APPLYING ONLINE TO MSc and MS PROGRAMS at HEC PARIS We strongly recommend that you read this page carefully before starting your application. This is a step by step guide to using our web-based application system. We hope this information will help you to fill out your application form. Help and instructions are also provided by the online system during each step of the application process. I. STARTING YOUR APPLICATION To begin your application, simply create a user account with a personal login and password. You can then login at any time to continue working on your application. To start the online application process, please: go to https://admissions.hec.fr/ select your preferred language (English or French) using the tabs on the top left of the screen click on CREATE ACCOUNT and give the next information: Title: please choose from the drop down menu. Email address: this is a valid email address which you check on a regular basis. It is important that your email is correctly indicated as it is our primary means for communicating with you to request missing application materials, verify information, give you special instructions, etc. Please be sure to include hec.fr in your email address book and/or remove any spam blockers that might prevent our emails from reaching you. If you change your email address after submitting your application, this information as well as your postal address information can be changed at any moment. Password: please choose a password. It will be used every time when connecting to your application space. Reenter Password: please confirm the password. LAST/FAMILY NAME: please use capital letters to indicate your full last/family name as it appears on your official documents, e.g. DUPONT. First Name: please indicate your first name as it appears on your official documents. Capitalize first letter only, e.g. Alexander. Area of study: please choose in the drop down menu your last degree or current area of study. Name of Institution/University: this is an auto complete text field. Enter one word related to your origin university (e.g. the city) and choose your origin university in the list of suggestions. If it does not appear, you have the option to enter one by yourself. Year of graduation: if you have already obtained a degree, enter the year in which your degree was awarded. If you are still studying, enter the expected year of graduation. Date of birth: use the popup calendar to supply your birthday by clicking on the icon. Please be accurate when selecting your birth date as it is the record which will be used to edit official documents such as Certificate of admission, Certificate of enrollment required for administrative purposes or obtaining visas. 2

Would you like to receive more information about HEC Paris? : please tick the appropriate box if you wish to receive HEC newsletters. Click on CREATE ACCOUNT (blue button) to save the information and proceed with filling in your application. After completion of the initial registration form, you will receive an email containing the user ID and password which you use to log in every time you need to complete your application. I. SELECTING YOUR PROGRAM(S) Before accessing the main application form you need to choose the program you are applying for. Make sure you know what the program-specific requirements are and that you have familiarized yourself with our program entry requirements (see the program page on our website). Applications that do not meet our requirements will not be considered. Should you have any doubts, please address your CV and transcripts to hecprograms@hec.fr. You may apply for up to two programs, which will be considered sequentially in the order of preference (the non-refundable application fee is 100, whether you choose to apply to 1 or 2 programs). You second choice application will be submitted for review, if the first one is unsuccessful. HEC Paris runs 4 selection sessions a year (November, January, March and April) for a single Fall intake in September 2014. When choosing a selection session, please check the deadlines on the Admission Calendar available on www. admissions.hec.fr/en/information/admissions-calendar. Once you click on SUBMIT button, you will be redirected to My Application space where you can find the different sections of your application and follow its progress. II. COMPLETING THE APPLICATION FORM 3

All applications are made online. Do not send a separate postal application to the School. Once you have started an application form, you can log in at any time to continue working on your application or check your work before submitting the application. The application must be filled out in French if you apply for a program taught in French. If you apply for a program taught in English, the application form must be filled out in English. In each section of the application, you have the option to SAVE or SAVE AS A DRAFT. The SAVE AS A DRAFT option allows you to save the information you have entered, even if all the required fields are not complete; while the SAVE option can only be clicked when all fields are complete. You can still modify the information until the final submission of your application. The application form is composed of 7 sections: 1. PERSONAL INFORMATION 2. EDUCATION AND WORK EXPERIENCE 3. PROFICIENCY TESTS 4. ESSAYS 5. REFERENCES 6. SUPPORTING DOCUMENTS 7. APPLICATION FEE You can move from one section to another as long as you have not submitted your application. When filling in the form, there is no strictly preferred section order, however we advise you to begin with REFERENCES section, so as to give referees as much time as possible to receive and fill the online recommendation form. If you forgot one of the required fields you will get an error message. After having submitted the application, only the PERSONAL INFORMATION section can be modified. Should any of your details change (e.g. your Family Name, your postal or email address), please do not hesitate to modify it accordingly. You have also the opportunity to print out your completed application from your application. 1. PERSONAL INFORMATION 4

