The Function Keys Release key: Push this to hang up a call and place set in idle mode Hands-free key: Push this & you talk on loudspeaker Intercom/Mute key: Push this to stop other people hearing you but you can listen & make comments during conference calls If left on, calls will be automatically answered while you work Volume Control keys: volume of handpiece, speaker and ringer Message key: voice and text mails (flashes to indicate new messages) Redial key: Short press: reveals last number dialled Long press: reveals last 10 dialled numbers Backspace key: Takes you back one step Information key: Reveals extension number for other phones User-Guide-Alcatel-4029-Or-4039-RCO004-V1.1-2016-03-30 Page 4 of 21
The Navigator Key The left arrow goes into the menu tab allowing you to personalise your handset. OK The right arrow moves you to the info tab and you will see your personal details e.g. extension number, your name and if you have messages The navigator key allows your to scroll through menu options available on your 4029 or 4039 handset. Transferring calls in the office A call comes in The word Hold appears beside a soft key on the main display Press Hold Dial the extension or use the add-on module to go directly to the person required The word Transfer appears on the display beside a soft key Either speak to the call recipient or press Transfer immediately and the incoming call will go to them in person or to their voicemail Transfer accept will appear on the display as the transfer connects Hang up If the call recipient does not want to take the call you must hang up from that connection to pick up the call on hold Press then to speak to the caller on hold Hold User-Guide-Alcatel-4029-Or-4039-RCO004-V1.1-2016-03-30 Page 9 of 21
Transferring calls to mobiles Receive a call Place on Hold Type the person s name on the Qwerty keypad Use the right navigator key to scroll to the correct number (entered options may include Home, Mobile, Office) Press OK when you have selected the correct extension named Mobile Speak to the call recipient and Transfer or OK Transfer and the call will go to their mobile voicemail or be missed if voicemail is off. Pick up the receiver Dial 0 Making external calls Dial the number (this applies for mobile services as well) e.g. 0 4053 8177 or 0 0417 564 156 Or Pick up the receiver Type the name on the qwerty keypad. Locate name using navigator keys. Making internal office calls Pick up the receiver Dial the extension number or Pick up the receiver Type the name on the Qwerty keypad. Locate name using navigator keys. Retrieving messages from your handset The message icon flashes when there are messages on your phone Press the orange button The phone display will automatically display the message type either Voice 1 or Text 3 (for example). This means you have 1 voice message and 3 text messages to attend to. Press the soft key beside Voice The word Consult will appear. The number will appear beside a soft key*. Press the soft key. Press OK. Listen. Press Play or press Clear if you want it deleted. Press the soft key beside Text Message. Use the navigator keys to scroll up or down the list. Press OK to read. Usually a phone number is displayed. Transferring a voice message to another extension s mailbox When a voicemail arrives at your handset you may want to send it to another extension. Press the soft key beside each of the prompts. Broadcasting calls in the office If you receive a call for someone in the office away from their desk, to save time press then to broadcast. Your voice will sound on all handset loudspeakers. Diverting your phone to voicemail Press the soft key beside the arrow On display will be: Immediate = Press the soft key beside the prompt, dial in the extension and your calls are diverted to another extension. Immediate to voicemail = Press the soft key beside the prompt, and the phone will divert to the programmed voicemail. Diverting your phone to a mobile phone Press the soft key beside the arrow On display will be: Immediate = Press the soft key beside the prompt, dial in the mobile phone number including the 0 prefix e.g. 0 0438 156 422 and your calls are diverted the mobile service. or Use the qwerty keypad to locate the name of the person, use the navigator keys to locate the mobile entry and press OK The arrow will appear black and move in circles Cancelling diversion to the mobile service = press the soft key beside the black arrow Scroll down once to cancel forward Press the soft key beside the prompt and the diversion is lifted User-Guide-Alcatel-4029-Or-4039-RCO004-V1.1-2016-03-30 Page 20 of 21
