Monitoring system for children and families CTO presentation, SA 3 rd to 7 th May 2010 Rita Larok, Lucia Castelli
Data collection (Tools and methods) Data storage (electronic and manual) Data analysis and usage Best practices and lessons learned Outline
Tools: Robust Database (backbone) Enrollment forms Data Capture forms Narrative reports Social worker/child activity reports Communications (children s and sponsors letters) Information management and Data collection (Tools and methods)
forms 1 Family file with the primary child on top and the siblings under it having a similar family code that connects them 1. Primary Childs form 2. Supplementary child forms
Data capture forms: primary and Educazione + istruzione = sviluppo supplemental/siblings
Data capture forms: BST and IGA Educazione + istruzione = sviluppo
Narrative reports Educazione + istruzione = sviluppo
Follow up forms, Social worker/child activity Educazione + istruzione = sviluppo reports
Methods Educazione used + istruzione In the = sviluppo monitoring of the OVC Project Collaborative development and use of common working tools in all countries Follow up field visits (Partner, Home, School Visits) Needs based tailor made trainings (Observation and the helping process, M&E, sustainability approaches, family counseling, psychosocial support, Value of Life, Play therapy and parenting, HIV/AIDS training, finance and accounting procedures etc) Inter partner/inter association/ Inter country Exchange visits Weekly social workers meetings The regional monitoring and management persons
Data storage (Manual): OVC Archives Educazione + istruzione = sviluppo Manual Each family with one file starting with the primary child followed by the siblings files Each child having all information concerning them in one jacket in the order of latest information infirst on top (including enrollment forms, photos, correspondences with sponsor, SWAR, school reports etc) Each family filed in the group that they are supported in following their code order The group/partners filed according to alphabetical order following the abbreviation name of the partner e.g. SOR, DEF, AMKA, JUJ, HOM

Analysis- OVC Database: Capture form like Year reports
Analysis- OVC Database: age and gender report for served children during the year
Best Practices and Lessons Learned: Educazione + istruzione = sviluppo Provide regular training Emphasis on understanding why do M&E as opposed to making M&E a requirement. It leads to ownership of processes John Bosco- a social worker said, The tools like the data capture form, have helped me to change the way I do my work, am able to know which children have received which activity in just a quick glance and so I plan my work better I know that going to a home visit will help me to monitor the way in which the child is growing and whether what I am doing has any impact at all. I no longer visit because AVSI needs it. I visit for myself as a social worker. Have a similar filing system (something that can be comparable and quickly run through when looking for data). The AVSI social workers work with the partners social workers and even bring them for exposure visits to the office to give them a chance to see the filing methods in place. The DEUX CHAPEAUX implementation- i.e. direct so that you can experience the processes and indirect through technical support based on practical implementation experiences Work together and develop tools together
