Creating a new Birthday email in TribalDirect 2.0 1. Log into the StickyFish Admin at https://admin.tritondigital.com 2. Using the Administering dropdown, select the StickyFish site you ll be working with 3. Using the overhead navigation, go to Mass Email Tribal Direct 2.0 4. Using the overhead navigation, go to Content Create Mailings Mailing Template 5. Configure the Mailing Settings for your template 1 : a. Mailing Name: The name that the template will appear under in TribalDirect 2.0 (not member-facing) b. Contact Source: Each StickyFish site receives a special Birthday Query during Implementation. This Query pulls ONLY members whose DOB is equal to the current day, ensuring that the communication will be sent only to those members. To select this Birthday Query as your contact source: i. Click the Select button to the right of the Contact Source field. A new window will open, allowing you to browse the available Databases, Contact Lists, and Queries. ii. Click Queries What you ll see in the selection window will depend upon your level of access. Generally, you will see one of three scenarios: 1. Owner level: You have access to multiple markets, with one or more site in each market. a. You will first need to click into the appropriate Market for the site you re working with. b. Once in the Market level, click into the Site level c. Now that you re in the correct Site level, select the Birthday query by clicking the radio button to the left of the query name CALLS-BAND Birthday Query is the default name. 2. Market level: You have access to multiple sites within the same market: a. Click into the appropriate Site level b. Now that you re in the correct Site level, select the Birthday query by clicking the radio button to the left of the query name CALLS-BAND Birthday Query is the default name. 3. Site level: You have access to a single site. Select the Birthday query by clicking the radio button to the left of the query name CALLS-BAND Birthday Query is the default name.
c. Template Location: The folder in which your Birthday template will be saved. After clicking Select to the right of the Template Location field, you will see a popup very similar to the Queries navigation. It s recommended that you save the template in the same folder as the contact source query. d. Subject Line: The subject line that your members will see in their inbox e. From Name: line that your members will see in their inbox f. From Address / Reply To Address: It s best to leave these at the current default to ensure that the template will be sent out with addresses that your members have already whitelisted. g. Tags: Used for reporting within TribalDirect 2.0, Tags allow you to generate reports based on similar templates that have been sent. Some suggestions for Tags would be: Birthday, Newsletter, and if sponsored - the name of the sponsor. h. Now that all of your Settings are in place, Click Mailing Body to set up the actual template. The system will prompt you to Save your progress. 1 Settings not mentioned can safely be ignored. 6. Click Import HTML. The screen will darken, and you ll see a warning that: This action will overwrite any existing content in the mailing body. Are you sure you want to continue?. Since this is a brand-new template, there is no content to worry about, so click Yes
7. The screen will remain dimmed, and a second box will appear, giving you two different options for how the system should handle hosting images. Leave this set at the default and RECOMMENDED setting, and click Next 8. Click the Browse button to browse your local hard drive for the compressed (zipped) HTML template. Once located, click Next. 9. The system will go through a brief process of unpacking and validating the template file. Once complete You will see this a results screen with a checklist as seen below. Click Next in that results box, then Done in the final upload summary. Your imported HTML will now load. All that s left is to add your customize it for your site, and add your Unsubscribe link and CANSpam statement: 10. Replace the placeholder logo - logo-placeholder(1).png with your main logo. The maximum size for your logo is 460x366, and a PNG file with a transparent background is recommended. 11. Update the placeholder text. This can be done either by highlighting each piece and simply typing over it in Design View / WYSIWYG (What You See Is What You Get) mode, or by switching over to Source View / HTML mode and entering the text directly. The areas that will need to change are: a. Your-Station-Name (2 places) Replace this with your station slogan, or what you call yourself in outgoing communications to your members. b. Your-Trivia-Answer Replace this with the answer that you set up for the Stealthed Birthday Trivia instance c. Your-Canspam-Statement The CAN-SPAM Act requires that all outgoing communications to your members includes certain information. Here is the format of a proper CAN-SPAM statement: [StationCalls] is sending you an advertising or promotional message. [Address] [City], [State/Province] [Zip/Postal Code]
12. Configure your Unsubscribe link - At the bottom of the Birthday Template, you will see text reading Click Here to Unsubscribe. a. Select (highlight) that text b. Click the Insert/Edit Link button in the overhead toolbar. c. The screen will darken and the Link Properties modal will appear. Click the Link Type dropdown and select Opt Out (Custom) 1 1 It is critically important that you select Opt Out (Custom) for all outgoing emails. This is necessary to ensure that members who decide to opt out of receiving emails are processed correctly. d. Provide a Link Name. This is not member-facing, but is used in Tribal Direct 2.0 s Reporting. e. Click OK. Your Unsubscribe link is now fully configured. 13. Configure your Trivia Instance link a. Right-Click the Click Here graphic, then click Edit Image. The screen will darken, and the Image Properties modal will appear. b. Click into the Hyperlink tab. You ll notice that the Hyperlink tab is laid out quite similarly to the Link Properties tab we just worked with. The settings here are: i. Link Type: Using the dropdown, select Tracked Hyperlink. ii. Link Name: This is not member-facing, but is used in Tribal Direct 2.0 s Reporting. bday_instance is a suggestion, but ultimately this should be set to anything that will be easily identifiable as the instance clickthrough. iii. Protocol: Leave this set to the default of http:// iv. URL: Overwrite the placeholder text of YOUR-TRIVIA-LINK with the direct link to the Stealthed Trivia instance that you set up to serve your birthday email. v. Target: Since your members will be clicking through to your StickyFish site from an email, it is recommended that you leave this on the default setting of New Window (_blank) c. Click OK
14. Click Save at the upper right of the screen to save your Template. Now that the HTML body of your Birthday email has been built, you ll need to set up a plain-text version for those of your members who do not accept HTML emails. 1. Click into the Text Only body of your birthday template: 2. Copy the text below, and Paste it into the Text Only body, substituting the placeholders as you did in the HTML body: Happy Birthday from YOUR-STATION-NAME! Hi %%FirstName%%, it's your special day and we want to give you a little birthday present. 4. Click Save at the upper right of the screen to save your Template. Congratulations! Your Birthday Email template is set up, and ready to Automate for daily sending to your members!
