OUR AIM Working with students, parents and support agencies, our aim is to achieve the best possible attendance for each of our students. This is in accordance with our Mission Statement: Together we achieve Bosworth Academy will provide a preparation for life in an environment where everyone can aim high, be successful and secure, individual support through a 21 st Century curriculum and partnerships with the wider community. Introduction Full attendance is essential if our students are to maximise their full educational potential. We aim to achieve the best attendance possible for each of our students. Any absence gives cause for concern and speedy action is essential in preventing absence from possibly becoming a persistent problem. The purpose of the School policy is to: Have clear procedures for the School to monitor the attendance of students and to enable the School to set targets for improved attendance State to parents their legal responsibility, relating to school attendance and punctuality, and to work with parents and students to improve individual attendance levels Set out the working arrangements with supporting services Policy Statement Through the implementation of the Attendance Policy at Bosworth Academy the School aims to achieve optimum attendance by: Taking prompt and accurate registers at the beginning of the morning session and once in the afternoon Taking prompt and accurate registers in every lesson to monitor attendance and punctuality Monitoring and analysing cumulative attendance data Setting group, school and individual targets where appropriate Rewarding individual and tutor group attendance Students, parents and guardians understand and are informed by: Involving the Attendance Improvement Manager in supporting students and families with individual attendance problems Recognising and rewarding good attendance. Staff at the Academy understand and implement agreed procedures by: Tutors reviewing attendance weekly and informing Year Heads and Attendance Improvement Manager who will contact parents in the first instance when concerns arise Tutors informing Year Heads as necessary and as soon as possible, of concerns regarding attendance / welfare Year Heads and Attendance Improvement Manager monitoring attendance weekly using Class/Group Attendance Reports and Attendance History Reports Attendance Improvement Manager and Year Heads addressing issues with individual students and parents

All staff promoting high expectations of attendance and punctuality for all students, by setting an example themselves Effective working relationship with support agencies exist by: Year Heads having an overview of the attendance system, working with Attendance Improvement Manager, Assistant Year Heads, Tutors, SLT, Attendance Clerk, parents, and students as necessary. Year Heads meeting bi weekly with the Attendance Improvement Manager to monitor attendance and make appropriate referrals Attendance Improvement Manager meeting regularly with the Attendance Clerk, often for daily update information Year Heads, when required, with representatives from Police, Social Care, Health Services and the Attendance Improvement Manager to promote work with inter agency support for individual students. Year Heads ensuring that all agencies understand the School s expectations with regard to attendance and punctuality. Policy Intentions This policy is available to: Parents Governors School Staff Students External monitoring agencies, e.g. HMI The Local Authority The Policy will be regularly reviewed and evaluated by the Attendance Improvement Manager, Year Heads and members of SLT. Appendix A SIMS REGISTRATION PROCEDURES In this document, Registration refers to the act of recording a student s presence or absence in lessons/sessions, and providing codes for absence from classes or engagement in different approved activities. In statistics generated by the school, registration refers to the official register, which has two sessions, am and pm. The am mark corresponds to the period 1 session, but the pm mark is generated from the period 4 class register. These registers are a legal requirement. Lesson by lesson registers, although not statutory, give the School scope to track attendance throughout the day, highlighting any internal unauthorised absence which should be dealt with by subject teachers. OUTLINE OF PROCEDURES ALL STUDENTS MUST BE REGISTERED AT MORNING REGISTRATION (PERIOD 1) AND IN EACH CLASS AS [/] PRESENT OR [N] ABSENT. A student who is late to tutor group or to class can be marked L for late. If the register has already been taken, staff should ensure that any student who arrives after 8.45am signs in at Student Reception and registers updated accordingly. Staff should only register as present those students WHO ARE ACTUALLY PRESENT IN THE ROOM. PLEASE DO NOT LEAVE A STUDENT UNMARKED mark either Present [/], Absent [N], or Late [L]. If a student is absent for a reason known in advance, it is likely that the tutor (or MLT staff) will have pre entered a code into the system. Class teachers should not change this code unless the student is present (e.g. cancelled appointment, felt well so came back to school etc). Subject teachers should ensure they alert the Attendance Team on ext 301 or 233. It is important to remember that the School authorises absences, not the parent. This makes decisions by the School regarding the authorisation of absences crucial. If you are not satisfied with reasons given for absence, you should not authorise the absence without discussion with the Attendance Improvement Manager. Please continue to mark a student who is believed to have left the school permanently as absent until the student has been deleted from the current computer records. NOTES FOR TEACHERS DEALING WITH ABSENCES AND LATENESS It is the School s responsibility to monitor students attendance and to inform the Local Authority of students who do not attend regularly or who are missing from education (e.g. moved from the area with no known forwarding address).

