Accessing Your Mailbox From your campus phone... 1. Press the VM button or Press the Voice Mail button or Dial 4321. 2. When prompted for your security code, enter your password. From a campus phone that is not yours 1. Dial 4321. 2. Press * until you are prompted for your mailbox number. 3. Enter your mailbox number - the same as your extension number. 4. When prompted for your security code, enter your password. From outside the campus 1. Call 914.594.4321. 2. When the automated attendant answers, press *. 3. When prompted for your mailbox number, enter your mailbox number - the same as your extension number. 4. When prompted for your security code, enter your password. Page 3

Greetings Change your standard greeting 1. Log into your mailbox. 2. Press 8-1-3-2. User Options(8) Personal Options(1) Record Personal Greeting(3) Record Normal Greeting(2). 3. The system will play the current greeting. Press 2 to record a new greeting. 4. You will be prompted to press 2 to start recording and 2 again when finished. 5. Follow the prompts to discard(4), save(5), or review(6) the greeting. Set your Out of Office greeting 1. Log into your mailbox. 2. Press 8-1-3-3. User Options(8) Personal Options(1) Record Personal Greeting(3) Record Out of Office Greeting(3) 3. The system will play the current greeting. 4. You will be prompted to press 2 to start recording and 2 again when finished. 5. Follow the prompts to discard(4), save(5), or review(6) the greeting. 6. Once the greeting is saved, it will be activated. Remove your Out of Office greeting 1. Log into your mailbox. 2. When the Out of Office greeting is active, upon logging in you will hear, Your Out of Office greeting is on. To remove your Out of Office greeting, press 4. To continue using your Out of Office greeting, press 5. 3. Press 4.

What s New? Deleted Messages Deleted messages are not saved in the new voice mail system. After you press 3 to delete a message, you are given the option to press * to undelete the message. If you do not undelete the message at this point, it is permanently deleted. Logging In If you are used to entering a # after your password when logging into voice mail, DON T! This system does not require a # and will return That command is invalid. Out of Office Greeting If you used the Alternate Greeting when you were away from the office, you can now use the Out of Office greeting. They function essentially the same; however, you now have the option of configuring your mailbox to not accept messages when the Out of Office greeting is in effect. Trusted Devices If you frequently access your voice mailbox from your cell phone or from home, you can add that phone number to your mailbox as a Trusted Device. The voice mail system can associate the caller id from a Trusted Device to your mailbox so when you call the main number of the voice mail system from that device, it automatically takes you to your mailbox and requests a security code - just like accessing your mailbox from your desk. Text Messaging Your mailbox can be configured to send a text message to an email address or a Short Message Service (SMS) gateway address when you receive a new voice mail message. Web Phone Manager Web Phone Manager (WPM) is an intranet portal located at http://wpm.nymc.edu. It can be used to configure your voice mailbox, but it cannot be used to access your messages. It is only accessible from a computer connected to the college network - not from the Internet. Page 5

Frequently Asked Questions How can I access saved/deleted messages on the old voice mail system? Messages on the old voice mail system will only be available through Nov. 4, 2011. 1. From your campus phone, dial 3000. From outside the college, dial 914.594.3000. 2. When you hear the prompt, press *. 3. When prompted for your id, enter your 4-digit extension number + #. 4. When prompted for your password, enter your password + #. 5. Press 3-1 to access saved messages. Press 3-2 to access deleted messages. How can I bypass the greeting and get to the beep? Press the # key. How do I rewind or fast forward while listening to a message? Rewind = * Fast forward = # How do I change my greeting? 1. Log into your mailbox. 2. Press 8-1-3-2. 3. The system will play the current greeting. Press 2 to record a new greeting. 4. You will be prompted to press 2 to start recording and 2 again when finished. 5. Follow the prompts to discard(4), save(5), or review(6) the greeting. How can I transfer a call directly to a user s voice mailbox? 1. On the phone, press the TRF button (next to HOLD). 2. Dial 4321. 3. When you hear the prompt, dial the user s 4-digit mailbox number + #. The mailbox number is the same as the user s extension. 4. Hangup. Can I undelete a message? Once you press 3 to delete a message, you have the option of pressing * to un-delete the message. This is the only place that a message can be undeleted. Once you terminate the session, the deleted message cannot be retrieved. What are the limitations on my mailbox? Mailboxes are restricted to 30 messages, including new and saved messages. How long are messages stored? Messages are purged from mailboxes nightly. Any message more than 21 days old will be deleted, regardless of status.

Web Phone Manager Web Phone Manager is a web portal to the settings of your voice mailbox. It is located at http://wpm.nymc.edu. When you access the site, you will be greeted with a login page: Your Mailbox is your 4-digit extension number. Your Security Code is the password of your voice mailbox. Upon logging in, you will be presented with six options in the box on the left hand side. Each option will update the main frame of the window with tabbed pages. The following sections cover the more interesting tabs. Page 7

Personal Settings Recordings From this page, you can modify your mailbox greetings. Clicking on a speaker icon will bring up a media controller for that recording: If you click the PLAY or RECORD buttons, the system will call the extension associated with this mailbox. This setting can be changed on the Web Phone Manager Settings > Playback page. Once connected, your phone becomes the audio device allowing you to record and playback your greeting. Click OK to save changes.

Phone Numbers On this page you can associate devices with your mailbox. A device is any phone that provides caller id. For instance, say you frequently want to access your messages from home or from your cell phone. Instead of following the instructions above about accessing your phone from outside the campus, you can associate your external phone number with your mailbox. When you call into the voice mail system (914.594.4321) from that number you will be automatically asked for your password - just like you were at your desk. To activate: 1. Select the proper row (Personal Mobile, Home Number, etc ). 2. Enter the telephone number. 3. Select Device Type = Voice. 4. Click OK. Security Code Here you can update your mailbox password. Page 9

Notification Settings Short Message Service (SMS) SMS generates a text message or email when you receive a voice mail message. To activate this feature do the following: 1. Select the Enable Short Message Service (SMS) checkbox. 2. In the SMS Provider drop-down, select SMTP on MAIL.NYMC.EDU. 3. Under Notify Status select All. 4. Under Message Types select the Include Voice Messages checkbox. 5. Use the Hours and Days settings to configure when you want to be notified. 6. Select OK. 7. You will receive an error - E-Mail Address cannot be blank. 8. Set the E-mail Address. To determine the email address of your cell phone, try http://en.wikipedia.org/wiki/list_of_sms_gateways or Google [your cell provider] sms address. 9. Click OK.

Web Phone Manager Settings Playback Here you can configure how you want WPM to interact when you are working with recordings. The Telephone Number is the number that the system will call when you want to play or record a greeting. This can only be an internal college extension. If your computer has speakers and a microphone, you can use the Streaming Media option to play and record using your computer hardware. After changing this option, log out of WPM and log back in for the change to become active.
