Quick Reference: DoRA Install & Setup For users familiar with DoRA, the following is a quick install and setup process. Ensure that your scanner or scanning software is set to the following criteria: Scan to a file (either PDF or TIF format) Scan in black & white Scan at 300dpi 1. Use this link https://www.remitdata.net/support/webscan/2010-04-14/dorafiles.zip and open the file. 2. Double-click on NewDoRA and run the setup application. 3. Continue clicking on Next until DoRA is installed. 4. Open up DoRA after the install (there should be a DoRA shortcut on the desktop) 5. Click on the Setup tab 6. Enter the DoRA login username. Please note: This is most likely a username specifically created for DoRA. If you do not know the username, contact Client Services (dial 866-885-2974 or email CustomerService@RemitDATA.com). 7. Enter the DoRA login password. Please note: This is most likely a password specifically created for DoRA. If you do not know the password, contact Client Services (dial 866-885-2974 or email CustomerService@RemitDATA.com). The DoRA username and password will be the same for all DoRA installs. 8. Under the Directory portion of the Setup tab, use Browse to select the location of where the scanned files are after they are scanned by the scanner. Depending on what scanning software you re using, you can select the location of where the software sends the scans and then point DoRA to that location in that Directory portion. 9. Click Save at the bottom. Setup is complete. To confirm the setup, go back to the Scan tab in DoRA and click on the user dropdown. If a list of users shows up, then the login and password have been setup correctly. DoRA can be installed on as many computers that have scanners or have access to the scanned documents shared location. 4

Quick Reference: Using DoRA DoRA sends scanned files to WebScan PRO. Once DoRA is setup and configured correctly, the first step in sending scans to WebScan PRO is to scan the desired documents with a scanner. Once the documents have been scanned, open up DoRA using the desktop shortcut. Then 1. Fill out the Scan tab User: The batch sent through DoRA will land in the selected user s Import Manager in WebScan PRO. In most cases, this will be the person who is going to file the batch. Description: This is an open text field that can be used to help the owner of the batch identify the nature of the documents within that particular batch. Application: The location of where the documents are to be sent. In most cases, there will only be one location to choose from. Cabinet: The cabinet of where the documents are to be sent. Keep in mind that only certain folders are available within certain cabinets. For instance, patient folders will only be found within the Patient Files cabinet. Create OCR: Always select Now in the dropdown. OCR stands for Optical Character Recognition. The OCR reads every page that is sent through DoRA before it gets to WebScan PRO. Selecting Later delays the OCR process until the 5pm CST. It is advantageous to begin the OCR process as soon as possible, so it is highly suggested to always select Now. 2. Select Start Scan Once Start Scan is selected, that button will grey-out and DoRA will begin to send the files to the OCR. The files to be sent will stack in Pending and will be moved one at a time to Complete. Please note: The units displayed within Pending and Complete are files, not pages. One PDF file could contain multiple pages but will only appear as a 1 in Pending and Complete. 3. Select Stop Scan When all of the files have been moved from Pending to Complete, the Start Scan button will no longer be greyed-out. It will change to say Stop Scan. It is essential to hit Stop Scan. This tells DoRA that you are closing the batch and to run the closed batch through the OCR. The batch send is complete. Once the OCR has processed the batch, it will be available within the selected user s Import Manager within WebScan PRO. The OCR processing time will vary upon the size of the batch sent. 5

1.0 Install & Setup 1.1 Download the DoRA program using the following link: https://www.remitdata.net/support/webscan/2010-04-14/dorafiles.zip 1.2 Once installed, open DoRA using the shortcut on the desktop 1.3 Configure the Setup tab 1.4 Security Enter the correct username and password in the Username and Password fields. The username and password used for DoRA will not necessarily be a specific user s credentials, rather it will most likely be a username and password that has been specifically created for DoRA. If you do not know the username and/or password, contact Client Services (dial 866-885-2974 or email CustomerService@RemitDATA.com). Enter a numerical timeout value (milliseconds) in the Timeout field. This will determine the amount of time DoRA continues to try and send a batch if it cannot communicate with the RemitDATA server. 300 is the default and recommended value. 6