ABSENCES On the first day of absence, a text message will be generated to parents/guardians via the SchoolComs system. Following a response the Attendance Clerk will recode Lesson Monitor appropriately. Our clear expectation of all students and their parents is that, if a student is absent from school then the absence MUST be explained by letter / phone call / text message from a parent/guardian. It is not the responsibility of the tutor to spend time chasing up attendance, but tutors should ask students for notes from parents and send to MLT, re code Lesson Monitor where appropriate and monitor students attendance for concerns, informing the Year Head as necessary. Attendance Improvement Manager confirms that contact has been made with parent/guardian or makes contact with home and monitors, keeping Maximising Learning Team notified. HOLIDAYS NEW LEGISLATION EFFECTIVE 1 st SEPTEMBER 2013 Parent(s)/Guardian(s) should refrain from arranging holidays during term time. All holidays taken during term time will be coded as unauthorised absence unless in exceptional circumstances. A parent/guardian who wishes to seek leave of absence for exceptional circumstances must request this in advance, in writing to the Principal. The Academy will code the absence appropriately. In all circumstances, it is the School who determines whether an absence is authorised, not the parent. KNOWN/SUSPECTED UNAUTHORISED ABSENCE From classes after registration Class teachers must register each class they teach, taking note of any red flags entered on SIMS. Tutors then follow up any absence from lessons with the student. If the student is found/suspected to be absent without valid reason from the lesson, this must be followed up using School Behaviour Management procedures. For unauthorised absence from single lessons, classroom staff should inform the Attendance Clerk. If unauthorised absence is confirmed students will be sanctioned by MLT or staff will be asked to implement a sanction if the absence is confined to a subject area. A recognised pattern of internal unauthorised absence should be flagged up to the Maximising Learning Team for further investigation. From school not registering If a Tutor or Teacher suspects that a student may be absent without authorisation, including having arrived at school but not registered, then the tutor must inform the Attendance Clerk. This will be followed up as soon as possible with a phone call to parents. Whole day incidents of unauthorised absence will result in an immediate referral to the Inclusion Base.

LATENESS 1. Students arriving at school after 8.45am (i.e. having missed registration at the start of Period 1) must report to the Student Reception to sign in, then go to their lesson as soon as possible. The class register must then be updated and sent to the system (student marked L for late). 2. Lateness will be monitored through SIMS. Students who are persistently late to school will be dealt with by MLT and placed in break time detentions. Lateness to lessons will be followed up by class teachers in accordance with the Behaviour Management Policy. 3. Students who arrive late to school through no fault of their own (eg. late bus) should report to Student Reception prior to arriving in their class. When arriving in class, teachers should mark the student as late. This coding will subsequently be amended by the attendance team, when it has been substantiated that a bus arrived late. EXPECTATIONS AND PROCEDURES 1. Our clear expectation is that all students should be in the classroom at 8.45 am for Period 1. Any student arriving in the classroom after 8.45 am is LATE for am registration. 2. All Lateness should initially be recorded using the [L] code. Persistent lateness is dealt with as above. If the lateness is later found to be due to an acceptable reason, (e.g. doctor/dentist appointment,) confirmed by letter from home/phone call, and then the [L] is to be replaced with an appropriate code by the Attendance Clerk. 3. Each week, Tutors will be expected to look at their Tutor Group Absence Report on SIMS. This will help tutors identify any incorrect coding for students and will enable them to amend the code. Tutors can do this directly and Year Heads will continue to monitor. LEAVING SCHOOL AFTER REGISTRATION Students leaving school during the school day must sign out. This is a vital safety procedure. Years 12 and 13 must sign out in the signing out books kept in the Post 16 area AND sign in again if returning. Years 10 and 11 can only leave the site for a pre arranged appointment if they have written permission from a parent to visit the doctor etc. They must inform the tutor and sign out in person at Student Reception. Any Key Stage 4 student seen in the village or out of the school building during school hours will automatically be deemed to be absent without authorisation and dealt with in line with behaviour management sanctions. No students in Key Stage 4 should be off site at break time, even if they have a Desford address.

