ABOUT THIS GUIDE The purpose of this user guide is to aid in the learning and use of the Virtual Trade Show. Symbols and Conventions To help you locate and interpret information easily, this guide uses some consistent text formats, symbols, and terms. TEXT FORMATS The following formatting styles identify special information THIS FORMAT bold type italic type ALL CAPITALS SMALL CAPITALS Initial Capitals REPRESENTS Anything that you must type exactly as it appears. For example, if you are asked to type dir \windows, you would type all the bold characters exactly as they are printed. Placeholders for information you must provide. For example, if you are asked to type filename, you would type the actual name for a file instead of the word shown in italic type. Italic type also signals a new term. An explanation immediately follows the italicized term. Directory names, filenames, and acronyms. Labels of keys on your keyboard. Menu items, command names, and dialog-box names and options. Instructions for mouse users. Instructions for keyboard users. About This Guide 1

KEYBOARD FORMATS The following formats identify key combinations and key sequences. FORMAT key1+key2 key1,key2 MEANING A plus sign (+) between key names means to press and hold down the first key while you press the second key. For example, press alt+esc means to press and hold down the alt key and press the esc key. Then release both keys. A comma (, ) between key names means to press and release the keys one after the other. For example, press alt,f means to press and release the alt key, and then press and release the f key. MOUSE TERMS These terms indicate the following actions. TERM Point Click Double click Drag ACTION Move the mouse pointer until its tip rests on the desired part of the screen. Press and then immediately release the mouse button without moving the mouse. Click the mouse button twice in rapid succession without moving the mouse. Point and then hold down the mouse button as you move the mouse. CHOOSING AND SELECTING ITEMS In this guide, the terms select and choose have different and specific meanings. Selecting an item usually means marking it with the selection cursor, which can appear as a highlight, a dotted rectangle, or both. You also select check boxes in dialog boxes. Selecting alone does not initiate an action. Choosing an item carries out an action. For example, choosing an icon might start an application, open a window, or carry out a command. You can also choose an item from a menu, or choose a command button. You often need to select an item before you can choose it. Virtual Trade Show User s Guide, February 10

WHAT IS THE VIRTUAL TRADE SHOW SYSTEM? The Virtual Trade Show system allows the processing of Trade Show Orders in a more automated and streamlines process. System Objectives Features Improve ratio of product received to product ordered Improve order-to-delivery time frames Reduce cost of processing trade show orders Allow customer to order at customer, group or store number level Provide order summary details Automatically upload the information to the Distribution System Category view allows you to Choose a specific NACS category Filter results by a specific Trade Show See how many total items are in the category chosen Quickly identify item numbers, bundle offers, cost and deadlines associated with each item Supplier view allows you to Identify the supplier Identify the first letter of the name of the supplier you want to see offers from if no filters are applied View Featured items and current promotions from chosen supplier to the right side of the screen View, if multiple trade shows are chosen, the same item could appear with different deals and dates Search view allows you to Quickly find products by entering either the a. Item Number b. UPC Code c. Part of the Description Perform a Description search which allows wildcard searches. For example: If you want to find every CHEX item you could enter HEX and get any item that has HEX in the description field Special viewing allows you To view a larger image of the product by clicking on the magnifying glass To view bundle promotions, if a deal is a bundle, by clicking on the magnifying glass to see all products and quantities being sold for the bundle What Is The Virtual Trade Show System? 3

Benefits Limit your view of items by a. User Profile see candy items if a candy buyer b. Trade Shows want to see a specific event Ordering Products: After clicking on the Place Order button, all stores associated to your sign-on appear. The following features now apply: Click magnifying class to enlarge product image Choose a Ship Date Apply a quantity to all stores Order for a single location Place an order, change ship date and place a second order Limit stores by McLane division Choose a different grouping Review Order: By clicking on the Review Order button, you can do the following: Change quantities View larger image Delete item and all stores for that specific Ship Date Print a report of the items in the cart Finalize the order which finishes the ordering process Once the order is submitted/completed, an email is sent detailing the items purchased and all related information such as cost, ship dates and quantities Consists of special promotions, deals and other important information Easy to navigate, search and filter Have control over delivery dates System Basics The following browsers are supported for the Virtual Trade Show system: Safari Chrome FireFox IE (7.0, 8.0, 9.0) Virtual Trade Show User s Guide, February 10

GETTING STARTED This chapter describes the various tasks that can be performed via the Virtual Trade Show system. Accessing the Virtual Trade Show System The Virtual Trade Show system can be accessed via any web browser. To access the Virtual Trade Show system 1. Open your browser and key in www.mclaneco.com in the URL address bar. Figure 1: URL mapping 2. Press Enter. The McLane web site home page displays. Figure 2: McLane Home Page Getting Started 5

