Alternate Work Schedule (AWS) Employees Definition of a day is the total hours they are scheduled to work (e.g. 10 hours for AWS employee who works 4-10). Exempt employees must report leave in whole day increments (e.g. 10 sick hours for AWS employee who works 4-10). Exception for intermittent FMLA. Slide 2

AWS Employees and Holidays For full-time exempt and nonexempt employees whose regular day off falls on a holiday they are entitled to another day off In lieu of another day off, nonexempt employees are eligible for compensating pay. This policy does not apply to part-time employees. Slide 4
Examples for Holidays and AWS Employees Example 1: Full-time exempt employee normally works 10 hours per day Tues, Wed, Thur, Fri. For the Labor Day holiday (which falls on a Monday - their day off), does the employee receive another day off? Yes, the employee receives another day off because a full-time employee he/she is entitled to the same number of holidays per year. Example 2: Part-time exempt employee normally works 8 hours per day Tues, Wed, Thur, Fri. For the Labor Day holiday, does the employee receive another day off? No, per policy, a part-time employee is not entitled to another day off. Example 3: Part-time nonexempt employee normally works 5 hours per day Tues, Wed, Thur, Fri. For the Labor Day holiday, does the employee receive holiday pay? Yes, per policy, a part-time nonexempt employee is entitled to prorated holiday pay. Note: A part-time schedule is not considered an Alternate Work Schedule. Slide 5
AWS Positive Pay Employees and Holidays Employees using the HBS bi-weekly (positive) timesheet will only be paid for the amount of hours recorded on the timesheet. This means that some AWS employees may need to supplement holiday dates based on their assigned schedules. On holidays employees normally scheduled to work a shift over 8 hours, must supplement the holiday date differently between Campus and Med Center: Campus requires exempt employees to use Supplemental Holiday Time time. Med Center requires exempt employees to use PTO or vacation. Nonexempt employees in both Campus and Med Center need to use vacation or comp time, or work additional hours with supervisor approval. Examples for AWS Positive Pay Employees Example 1: Nonexempt employee normally works 10 hours per day Tues, Wed, Thur, Fri. For the Thanksgiving Day holiday what can the employee do to supplement the Thur and Fri holiday dates? Employee can supplement the holiday dates with 2 hours of vacation or comp time each day in the HBS bi-weekly timesheet. Or, the employee can work an additional 4 hours Mon, Tues, or Wed, subject to supervisor approval. Example 2: Campus exempt employee normally works 10 hours per day Mon, Tues, Wed, Thur. For the Labor Day holiday what can the employee do to supplement the Mon holiday? Employee can supplement the holiday dates with 2 hours of Supplemental Holiday Time in the HBS bi-weekly timesheet.
