Easy Quotation Costing Integrated quotation creation ProjectManagement supports the internal cooperation when preparing a sales quotation. The sales employee, for example, defines in the contract the services and items to be performed and the colleagues from the special department add the duration of the services in the project planning. The planning data for the services, items or travel expenses are included automatically as sales prices in the calculation. Profitability analysis The calculation function assists you in quickly determining whether a project can be carried out economically. Because ProjectManagement calculates and visualizes the actual and percentage revenue for the contract positions. Sales quotation document When the calculation is completed, Project- Management generates a sales quotation in the corporate design of your business. You can print the document directly from ProjectManagement and send it together with all attachments by post or e-mail to the customer. Cost controlling You can check at any time whether the contractually agreed costs for the project are in line with the budget. The solution allows even to prevent further time sheet entries for a project if the costs are already exceeded. Employee calendar Different calendars are considered in the planning, e.g. for part-time staff, regular employees and freelancers. The solution considers also holidays and vacation in the planning. ProjectManagement enables different views on a project: The Gantt chart, for example, provides a visual overview of periods and capacity overloads. Different planning views ProjectManagement offers sophisticated planning options like Gantt planning, standard planning or periodic planning. With all types of planning, the times as well as the services and the associated costs are always present in the background. Employee or resource pool planning You can plan employees or resource pools and see directly whether the planned resources are available at the requested time and to what extent they are used. Planning changes at current project If necessary, you can make changes at the current project, e.g. in case of sick leave or date changes on the part of the customer. You can modify planning data, move dates or split planning dates. The data is updated automatically on each level (time, costs, resources and analyses). Data transfer from Microsoft Project Planning data from Microsoft Project can be simply imported and further handled in ProjectManagement. Interfaces to Microsoft Outlook When planning is completed, you can automatically inform the employees via Outlook of the planned dates, project phases and tasks. Resource utilization Various reports show the utilization of resources over different periods of time (week, month, quarter). Entry of services independent of location and time ProjectManagement enables to record working hours and services from any location at any time: per Web Client (over the Internet) or per Mobile Client (via smartphone, ipad or iphone). Data entry by authorized employees Because different people can enter data, there are also many ways to define who may record data in your company. The data entry is possible either by the employee, the project manager or the back office. Different input devices ProjectManagement provides different input devices for time recording, e.g. smartphone, iphone, ipad, barcode, laser pen or touch screen. Entry of attendance time or project time ProjectManagement enables you to capture pure attendance times or to record hours for a project and a project phase. Entry of hours or periods In addition, it is possible to capture services periodically. This allows you to capture for example the service "User Training" over a period of several days in one process only. Printing service reports / time sheets For submission to the customer ProjectManagement generates at the touch of a button flexibly definable time sheets for days, weeks, or a month in the corporate design of the company. When approving the hours, the project manager decides on the number of hours that are billed to the customer. Approval of services / working times After the employees have recorded services, the services are approved by the project manager for invoicing. Approval and billing Depending on the contract, the project manager approves the travel expenses for the billing to the customer. Travel expenses are optionally billed by actual proof of costs or by lump sum. After the approval, the accountant generates the invoice and posts the value.

Automated invoicing The billing wizard of ProjectManagement proposes the invoicable positions at the time stipulated in the contract to the accounting department. Final account If down payments are agreed in the project contract, a final account is created. An other Crystal Dashboard analysis shows the employee utilization per month and project type. ProjectManagement provides therefore the latest data at the touch of a button. The Web Client enables immediate access to analyses irrespective of where you are. Over 200 standard reports ProjectManagement provides over 200 templates for standard reports that include the latest data at the touch of a button, e.g. degree of completion remaining volume comparison of planned / actual hours employee utilization project totals freely definable breakeven analyses per project and much more. Easy to adapt The analyses are prepared in table form or graphically by means of Crystal Dashboard Design or Crystal Reports. You can adapt all analyses to your business needs. Export interface to Excel In addition, it is possible to export the analyses to Excel or to forward them as PDF file via e-mail to colleagues or customers. Work in progress Also projects that are not completed must be evaluated for business reasons at the end of the business year. ProjectManagement helps you in the evaluation of work in progress with a freely definable template. You can evaluate and assess the financial situation of your business based on up-to-date figures. Integrated Support Desk Flexible tool After completion of the project, the customer relationship does usually not end because software solutions, for example, must be serviced regularly. With the web-based support desk, ProjectManagement includes an easy to use tool for the management of support requests or so-called support tickets. Ticket handling From the outset, the customers are involved in the ticket handling because they record the support tickets via Internet in the support desk. The project manager is informed automatically by e-mail of a new ticket and can thus react quickly or forward the ticket to a colleague. OnPremise / OnDemand You can use ProjectManagement based on SAP Business One with various technologies. Usually, the solution runs in companies in a client-server environment, i.e. all data are stored on a server in your company and can be maintained there too. Employees with the corresponding authorization can access the data from their mobile device (e.g. laptop, smartphone, iphone, ipad etc.) and enter new data. In this case (OnPremise), you run the maintenance even in your company. MARINGO as a developer of ProjectManagement based on SAP Business One provides the necessary updates (upgrades). More recently, it is also possible to operate ProjectManagement based on SAP Business One also on demand. This means that the solution with all corporate data is installed at a hosting partner and is maintained there. All employees of your company can access the data worldwide (on demand).
