Copenhagen 09.12.2013 Student recruitment agreement The agreement is hereby settled between Copenhagen School of Design and Technology Guldbergsgade 29N DK- 2200 Copenhagen N & [Agency name] [Address] Copenhagen School of Design and Technology (KEA) appoints [Agency name]to promote their institution and their international programmes: [Agency name], hereafter called the Agent, works as an official agency for recruiting students for KEA in [Country or region]. As a Representative of KEA, the Agent acts as an Ambassador for the entire educational institution. The role of the Agent will be as follows: 1. To become well acquainted with the full range of courses offered by KEA. 2. To promote the above mentioned programmes to relevant target groups. This will, ideally, involve a number of approaches including advertising, promotion through appropriate journals, magazines and newspapers; student counselling; dissemination of KEA promotional material; the development of a network of local contacts; outreach initiatives to local schools, institutions, management institutes and corporate offices; and the integrated use of KEA alumni in promotional activities. 3. To counsel students interested in programmes offered at KEA, pre-screen students where appropriate, to establish whether they will satisfy KEA's entry requirements and to help them with the administrative aspects of the application process. 4. To assist in the organisation, support and follow-up of KEA visits to [Country or region] in order to maximise the effectiveness of these visits. Recruitment Process for the Agent! Advertising according to guidelines provided by KEA 1
! Handling promotional material provided by KEA! Acting as a help-desk for applicants! Conducting information meetings for applicants! Conducting personal interviews with applicants! Evaluating and selecting candidates that meet the requirements of KEA Agents must inform prospective students about:! Admission requirements! Visa requirements! Student guidance and counselling services! Tuition fees! The cost of books and other study materials! Accommodation and living costs in Denmark! Possibilities of getting a part-time job and leisure activities! Agents are moreover obliged to present the Code of Conduct (Appendix A) and a Student Contract (Appendix B) to the applicants Responsibilities of the Agent to KEA! Receive and process applications prior to transfer to KEA! Ensure that applications are on official forms provided by KEA! Send the applications and documents listing prior education and qualifications to KEA prior to the deadlines published on the KEA website! Check the authenticity of the identity of the student and provide documentary evidence! Provide the student with the final admission letter which will be forwarded from KEA to the Agent Responsibilities of KEA! Produce and providing promotional material to the Agent! Participate where appropriate in marketing activities arranged by the Agent! Provide the Agent with necessary official forms! Conduct an effective application process to minimize delays! Conduct personal interviews with applicants after screening by the Agent! Provide study counselling to students in Denmark 2
Rights and Obligations of KEA 1. KEA will supply the Agent with sufficient stocks of appropriate promotional material and application materials and will supply additional information at the request of the Agent. Where appropriate, specific promotional literature may be developed for the support of the Agent's activities. 2. KEA will give the Agent sufficient notice ahead of visits to[country or Region], so that the impact of such visits can be used to the benefit of both parties. 3. The agreement entitles the Agent to advertise on KEA's behalf on condition of prior approval of the advertisements by KEA. KEA reserves the right to amend such advertisements as it sees fit. 4. It is at the sole discretion of KEA to review and rank candidates for admission and to place them on appropriate programmes according to their academic performance and other factors relevant to the application procedure. It is KEA s policy to admit a maximum of 10% students from any country, so meeting the general application criteria does not guarantee admission to KEA. 5. KEA retains the right to evaluate and admit students from [Country or Region] who apply directly to KEA. However, students will be encouraged to take advice from the local representative where appropriate. 6. KEA retains the right to evaluate the recruitment process between the Agent and the students. Student requirements General All applicants must meet the requirements for studying at a higher education in Denmark. Country specific requirements are listed on www.eu.iu.dk. Language requirements Applicants must have a level of English language that enables them to study at a higher education level. Advanced level equivalent to a European upper secondary school or intermediate level with a good grade is adequate. Non-native speakers of English are required to take an IELTS or comparable test. Language requirements form part of an all-round assessment of the applicant. KEA requires a minimum score of 6 in the IELTS test or equivalent. Requirements are published on www.kea.dk Tuition fee The tuition fee is regulated yearly and the current level is described in Appendix C: Price Structure. There will be no further payment to KEA, but the students must cover the cost of books and expenditures in connection with staying and studying in Denmark. These are specified in the Student Contract (Appendix B). 3
Business conditions Agent Commission KEA will pay the agent a total commission of 500 for each student who is enrolled as a result of this agreement, provided the student lives up to the set of selection criteria. The payment will be made in instalments according to the structure below. Financial Terms Arrival and registration at KEA 1 40% Passed 1 st semester exam and start 2 nd semester 40% Passed 2 nd semester exam and start 3 rd semester 20% The Agent is responsible for sending an official invoice to KEA after the end of each semester with the name of the students, their birthdays and the total amount of commission. The list of students that lives up to the set of selection criteria will be conducted in co-operation with KEA. Subagents If the Agent uses subagents during any part of the recruitment process, it is the Agent s responsibility to provide KEA with a copy of the contract. Furthermore, any financial agreement regarding the recruitment process must be included in the contract between the Agent and the subagent. The subagent must meet the requirements for KEA Agents that are mentioned in this agreement. Modifications No modifications or amendments of this agreement may come into force unless made in writing and duly signed by both parties. Governing law This agreement shall be governed by and construed in accordance with Danish law and the law of [Country or region]. Arbitration Any dispute between the parties regarding this agreement shall be finally settled by arbitration in Copenhagen in accordance with Danish Law and the rules and procedures of the Danish Institute of Arbitration (Copenhagen Arbitration). Period of Performance The agreement is valid for one year from the date of signing, unless extended in writing and signed by both parties. 1 An overseas student is considered to have started when the entire tuition fee has been paid for the semester in question. 4
The Agent s performance will be evaluated by KEA according to the number of students recruited, relevancy of their qualifications and the Agent s compliance with the terms and conditions thereof. KEA reserves the right to terminate the agreement upon failure of the agent to perform within the frameworks of the agreement in question. Code of Conduct Upon signing this contract, the Agent commits himself to comply with the Code of Conduct for Danish Institutions of Higher Education under the Ministry of Education, (Appendix A) and in every respect safeguard the interests of international students and of KEA. Signatures This Agreement is written in English and exists in two copies, kept by each party.
