Course Introduction Through discussion, demonstration, and hands-on computer lab work, this course uses the concepts and terminology associated with SuccessFactors Goal Management Admin functionality, and helps you develop a working knowledge of this functionality for use in implementing your goal management strategy. You will gain basic skills in how to use SuccessFactors Goal Management as an Admin to import objectives, add and modify objective plan templates, and manage goal settings using the step-by-step, hands-on exercises. During the Admin Intro course, you were introduced to this graphic showing the connection points between the Goal Management, Performance Management, and 360 Reviews modules. Notice that all three modules use the User Data File (UDF). With regard to Goal Management, any changes made to the goals, goal ratings, and permissions set in the goal plan will be reflected in both Performance Management and 360 Reviews (depending on the form settings for those forms, respectively). GOAL MANAGEMENT ADMIN TASKS These are the general tasks for Goal Management Admin. This course will guide you through the steps within each of these tasks. Based on your configuration, you may have different tasks. For example, create/update objective library, importing objectives, and edit goal execution settings are optional based on your specific configuration. TARGET AUDIENCE SuccessFactors administrators (admins) responsible for: Adding an objective plan templates Importing and exporting objective libraries Importing objectives Transferring objectives between users Editing goal execution settings TRAINING ENVIRONMENT The SuccessFactors system is highly configurable. During this training, you will be working in a representative environment. It may not match your own SuccessFactors configuration at your company. Please note that goal and objective are used interchangeably throughout the software and this document. Also, user refers to the end user or employee. Lesson 1: Add a New Objective Plan Template The goal for this lesson is to provide detailed information about adding a new objective template in SuccessFactors. OBJECTIVE Upon completion of this lesson, you will be able to: Add a new objective plan template GOAL TEMPLATE MAIN CONCEPTS A goal template is used to define the fields and sections your users will fill out for their goal plans. Goal and objective are used interchangeably in this document. The configuration you will see is highly dependent on your company s policies, procedures, and business rules. Figure 1. ADDING A GOAL TEMPLATE During implementation, your SuccessFactors consultant may have created goal templates for you. To add a new template, you must select one from SuccessStore or edit an existing template. Currently, there are two templates offered in SuccessStore: Basic Goal Plan, which includes the SMART goal wizard and the SuccessFactors goal library, and the Extended Goal Plan, which includes the SMART goal wizard, the SuccessFactors goal library, Balanced Scorecard categories, and subgoals and milestones. The primary difference between the two goal plans is that the Basic Goal Plan has one category, while the Extended Goal Plan contains multiple categories. When adding a new goal template from SuccessStore, you may preview it to give you a better idea of what it includes. Once the plan template has been created, you can make it the default template for users when they login. You may also make templates active (available for use) or inactive. The default setting is active. For viewing purposes, you may sort the templates by using the up and down arrows. Figure 3: Manage Objective Plan Templates Screen Best practices: When editing a goal template, save often to avoid losing any changes. Use year/date stamps in goal template names. Lesson 2: Edit an Objective Plan Template The goal for this lesson is to provide detailed information about editing plan objective templates. OBJECTIVE Upon completion of this lesson, you will be able to: Edit an objective plan template EDIT AN EISTING OBJECTIVE PLAN MAIN CONCEPTS Editing the sections of the objective plan template is where you define what the end user will see when they are creating new goals. As an Admin, you can select which categories of goals the end user can choose from (for example, Financial, Learning and Growth, Company, etc.), which fields they will see (for example, start date, % complete, milestones, status), and whether they may use the SMART goal wizard. SuccessFactors is pre-populated with at least one objective plan. Rather than adding a new template, you can modify an existing template and save it with a new name. This is useful when major changes to the template are not required, such as tracking additional fields that would assist with organizational planning activities. When creating a new template for a new performance year, you will usually change the dates on the template. Please note that changing the dates for an existing template may hide goals within the plan. For example, template dates of 1/1/2012 12/31/2012 will hide all goals prior to 1/1/2012. Figure 5: Editing a Goal Plan Warning: The Manage Goal Template feature allows you to make common goal plan changes. Attempting to edit complex templates is not recommended. SECTIONS OF THE TEMPLATE There are several sections of the template that can be customized: General Settings, Edit Categories, and Edit Fields. What you see within Edit Categories and Edit Fields will depend on your specific configuration. The most common sections are: General Settings This section is where you define the foundational pieces of the goal plan template. You can edit the name of the template (this name will display in your users dropdown list of plan options), change the language of the template, add specific instructions to your users so that they will understand the intent of the goal plan, select the start date that the plan is effective for, select an end date that the plan expires on, and enable the SMART objective wizard (this is recommended, as it guides users through creating goals that are Specific, Measurable, Attainable, Relevant, and Time-bound). Edit Categories This section is where you can edit and add categories if you want your plan to be broken down by certain categorizations. Your users will see and choose from these categories when creating a new goal using this goal plan template. Within Edit Categories, you may change the name of the plan category you want to use in your plan and the default language for that category. You may also add a new category or delete an existing category. It is not recommended that you delete an existing category, as it will affect other aspects of the system, like Reporting. Edit Fields This section is where you edit and add fields to your goal plan template and choose whether or not the field is required to be completed by the user. You may change the order the fields appear in the goal plan by dragging and dropping the field within the list. You may also personalize elements of each field. Users will see the names of these fields when adding a new goal to a goal plan. Lesson 1: Import/Export an Objective Library The goal for this lesson is to provide detailed information about importing and exporting an objective library in SuccessFactors. OBJECTIVES Upon completion of this lesson, you will be able to: Import an objective library Export an objective library Download an objective library template IMPORTING AND EPORTING OBJECTIVE LIBRARY MAIN CONCEPTS This lesson focuses on importing and exporting an objective library and downloading an objective library template. During Implementation, your Success Factors consultant may have imported an objective library for you. This objective library contains a list of goals or objectives that the user can access to manage specific goals for themselves and for their direct reports, depending on the permissions and business processes. As an Admin, you may import or export an objective library and then use or modify it as needed. You may also export (or download) an existing objective library template. This is useful if your organization has its own specific categories or goals for end users to add to their own goal plan. Using the Import/Export Objective library option under the Goal Management menu, you can: Download an objective library template as a.csv file by selecting an objective library template from a list of available templates and saving it as a.csv file. Import an objective library by selecting a.csv file (5MB or less), selecting the file encoding, and uploading the file. Make sure that the objective library.csv file that is being imported contains the correct values and is in the correct format. Export an objective library to a.csv file by selecting the library, making sure all languages are selected, and exporting the file. Typically, you export an objective library in order to make changes to it.* To customize a library and associate it with a different template, you must use ML or Success Factory. Not all configurations are supported in Success Factory. Importing objectives allows your organization to update objectives in mass. You would use this functionality at the beginning of a performance cycle, or if you had a departmental goal that needed to be corrected or updated for a group of people. As an Admin, you may import objectives as CSV files (max 25 MB). You may choose to delete any existing objectives that match the imported file, and you can designate the imported objectives as read-only. Lesson 3: Transfer an Objective between Users The goal for this lesson is to provide detailed information about transferring an objective between users in SuccessFactors. The person who the goal is moving from won t be able to see that goal anymore.