In this section you are asked to provide ID information. Please ensure these fields are completed accurately as they appear in your official documents such as passport, birth certificate, ID card. The information given on this form will be used in (for editing) official documents such as admission certificate, enrollment certificate etc. Date of birth: use the popup calendar to supply your birthday by clicking on the icon. Please be accurate when selecting your birth date as it is the record which will be used for editing official documents (Certificate of admission, certificate of enrollment needed for administrative purposes or obtaining visa procedures etc). City of birth: is the place where you were born as indicated on your passport or birth certificate. Country of birth: please select your country of birth using the drop down menu. If your country does not appear in the drop down menu, please send an email to admissionsmasters@hec.fr. Nationality: please choose your nationality using the drop down menu. If your nationality does not appear in the drop down menu, please send an email to admissionsmasters@hec.fr. Dual Nationality (if applicable): if you hold a dual nationality, please specify your second nationality using the drop down menu. If your nationality does not appear in the drop down menu, please send an email to admissionsmasters@hec.fr. Current address and/or Permanent address: please indicate your full addresses. They will be used for sending HEC official documents such as Certificate of admission, Certificate of enrollment. Mobile phone and/or Land Line: please don't forget to indicate the country code and city code for numbers outside of France. 2. EDUCATION AND WORK EXPERIENCE The section requires you to provide all of your undergraduate qualifications, giving your most recent qualification first. We also ask you to briefly describe your professional activities and internships. 5

a. EDUCATION This section requires you to provide all of your undergraduate qualifications, giving your most recent qualification first: Degree (obtained or expected): please use the drop down menu to choose the level of studies you have completed or are in the process of completing. Then tick one of the boxes directly below to indicate whether or not it is a degree you acquired in France. Please use the correct button to indicate if your last degree or expected degree was obtained in France or outside France. Year of graduation: if you have graduated, enter the year in which your degree was awarded. If you are still studying enter the expected year of your graduation. Distinction/Grade of degree: please enter the final Grade Point Average (GPA), or expected GPA of your degree. Here you are asked to provide your GPA on the scale that your institution uses (e.g., 3.6/4.0, 8,6/10, 15/20, 89/100, etc.). If your institution does not calculate GPA, please leave the GPA and GPA scale fields blank on your application. Degree Level: use the drop down menu to indicate the length of studies (in years). Area of Study: use the drop down menu to enter your degree principal area of study. Major (if applicable): please enter your degree major. A major is the main course of study, where you direct your focus as an undergraduate student. Not all academic departments grant major. Minor (if applicable): please enter your degree minor. A minor is a secondary field that you want to specialize in while you are working on your major. Not all academic departments grant minors. Name of Institution/University: this is an auto complete text field. Enter one word related to your university (e.g. the city) and choose your University in the list of suggestions. If it does not appear, you can enter it yourself. City: please enter the city of your University. Country: Please use the drop down menu to enter the country where you have obtained or will obtain your degree. 6

b. OTHER DEGREES Do you have a second University degree?: if you have obtained or if you are currently enrolled in a second degree, please tick the box next to this question and complete the same information as before about this second degree. c. WORK EXPERIENCE Do you have work experience?: please tick the appropriate box. If yes, please indicate its duration in months. Have you completed any internships/trainings?: please tick the appropriate box. If yes, please indicate its duration in months d. ACADEMIC EXCHANGES Have you participated in any international academic exchange(s): please tick the appropriate box. If yes, please indicate its duration. 3. PROFICIENCY TESTS a. MANAGEMENT TESTS All the applicants are required to hold a standardized test score prior to submitting the application to the HEC Paris. There are no minimum cut-off scores. We recommend that you take the GMAT/GRE/TAGE MAGE* test at least 2 weeks in advance of submitting your application. * TAGE MAGE is not accepted for students applying to MSc in International Business and MSc in Marketing. Waivers: The programs which do not require a standardized test are: Mastère Spécialisé Droit et Management International Mastère Spécialisé Médias, Art et Création Mastère Spécialisé Entrepreneurs There are no other GMAT, GRE or TAGE MAGE waivers for the MSc Programs. 7

Validity: GMAT, GRE and TAGE MAGE scores are valid for 5 years and must be taken before submitting your application. Reporting the scores: You must report your official GMAT/GRE scores to HEC Paris: For the GMAT, instruct Pearson VUE to send your official GMAT scores directly to the HEC Paris Master Programs (HEC Paris code is OTL-6C-89). For the GRE, instruct Educational testing Service (ETS) to send your official scores directly to HEC Paris (HEC Paris code is 3623, there is no any department code). For the TAGE MAGE, HEC Paris will verify your score directly with FNEGE. There is no reporting procedure to be made by the applicant. Please ensure your TAGE MAGE test is taken before the application deadline. If you have taken the test more than once, report only the score from one examination that you wish us to consider while reviewing your application. We do not average scores. If you retake the GMAT/GRE or TAGE MAGE after the application deadline, we will not be able to consider your new scores in our evaluation to the session you are applying to. Before filling in this subsection, please have the test score copy at hand: all information must be entered exactly as it appears on your score report. Please use the checkboxes to indicate the type of your test and self-report the following information: For the GMAT: Date of test (actual or planned): please use the popup calendar to supply the date by clicking on the icon Verbal score and the percentage below Quantitative Section and the percentage below Total score and the percentage below Analytical Writing and the percentage below Integrated reasoning and the percentage below For the GRE: GRE score scale (130-170 or 200-800) Date of test (actual or planned): please use the popup calendar to supply the date by clicking on the icon. Verbal Reasoning score and the percentage below Quantitative Reasoning score and the percentage below Analytical Writing score and the percentage below 8

