment online. Selecting Online Administration There are two ways to begin Online Administration from the Flip Cards and from the Assessments tab in the Top Menu Bar. 1. From the SchoolCity Launchpad, select the ONLINE flip card. On the flipped side, select SCHEDULE/MONITOR. 1 2 2. Select the desired assessment from the list, or click on MORE to go to the Assessment Manager to find the correct assessment. 2 3. 4. Find the desired assessment from the list in the Assessment Manager. Select the bolded Online Administration icon (computer monitor). This will take you to the Online Administration page, where students can be activated to take the assessment. 4 2 [NOTE: The Online Administration icon will be bolded if Online was selected as a Method of Delivery in the last step, Setup, of the assessment creation process, the assessment has been Published, and students have been scheduled to take the assessment.] Activating Students for Online Administration Without a 4-Digit PIN 5. To activate the entire roster without a PIN, click on the box next to Student ID # in the top green bar. Check marks will appear next to each student s name. 5 6. Once there are check marks next to each student s name, the Activate button will become bolded. To complete the activation process, click on Activate. 6 7. A message will appear confirming the number of students who have been activated. Click OK. [NOTE: Pins can be generated anytime during the testing window. Pins have a life span that is determined by the timer of the test. Pins life span starts from the first time a particular pin is used.] Copyright SchoolCity Inc. 2015 All Rights Reserved. 8. On the Online Administration page, there will now be a vertical purple bar next to each active student s name, as indicated in the color coding key. Notice that the information in the column, Status of Items Attempted is also purple, indicating that students have not yet started to view or answer any of the items. Activating Students for Online Administration With a 4-Digit PIN Once you have enabled the 4-Digit PIN verification in the Advanced Settings, students can be activated for online testing. PIN numbers expire 30 minutes after activation, so this is best done when students are at their devices ready to take the assessment. 9. To activate the entire roster with a PIN, click on the box next to PIN in the top green bar. Check marks will appear next to each student s name. [NOTE: Individual students may be activated by clicking on the box next to the student s name.] 9 10. Once there are check marks next to each student s name, the Activate button will become bolded. 10 11. A message will appear confirming the number of students who have been activated. Click OK. 12. On the Online Administration page, there will now be a vertical purple bar next to each active student s name, as indicated in the color coding key, along with a 4-Digit PIN. 13. To inactivate any or all students, select the checkbox next to the student s name, or select the box in the far left of the green bar for the entire roster, and select INACTIVATE. 13 14. A message will appear verifying this action. Monitoring the Assessment 15. As students begin to take the assessment in the Student Portal, their progress can be monitored on the Online Administration page by using the color-coding key. The ACTIVE color (purple) will change depending on each student s progress in completing the assessment. INCOMPLETE (red) = student has quit the assessment before completing it IN PROGRESS (orange) = student is in the process of taking the assessment COMPLETED (green) = student has submitted test for scoring ALL (blue) = percent of items viewed or completed shown as a bar graph Copyright SchoolCity Inc. 2015 All Rights Reserved. In this example, the first student (Alvarez) has attempted or answered 4 out of 12 items and is still taking the test, as indicated by the orange bar next to her name, and the box of item numbers). She has 1:29 left in the testing window to complete it. 16 17. The second student (Andujo) quit the test after item 1 with 1:25 left in the testing window, as indicated by the red bar next to his name and the item number in red. 17 18. The fourth student (Carrera) submitted the test after answering 12 of 12 items, as indicated by the green bar next to his name and the item number in green. 18 Pausing and Stopping the Assessment 19. During the administration of the assessment, students who are In progress (orange) may need to take a short break of no more than 10-15 minutes. To pause the assessment, click on the checkbox next to the student s name and select PAUSE. This will temporarily stop the clock and suspend the test for that student. 19 20. A message will appear informing you that a student s test has been paused and how to resume testing. Click OK. [NOTE: Students will also see a message in the Student Portal that the teacher has paused the test. 21. To resume testing, select the checkbox(es) of the student(s) who have been paused, and then select RESUME. Students can then proceed as before. Copyright SchoolCity Inc. 2015 All Rights Reserved. 21 22. To stop an assessment for any reason for students who are still In Progress, select the checkbox next to each student s name, and then select STOP. 22 23. A message will appear to verify that this is the desired action. Once a test is stopped, it cannot be resumed. Click OK or Cancel. 24. 24 Deleting and Submitting Scores 25. To delete scores for any student, select the checkbox next to the student s name, and click on DELETE SCORE(S). 25 26. A message will appear to verify that this is the desired action. Click OK or cancel. 27. To submit scores for students who are Incomplete, select the checkbox next to the student s name, and click on SUBMIT SCORE(S). Copyright SchoolCity Inc. 2015 All Rights Reserved. Page 10 of 11
27 28. A message will appear verifying that this is the desired action. This means the test is being completed for the student with the number of items completed so far. Click OK or Cancel. 29.