3. Click the My McLane button on the upper right hand. The log in screen displays. Figure 3: Log in screen 3. Enter your User ID and password (see Figure 3). 4. Looking up Items There are three ways to look up items; by Category Supplier Item Search LOOK UP AN ITEM BY CATEGORY To look up an item by Category 1. Click the Categories menu tab. LOOK UP AN ITEM BY SUPPLIER To look up an item by Supplier 1. Click the Suppliers menu tab. The Suppliers screen displays with all items. Figure 8: Suppliers screen Virtual Trade Show User s Guide, February 10

LOOK UP AN ITEM USING ITEM SEARCH There are three options in which you can search an item. You can search by Item Number Item or Bundle Description UPC These options can only be used individually; they cannot be combined. For example, you cannot enter an Item Number and Description. You can enter an Item Number or a Description, not both. The following diagram shows the areas that are searched. Item Name SINGLE ITEMS BUNDLES Bundle Name UIN UPC Figure 11: Item Info NOTES For Bundles: Bundle Name displays instead of Item Description Total number of items displays instead of UIN & UPC Cost is the cost for the bundle (sum of billcost of all the items in bundle) Allowance is the allowance for the bundle When you click on the item a listing of the items within the bundle displays instead of an enlarged image of the item Getting Started 13

To look up an item using the Item Search 1. Click the Items menu tab. The Items screen displays with all items displayed. Figure 12: Items screen 2. Enter the following in the fields provided: Single Item: Item Number, Description or UPC Bundles: Description 3. Click the Search button. A list of items matching the search criteria display. Limiting Item Display There are two ways to limit the display of items: User Profile this screen allows you to specify which items to display according to NACS categories specified. Trade Show this screen allows you to specify which items to display according to Trade Shows specified. LIMITING NACS CATEGORY DISPLAY To limit item display using the User Profile option 1. Click the User Profile menu tab. The User Profile popup screen displays with a listing of all your available categories. Figure 14: User Profile popup screen NOTE If your browser does not allow for popup, a popup message appears above the page so you can elect to allow for popups to display. 2. Perform one of the following: Click Select All Categories at the top of the screen to view items from all categories Click the desired category(ies) to view items for the category(ies) chosen. NOTE To deselect all categories, click the Select All Categories check box. 3. Click the Submit button. Only items matching the option(s) chosen display for all pages. NOTE Category setting will be applied to future logins until they are changed. Virtual Trade Show User s Guide, February 10

LIMITING TRADE SHOW DISPLAY To limit item display using the Trade Show option 1. Click the Trade Show menu tab. The Trade Show popup screen displays with a listing of all your available Trade Shows. Figure 15: Trade Show popup screen NOTE If your browser does not allow for popup, a popup message appears above the page so you can elect to allow for popups to display. 2. Specify which Trade Show items you wish to view by performing one of the following: Click Select All Tradeshows at the top of the screen to view items for all Trade Shows Click the desired Trade Show(s) to view items for the trade show(s) chosen. NOTE To deselect all Trade Shows click the Select All Tradeshows check box. 3. Click the Submit button. Only items matching the option(s) chosen display for all pages. NOTE Trade Show setting will be applied to future logins until they are changed. Getting Started 17

VTS Order Allocation The VTS Order Allocation screen allows you to allocate items and specify the Ship Date you want the item to be shipped and to which store(s). PLACE AN ORDER To place an order 1. Click the Order button for the item you wish to order. The VTS Order Allocation screen displays. Figure 16: Order button Virtual Trade Show User s Guide, February 10

Figure 17: VTS Order Allocation screen 2. If there is not a customer group(s) in the drop down, contact the CSR at the division to set up the profile. 3. Click Customer Grouping or Corp Code link to specify if you want to order at the Customer Grouping or Corp Code level. The system returns filters the item listing depending on the option specified. Figure 19: VTS Order Allocation Division screen 5. Specify if you want to use your pre-identified Worklist (subset of customer group) store listing. The system returns filters the item listing depending on the option specified. Figure 20: VTS Order Allocation Worklist screen NOTE The Customer Grouping, Corp Code, Divisions and Worklist are pre-identified by your McLane division contact. 6. Choose a Ship Date using the calendar to the right. The date is inserted into the Ship Date field. Figure 21: Ship Date Calendar NOTE Default Ship Date is set to the first available McLane ship date. Unavailable ship dates are crossed out. 7. Specify the quantity of items to be ordered by performing one of the following: Enter a quantity amount (1 to 9999) in the Apply field to populate the same quantity for all items listed and click the Apply button. Enter a quantity (1 to 9999) for each item you want to order in the Qty field. Virtual Trade Show User s Guide, February 10