Students with Desford addresses may go home for lunch, providing they have applied for a Desford Pass via The Principal. It is expected that they go straight home and do not make use of village facilities. Students who live elsewhere, are not entitled to go off site at lunchtime, unless they are post 16 students. All students who feel ill during the school day should report to class, and request to go to Student reception. When they report to Student Reception, they will be seen by an appropriate member of the Maximising Learning Team who will decide if parents should be called. Students should not contact home and arrange to be collected without reporting to Student Reception first. Please talk through these procedures with tutees so that all students understand what to do when arriving late or leaving the school during the day.

Appendix B THE ATTENDANCE CODES USED AT BOSWORTH BY TEACHING STAFF Since September 2006 the DCSF have standardised the attendance codes that schools can use. A full list is included at the end of this Appendix. Appendix C RESPONSIBILITIES OF DIFFERENT STAFF SUBJECT/CLASS TEACHERS The principal responsibility is to ensure a true record of attendance/absence exists for each student in each class. Take the class register within 5 minutes of the start of each lesson using Lesson Monitor. An early registration is essential during Periods 1 and 2. During this time MLT staff will be contacting parents via SchoolComs and telephone. Amend the register in the class and re save should any changes occur (e.g. student arriving after register has been taken) Always inform the relevant Tutor via e mail of any suspicious absences or patterns All lates to be followed up by the class teacher Inform colleagues in advance, of any students who will miss any school classes due to an activity/trip/fixture etc organised by you. All other school procedures for such events must also be followed (see trips and Visits Policy).

APPENDIX C TUTORS Take the Tutor Group register within 5 minutes of the start of each tutor group session using Lesson Monitor To amend the register in the Tutor Group and re save should any changes occur (e.g. student arriving after register has been sent) Inform the Attendance Clerk of any future absences that parents have informed you of e.g. medical appointments. Actively encourage students (and parents) to use the relevant pages in the planner to record absences. Tutors to ensure a weekly check of student planners is carried out. Notes received from parents other than in the planners to be passed to the Attendance Clerk who will scan these onto the system Request absence notes from students. Inform the Attendance Clerk when none is forthcoming Receive notes from parents about absences and send to Attendance Team for coding Check daily their SIMS Messages and staffroom pigeon hole for notes regarding tutees absences Discuss with the Attendance Improvement Manager and/or your Year Head any issues regarding suspicious absences, patterns or definitions of authorised/unauthorised absence To inform the Attendance Clerk of suspicions of unauthorised absence To complete and maintain accurate records of student attendance via SIMS To liaise with Year Heads in order to code any absence for open Attendance cases Upon receipt of a less than 95% attendance letter, raise the importance of raising attendance with the tutee, informing the Attendance Improvement Manager and/or Year Head of any extenuating factors affecting attendance

APPENDIX C YEAR HEADS To line manage a team of tutors, ensuring that all of the tutors responsibilities above are fulfilled, and supporting/advising as appropriate To monitor the attendance of students in their tutor groups and act appropriately To liaise between parents and school to support students with genuine long term absences regarding academic work. Student/families should contact the relevant Year Head if they require support following a long term absence To monitor the attendance of students as an aspect impacting upon the achievement and progress of students To be the principal member of staff in relation to liaison with parents and outside agencies, including Police, Health and Social Care etc, ensuring that all agencies understand the School expectations with regard to attendance and punctuality To promote inter agency support for individual students To meet bi weekly with Attendance Improvement Manager to monitor attendance and make appropriate referrals To monitor, implement and promote the Attendance Rewards System To monitor, review and develop the Policy.
