Word processing refers to the use of a computer program to prepare and print documents. Through this software, a user enters the text with the help of input devices, views it on the monitor, changes it as necessary, saves the documents on disk, and gets a hard copy of it from printer. Other useful functions of word processing software are setting of margins, line spacing, automatically wrapping the text, deleting and searching the document for a particular sequence of characters, underline, boldface or italicized material. Q.15.06 List the advantages of working MS Windows environment. Following are some advantages of working MS Windows environment: The ability to run more than one application at a time. The ability to copy and move information among application. The ability to link objects from one application into another. The ability to display on the screen what you will get from the printer. Q.15.07 What are the different levels of formatting a document? The changing of the appearance of text in a document is referred to a text formatting. There are four different levels of text formatting. 2

Character Formatting: Selection of typeface, font sizes and styles for text is call character formatting. The most common way to emphasize text is to apply boldface, italic or underline character formatting styles. Paragraph Formatting: A paragraph varies in length from a single line to a full page, and may be formatted independently from the rest of the document. Paragraph formatting includes text alignment, line spacing, indentation, tab setting and boarders. Section Formatting: Section formatting specifies page number, headers and footers for different sections. Document Formatting: Document Formatting specifies the overall page layout for printing. It includes choosing the paper size, page orientation and margins. Q.15.08 Why is it significant to know that the default mode in word is the insert mode? In insert mode, text is inserted into the document at the insertion point. This is default mode. When you type any character it appears at the insertion point while the existing text on the right moves forward to make room for the new text. Q.15.09 Why is it important to close a document before retrieving another file? When you are working on a document, a record of what you enter is kept in the computer s memory. If the computer is turned off, or if there is even a momentary interruption of power, everything in this memory will disappear and all your work will be lost if you have not saved it. Therefore it is necessary to save a document before we retrieve another file. Q.15.10 What happen if you press ENTER when the insertion point in the middle of a paragraph? By pressing enter key when the insertion point is in the middle of the paragraph, it will break the paragraph into another paragraph. Q.15.11 How will you delete a character to the left of the insertion point? Press backspace key to delete a character to the left of the insertion point. Q.15.12 What is meant by the term word wrap? Word wrap automatically continue text from the beginning of the next line when you reach right margin. 3

Q.15.13 What is the difference between the Save and File, Save as command? Save Command: Save command is used to save a new file with a new name. It is also used to save an old file with its default name. Save As Command: Save as command is used to save and old file with a new name. Q.15.14 How do you select an entire document using the mouse? Move the mouse pointer into the selection bar. Wait until the pointer changes to right point arrow and then hold down [CTRL] and click once. You can triple click with I-beam mouse pointer position in the selection bar. Typeface: The typeface represents one aspect of a font. There are two general categories of type face: serif and sans serif. Sans serif typefaces are composed of simple lines, whereas serif typeface uses small decorative marks to embellish characters and make them easier to read. Font: A font is a combination of typeface and other qualities, such as size, pith and spacing. For example, Times Roman is a typeface that defines the shape of each character. Within Times Roman, however, there are many fonts to choose from different sizes, italic, bold and so on. 4

Q.15.17 What are the different paragraph alignment options? Aligning text to the left, right, or at the center of the page affects the outlook of your document. The way how the text is aligned with the margins of a document is called justification. MS Word provides four different types of alignments: Left Alignment: Aligns text at the left margin. Center Alignment: Center the line or paragraph between the margins. Right Alignment: Align text at the right margin. Justify: Spreads the text entry between the left and right margin by automatically. Q.15.18 Describe some methods of moving the cursor around a document? Following are methods of moving the cursor: Use arrow keys to move in UP, DOWN, RIGHT and LEFT direction. Use CTRL + HOME to move cursor to the beginning of file. Use CTRL+END to move cursor to the end of file. Use Home key to go to the beginning of a line. Use END key to go to the end of a line. Q.15.19 Name three different views you can access by clicking button on the horizontal scrollbar. We can access the following views by clicking buttons on the horizontal scroll bar. Normal View: It allows to type, edit and format document, but does not display additional information such as header and footer. Page/Print Layout View: It allows you to display multiple columns, footnotes, header and footers in the document. You can also view graphics in this format. Outline View: It allows you to view and edit the document structure. Q.15.20 How do you return to Word s application windows when you are in Full Screen mode? To return to the regular word workspace or mode from full screen, mode, click the Full screen button once or press [ESC]. Q.15.21 Name the tabs in page set-up dialog box. Q.15.22 What are the two methods for changing the margins in a document? Two methods of changing the margins in a document are as follows: Double click the gray area in the Ruler or select Margins Tab from File; Page Setup command. You can also change the margins of document using mouse. Position the mouse pointer over the margins boundary until a double headed black arrow appears. Drag it to increase or decrease the margins. In order to display the margin measurements in the ruler as you drag the margin in boundary. Press [ALT] key and hold it down. Q.15.23 How do you preview a document before sending it to the printer? Click on the File Menu on the menu bar and then choose the Print Preview command to preview a document. Or click on the Print Preview button on the Standard Toolbar. Or press CTRL+F2 using keyboard to preview a document. Q.15.24 What are the two modes available in Print Preview? Before you pass a document for printing, it is better to look at the document how it would appear when printed. Word provides the facility to preview document in full page display before sending them to the printer. There are two modes available in print preview, which are as follows: Zoom mode Edit mode Select Zoom mode to view you document or edit mode to modify and format your document without leaving print preview. 6