To clear quantity entered, click the Reset button. 8. Click the Add to Cart button to add items to your cart/order. The Order Placed popup screen displays. NOTE When a Ship Date is selected that has an order, the following message displays instead: 9. Click OK. 10. Click the Done button to close the VTS Order Allocation screen (see Figure 22). NOTE A warning displays if you click Done before you have added the order to the cart. If you click OK, the screen closes without adding the order to the cart. If Cancel is clicked, you return to the screen where you can add the order to the cart if you wish. Virtual Trade Show User s Guide, February 10

VIEW ORDER SUMMARY To view your Order Summary from the VTS Order Allocation screen 1. Click the Click here for Order Summary link. A summary of your order displays. NOTE: The Total Bundle Qty is the SUM of Qty for each store (not at the item level). For example: You ordered 10 bundles for Store 1, 20 for Store 2, 30 for Store 3 and 20 for Store 4. 10 + 20 + 30 + 20 = 80 bundles Figure 24: Order Summary screen 2. Click the Close button to close the popup and return to the screen. NOTES In order to see the current item within the Order Summary information, you must have added it to the cart. Bill cost and Net Cost do not include McLane Markup or Tax. NOTE: Total Qty includes all the items within the bundles. Review & Finalize The Review & Finalize screen allows you to update order quantities, remove a store(s) or delete an order for a specific ship date. REVIEW & FINALIZE AN ORDER To review & finalize the order 1. Click the Review & Finalize Order menu tab. Figure 25: Review & Finalize Order option The Review & Finalize Order screen displays. Review each item by clicking on the corresponding Item & Ship Date tab and if need be, perform one of the following: Update item quantity by entering the desired quantity over the current quantity. NOTE When changing Qty a confirmation message appears at the top right of the screen when the cursor is place in another area of the screen. Delete a store(s) (see Delete An Order For A specific Ship Date on Page 28). 3. Click OK to finalize and place the order or Cancel to not order the product. The Confirm Finalize message displays. The default is always what s specified at the time of registering. 5. Click OK. An email is sent to the e-mail specified and the Order Confirmation screen displays. DELETE A STORE(S) FROM AN ITEM FOR A SPECIFIC SHIP DATE To delete a store(s) from an item 1. From the Review & Finalize Order screen (see Figure 26), click the tab of the item & ship date you want to remove the store(s) from. 2. DELETE AN ORDER FOR A SPECIFIC SHIP DATE To delete an order for a specific Ship Date 1. From the Review & Finalize Order screen (see Figure 26), click the tab of the order you want to delete/remove. 2. Click the check box to the left of the Qty column. All stores are selected. VIEW ITEM/BUNDLE & ORDER SUMMARY To view your Item/Bundle & Order Summary from the Review & Finalize Order screen 1. Click the Click here for Order Summary link. A summary of your order displays. MULTIPLE ROW SELECTION To select multiple rows, Press the Ctrl key and click on the row(s) you wish to select. When using the Apply feature, the quantity will be applied only to the selected stores. If no rows are selected, quantity will be applied to all stores. When rows are selected, columns are highlighted in a darker green. Such as: How to search How to print Print Search Figure 42: Review & Finalize Order Search / Print SEARCH To search your order (see Figure 42) 1. Enter a word or phrase in the Search text box. 2. Click the Search button. The system highlights the first occurrence in yellow. 3. Click the Search Next button to find the next occurrence of the word/phrase. PRINT To print your order (see Figure 42) 1. Click the Print button. The Order Confirmation screen displays. Common Features This section discusses Common Features of the Virtual Trade Show system. VIEW LARGER IMAGE OF AN ITEM To view a larger image of an item 1. Click the magnifying glass image to the bottom right of the item. A larger image of the item displays. 2. Click the X to close the image and return to the screen. NOTE For Bundles, when you click on the item a listing of the items within the bundle displays instead of an enlarged image of the item Reference Information 37

COLUMN SORT To sort a column 1. Click on a column header. The listing is sorted in ascending order depending on the column header chosen. Column Header Figure 46: Column Header 2. Click on the column header again. The listing is sorted in descending order. 3. Repeat steps 1 & 2 for each column you would like to sort. ROTATING IMAGES The rotating images feature is available on the Home, Categories, Suppliers and Items pages. There are two categories of rotating images: New/Featured Items and Current Promotions. The purpose of this feature is to advertise the items available for purchase, what they look like and to be able to order the item by clicking on it without having to search for it. To order an item using the rotating items 1. Click on the desired item. Depending on the item chosen, either the VTS Allocation or the Items screen displays. The VTS Order Allocation screen displays if the item is only within one Virtual Trade Show.