For the TAGE MAGE: Date of test (actual or planned): please use the popup calendar to supply the date by clicking on the icon. ENGLISH TESTS All applicants are required to hold an English language qualification prior to submitting the application to the HEC Paris. The tests accepted are TOEFL (Computer-based, or Paperbased, or Internet-based), IELTS (Academic or General), TOEIC (Listening and Reading, or Speaking and Writing, or Bridge) and Cambridge Certificate (of Advanced English or Proficiency in English). If you are applying to the Master in International Business with CEMS option, please check the special requirements: www.cems.org/mim/how-to-apply/common-applicationrequierement Waivers: English proficiency tests are waived for the following: English natives (in this case, please tick English native speaker box). International students who have earned a degree from an institution in which ALL instruction is conducted in English (in this case, please tick 3 years of studies taught in English box). The official language of the degree program has to be stated in the degree certificate or its supplement, or in the transcript of records. Students applying to Mastère Spécialisé in Intelligence Marketing, Management des Grand Projets or Entrepreneurs if they have taken GMAT or GRE instead of TAGE MAGE (in this case, let the English tests sub-section in blank) Students applying to Mastère Spécialisé in Intelligence Marketing, Management des Grand Projets, Entrepreneurs, Medias Art et Création or Droit et Management International if they spent at least one year in an exchange program in an English speaking coutry or have at least one year of professional experience in an English speaking coutry (in this case tick the 1 year of studies taught in English box). Validity: Please note that test results are valid for two years, except Cambridge certificates which have unlimited validity. Tests must be valid on the deadline of the program you are applying for. 9

Reporting the scores: You must report your official English scores to HEC Paris. - For the TOEFL: your local center might ask you for HEC Paris institutional code in order to transfer your test results confidentially to us. This code number is 0718. - For the Cambridge tests: send to admissionsmasters@hec.fr your unique ID number and your secret number. By sharing this information, you give us permission to verify the result. For more information: www.cambridgeenglish.org - For the IELTS you have 2 options: 1. before taking the test you should nominate on the IELTS Application form HEC Paris School of Management as your score test recipient institution. Please fill in the next information: Name of person/department: Masters Programs/Admissions Office Name of institution/agency/body/employer: HEC Paris School of Management Address : 1, rue de la Libération, 78351 Jouy en Josas CEDEX, France 2. after the issue of IELTS results, please send your personal Test Report Form number (TRF) to admissionsmasters@hec.fr. By sharing this information, you give us permission to verify the result. For more information: www.ielts.org To complete the section: Please use the checkboxes to indicate the type of your English test: Scale: please indicate the total score scale your English test is reported on (ex: 990 for TOEIC Listening and Reading; 120 for TOEFL Internet Based test). Only TOEIC and TOEFL have multiple score scales. Score: use the available field to enter your test result. Date (actual or planned): if you have not yet taken a test but have a test date booked, please enter the date. Note that the test score must be available to you before the application deadline in order for you to submit this section and thus the whole application. c. OTHER LANGUAGES In this subsection you are asked to provide accurate information about your language skills. Mother tongue: please enter your first (native) language; French level: please indicate your level of French (if you have any). We remind you that the Mastères Spécialisés Programs require a good command of French language, both spoken and written. Knowledge of French is not a requirement for MSc Programs. Other language: please specify the knowledge of other languages than English and your mother tongue. Indicate the level by using the drop down menu (Weak, Fair, Good, Excellent) of your Writing, Speaking and Reading. Please avoid entering closely related languages as Catalan/Spanish, Cantonese/Chinese, Portuguese/Brazilian etc 10