1.5 File Management Select the location of where the files to be uploaded are located by using the Browse button adjacent to the Directory field. The user can also type the valid path of where the files to be uploaded are located in the Directory field. DoRA copies the scanned files and sends them to WebScan PRO. DoRA can take the original files and complete one of four action items: Move To: If the original files are to be archived in a separate location, then select Move To and enter the path of the archive location into the Move To field. The Browse button adjacent to the Move To field can also be used to select the archive location. Recycle Bin: Selecting Recycle Bin will move the original files to the Recycle Bin on the installed PC. No Action: Selecting No Action will move the original files into a folder within the Directory. The folder will be labeled with the corresponding batch number for the transmitted files. Delete: Selecting Delete will remove the original scanned files from the PC. If there are additional files stored in the same location as where the scanner places the scanned files, it is possible to exclude those files in the DoRA transmission. Enter the file names and/or extensions to be excluded in the Exclude Files field. Examples include: *.txt, *.xls, Hello.pdf, etc. 7

2.0 Operation 2.1 DoRA sends scanned files to WebScan PRO. Once DoRA is setup and configured correctly, the first step in sending scans to WebScan PRO is to scan the desired documents with a scanner. Once the documents have been scanned, open up DoRA using the destop shortcut. 2.2 Fill out the Scan tab User: Select the owner of the batch to be sent with the User dropdown. The transmitted batch will appear in the selected user s Import Manager within WebScan PRO. Description: This is an open text field that can be used to help the user selected in the User dropdown identify the nature of the documents within that particular batch. Application: The location of where the documents are to be sent. Cabinet: The cabinet of where the documents within the batch are to be sent. Keep in mind that only certain folders are available within certain cabinets. For instance, patient folders will only be found within the Patient Files cabinet. Create OCR: OCR stands for Optical Character Recognition. The OCR reads every page that is sent through DoRA before it gets to WebScan PRO. This is the step where any template, known document or barcode autofiling occurs. It is highly recommended that Now always be the selection in this step. Selecting Later will delay the OCR process until after 5pm CST. A transmitted batch will not appear in WebScan PRO until after passing through the OCR. 2.3 Select Start Scan Once Start Scan is selcted, the DoRA transmission of the scanned files to WebScan PRO will begin. The Start Scan button will grey-out and the number files to be sent will stack in Pending. Please note that this number will not be reflective of the number of pages within the batch, but rather the number of PDF or TIF files (one PDF or TIF file could contain multiple pages). As the files are sent, the number in Pending will decrease and the number in Complete will increase. 8

If there are any file errors during the sending process, those files will be counted under Errors. Contact Client Support (CustomerService@RemitDATA.com or 866-885-2974) to investigate files that are counted as errors. 2.4 Select Stop Scan When all of the files have been moved from Pending to Complete, the Start Scan button will no longer be greyed-out. It will change to say Stop Scan. It is essential to hit Stop Scan. This tells DoRA that you are done sending documents at this time, to close the batch and send the closed batch through the OCR. The batch send is complete. Once the OCR has processed the batch, it will be available within the selected user s Import Manager within WebScan PRO. The DoRA transmission time as well as the OCR processing time will vary upon the size of the batch to be sent. 9

3.0 Log Tab 3.1 Log Click the Log tab to view the logged results of all scans performed, which displays all information about the status of executed steps by DoRA. The log is also saved to the DoRA.log file located in: C:\Program Files\RemitDATA\DoRA 10

4.0 About 4.1 Click the About tab to view the current Version and Date of the installed version of DoRA. 4.2 Select Check for Updates to identify if the currently installed version of DoRA is the most recent version of DoRA. If there is an update, an install prompt will trigger the installation of the updated version of DoRA. If there is no update, a pop-up window will indicate that there are no newer versions available. 11
