Page 1 of 5 JOB TITLE: REPORTS TO: DATA ENTRY CLERK Supervisor of Transportation NATURE AND SCOPE OF JOB: The Transportation Data Entry Clerk uses source documents, transcribes, updates, edits, retrieves, verifies, and corrects data related to school district transportation on a computer and peripherals in accord with appropriate procedures and documentation. QUALIFICATIONS: The Transportation Data Entry Clerk shall: 1. Hold a high school diploma or its equivalent. 2. Have six months experience in the operation of an electronic database system. 3. Have successfully completed an acceptable course of training in data entry on a computer. 4. Hold and maintain a valid driver s license for the type of equipment to be driven, with no serious violations. 5. Have excellent integrity and demonstrate good moral character and initiative. 6. Exhibit a personality that demonstrates interpersonal skills to relate well with students, staff, administration, parents and the community. 7. Demonstrate the ability to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary. 8. Provide proof of U. S. citizenship or legal resident alien status by completing Federal Form I-9 in compliance with the Immigration Reform and Control Act of 1986. 9. Provide evidence that a criminal record history check has been conducted and clearance has been given by the Department of Education. During the initial six month period provide a sworn statement that the individual has not been convicted of a crime or a disorderly persons offense in accordance with 18A:6-7.1. 10. Provide evidence that health is adequate to fulfill the job functions and responsibilities, with reasonable accommodation pursuant to 42 U.S.C. 12101 and in accordance with N.J.A.C. 6:3-4A.4. 11. Pass the state required Mantoux Intradermal Tuberculin Test as required by N.J.A.C. 6:3-4A.4.

Required documentation outlined in the qualifications above. 3. Letters of reference from former employers, teachers, other professional sources. 4. Employment interview. EMPLOYMENT TERMS: The Transportation Data Entry Clerk shall be employed under the following terms: 1. Work year of twelve months. 2. Salary, benefits, leave time and conditions specified in the Collective Bargaining Agreement. 3. Conditions established by all laws and codes of the State, and all policies, rules, and regulations established by the Board of Education (N.J.S.A. 18A:27-4 et. seq.). JOB FUNCTIONS AND RESPONSIBILITIES: The Transportation Data Entry Clerk shall: 1. Receive detailed written and/or oral instructions on procedures and methods in using transportation data. 2. Operate a computer by using keyboarding skills. 3. Scan source documents for specific information such as dates, new account numbers, and vendor numbers to enter the appropriate data into the computer. 4. Respond to display screen inquiries by following prescribed procedures and methods as provided by format to enter, update, or retrieve specific data for assignments. 5. Verify data that has been entered by sight checking the screen and correcting any error, or by rekeying the data from source documents and correct any entries that do not match to ensure accuracy of input. 6. Review, and prepare hard copy documents for processing through digital scanners. 7. Utilize document and image controls and key verifications to correct scanned images. 8. Verify accuracy of documents, indexing, to maintain integrity of the data.

Page 3 of 5 9. Maintain operating production and error rates established for each task and type of data. 10. Detect hardware/software malfunctions and notify supervisor. 11. Perform a variety of clerical duties such as record searching, verification, filing, and logging of assignments received and completed to complete work flow documentation. 12. Maintain an expected workflow while sustaining a high level of accuracy and thoroughness. 13. Perform at the level of dexterity required for non-production oriented tasks according to the stipulation of the Supervisor of Transportation. 14. Maintain records for control of time expended and tasks completed. 15. Respond to oral and written explanations and demonstrations. 16. Remember, follow, and apply basic written and/or oral operating instructions of recurring assignments. 17. Recognize the Transportation Services documents used and to associate those documents with the appropriate procedures. 18. Maintain accuracy in performing repetitive work where speed and accuracy are of prime importance. 19. Display the highest ethical and professional behavior in working with students, parents, school personnel, and outside agencies associated with the school. 20. Serve as a role model for students and staff in demonstrating positive attitudes, appropriate attire and grooming, and an effective work ethic. 21. Participate in appropriate in-service and workshop programs and attend any required meetings. 22. Use computers and/or electronic equipment to fulfill job functions. 23. Protect confidentiality of records and information about staff, and use discretion when sharing any such information within legal confines. 24. Adhere to federal statutes and regulations, New Jersey school law, construction codes, State Board of Education rules and regulations, Board of Education policies and procedures, and contractual obligations. 25. Perform any duties and responsibilities that are within the scope of employment, as assigned by the Assistant Superintendent for Business, and not otherwise prohibited by law or regulation.