Please add language(s) by clicking on Add a language button or delete languages by clicking on Delete button. 4. ESSAYS In this section, we ask you to answer a series of questions in order to evaluate your application more effectively and gain a better understanding of your reasons for applying for the program. Your answers are an essential part of the application, and it is therefore important that you answer the questions as sincerely and spontaneously as possible. Therefore be careful when you fill them in, as space to answer the open questions is limited. By limiting the answers to 1000 characters we aim to avoid receiving general statements and instead make you focus on specific points that only you could have written and which could show your unique personality. The content of these pages may be modified, completed, and/or corrected as often as required until you submit the application. Don't forget to save your modifications each time to ensure that they are entered in the system. Here are the short essay topics: 1. Describe, in descending order, your 3 most important interests (be they academic, professional or personal)? Justify your answer 2. Which personal achievement are you most proud of (studies, professional life, sports etc.)? 3. Please describe a situation where you failed and what you have learned from it? 4. Please, give us an account of your last work/internship experience (accomplishments, what you have learned)? 5. What are your reasons for choosing this program? 6. Please describe your short term career goals after completing the Master course? 7. Are you applying to other programs than those of HEC Paris? If yes, please state to which programs other than those of HEC Paris you are applying and why? 8. Is there any additional information you would like to share with us? (do not exceed 1000 characters spacing included)? 5. REFERENCES 11

We require the letters to be submitted via the online application. To save your time, you simply need to provide the email addresses for two academic referees who are then contacted automatically and asked to complete an electronic reference once you have sent the reference invitation. In order to complete your application, you are required to submit two online academic references (from professors). Applicants with over 1 year of professional experience may substitute one of the academic references with one from a professional. You are welcome to add a third reference from a professor or a professional if you feel it is relevant to your application. If you have made a second choice application, the recommendations of your first choice application will be used automatically for your second choice application. Your recommenders will be asked to assess you on some competencies academic performances and leadership potential and character traits that contribute to successful leadership. Online submission of Letters of Reference 1. Register your referees: Enter the recommender s personal information carefully on the registration form. It is extremely important to enter the email address correctly so that your referees receive the instructions in the timely manner. Submit the request by clicking on SUBMIT tab. A form for a second referee will appear once you have submitted the first. 2. Referee receives the email and accepts the invitation to fill in the recommendation form: Your referee receives an automated email from HEC containing instructions and a link to the online Recommendation form. At this stage, referee has the next options: - decline the invitation - accept but complete the recommendation form later - accept and complete the recommendation form 3. Referee completes and submits recommendation form: After accepting the invitation, your referees have access to an online reference form and have the ability to submit the recommendation directly to us. After your referee submits the recommendation, both you and your recommender will receive an email confirmation. You can track the status of recommendations and see whether they have been denied, accepted or filled in through your applicant space (just below the First/Last Referee Name). Whether he/she accepts or refuses to write a recommendation, in both cases you are notified by email. 12

You are responsible for ensuring that all recommendations are submitted online prior to the application deadline. Kindly check with your reference that he/she has received the invitation within 48 hours; certain firewalls or spam filters may block the invitation. If your referee did not receive our email, here are the steps to be followed: 1. Go to the REFERENCES section and click on Mail link situated below your referee contacts 2. Copy and paste the text displayed into an email and send it to your referee through your personal email account. IMPORTANT: to submit your application, 2 recommenders must have at least accepted to write a recommendation before the appropriate application deadline. 6. SUPPORTING DOCUMENTS The online application system allows for documents to be uploaded in pdf format only. When scanning hard copy materials to upload into your electronic application please note the following: the limit of your files is a maximum of 5 MB (5120KB) the format of your files is the A4 (210 x 297 mm) ISO standardized format (8.3 x 11.7 in) the page orientation (Portrait / Landscape) is correct scan in black and white only This should be achievable using the correct scanning settings. You have to upload clear and legible copies of the following documents: 1. Resume (CV) 2. Academic Degree(s) (if you have already graduated) or Certificate of attendance (if you are currently enrolled in your final year of study) 3. Official Transcripts or Mark sheets for all academic (undergraduate) years. Students who have completed an exchange or a study abroad program during the course of their undergraduate studies are required to submit copies of their study abroad transcripts if the course names and grades earned abroad are not already reflected on the home institution. 4. GMAT or GRE or TAGE MAGE score. Do not forget to report the official scores to HEC Paris. For more information, see page 7 of the present document. 13

5. English test score (if applicable): The tests accepted are TOEFL (Computer-based, or Paper-based, or Internet-based), IELTS, TOEIC (Listening and Reading, or Speaking and Writing, or Bridge) and Cambridge Certificate (of Advanced English or Proficiency in English). Do not forget to report official English test scores to HEC Paris. For more information, see page 9 of the present document. 6. The copy of your ID card or passport (biographic data page only). If you have dual nationality, please upload both. 7. Motivation letter if you apply to a Mastère Spécialisé Programs (not required if you apply to a MSc Program). Select the document you want to upload in the drop down menu.
