Needs the Alias Concierge (Case sensitive) Visible in Address book Description: This account is needed for the Mobility Services. An AD account with Exchange mailbox. Visible in Address book The account needs at least Editor permissions the calendars on all users. Or granted Receive- As on the mailbox database. Member of the Local Administrators group on the server, where Mobility Services are to be installed. Description: This account is needed for the BUFFERTIME Services. An AD account with Exchange mailbox. Visible in Address book The account needs as least Editor permissions on the resources calendars, which should have BUFFERTIME added to the appointments. Or granted Receive-As on the mailbox database. Member of the Local Administrators group on the server, where BufferTime Service are to be installed. Description: A file share, which contains Report templates and floorplans placed on a suitable location. CONCIERGE Administrators must have read/write permissions on the file share. All other users must have read access to the file share. Description: The CONCIERGE Mobility Service needs a list of the CONCIERGE users in its configuration. This could be either a: AD Security group with all the CONCIERGE users, or: Distribution list in Exchange with all the CONCI- ERGE users. PAGE: 7 OF 12 Description: In order to book rooms and resources, they need to be created as Room mailboxes. All users in the site should have reviewer permissions on the resources calendar. All room mailboxes need to be configured with AutoAccept on the value AutomateProcessing. All room mailboxes need to be configured with False on the value -DeleteSubject. All room mailboxes need to be configured with False on the value - AddorganizerToSubject. Description: The CONCIERGE DISPLAY RECEPTION shows the meetings today on a monitor, and comes with a standard design and a couple of resolution possibilities. In order the make a customized layout, we need information about the wanted layout: Resolution size of the monitor. Vertically or horizontally mounted. Fonts and sizes Logos.

In order to make a customized layout, we need information about the wanted layout: Resolution size of the monitor, or state the type of tablet used. Vertically or horizontally mounted. Fonts and sizes Logos. Should only certain types of meetings be displayed. The layout can be designed according to the wishes of the customer. In order the make a customized layout, we need the following information about the wanted layout: Screen resolution Fonts and sizes Logos. Colors, backgrounds etc. Graphical draft, picture, etc. Whether the receiver of the guest should be informed of the guest s arrival by: the receptionist, a text message (SMS) or email. PAGE: 8 OF 12 Description: The CONCIERGE Self-registration or the Reception module has the option to print a guest label with name, date etc. In order the make the label, Fischer & Kerrn needs a Word-file that can print the label on the connected label printer. The file should contain the wanted information in the proper layout. Define label type. Define the needed information on the label. Define printer, and make it default printer on the workstation with CONCIERGE Self-registration installed.
Description: When users make orders to a meeting, they often have to define/add financial information to the orders. This can be done in the Accounting dialog. Fischer & Kerrn need to know what information a user has to state when placing an order. Define the information a user must state when placing an order. Account number, CostCenter, project number etc. Define if there are rules or validation of these fields. For instance, a field must contain 5 digits and must not be left blank. State if account information should be retrieved from a different location. Description: The CONCIERGE EXPORT module can export the orders to a file, which can be imported to the customers financial system (SAP, Navision, Agresso etc.) and then be marked as exported. The export file can be in almost any format, and contain all the necessary information. In order the make the customized Export file, we need information about the wanted layout. What information is needed in the export file? In which order? Prices with/without tax Information added by the user when an order is placed. PAGE: 9 OF 12 Description: The CONCIERGE RESOURCES module can show floorplans, which indicates where the rooms are located in the building. Floorplans are therefore needed: Format in 900x300 dpi (gif, jpg, bmp, etc ) 24- bit color. Highlight bookable rooms List with room names, groups (buildings, levels) and their location.
- Identify the countries and locations that are in scope of the project. - Who are the stakeholders of the CONCIERGE SERVICES system? - Identify a project manager. - Identify the projects Outlook / Exchange technicians. - Identify the company s education managers. - Identify a group of intended super users. - Identify the desired Masterdata Administrators for CONCIERGE SERVICES. It is common practice to appoint 2 IT-minded persons from the company. PAGE: 10 OF 12 - Identify the service units that exist for every location. - Are the service units external companies? - Ensure that every service unit has its own e-mail address in the company s Outlook / Exchange environment. - Ensure that each service unit has access to a computer or alternatively; identify the persons/functions that are intended to act as a link between the customer and the service unit. - Create lists containing the range of products in every service unit. - Write down all information regarding a product; productname, price, description, supply restrictions (e.g. Steak cannot be ordered for Conference Room A), the product must be ordered before a given time of the day etc. - Create a user mailbox with Displayname and Alias Concierge.
- Make sure the user mailbox is visible in the company s Outlook address books. - Create a user account for the CONCIERGE Mobility Service. - The user account must have its own e-mail address. - The user account must be visible in the company s Outlook Address books. - The user account must have Full Mailbox Access to the mailboxes of every CONCIERGE user of the company. - Create either an Active Directory Security Group or a Distribution List containing every intended CONCIERGE user as a member. - Identify a Windows based server on which the CONCIERGE Mobility Service will be installed. - Use Windows Server 2003 or newer. - Microsoft.Net 4 Framework must be installed. - The service account created in 1.7 must be granted administrative privileges on the Windows Server. - Microsoft Exchange Server MAPI Client and Collaboration Data Objects must be installed on the Windows Server. PAGE: 11 OF 12 - Create all the company s meeting rooms as Room Mailboxes. - Identify the meeting rooms/resources that cannot be booked directly. - Identify the meeting rooms/resources that need acceptance before they can be booked. - Create lists containing the standard equipment in every meeting room/resource. - Create lists containing the number of seats, a room/resource description, a contact person, and a link to a photo of the meeting room/resource for every meeting room. - Create lists containing possible table settings for every meeting room. - Provide Fischer & Kerrn with plans (PDF, GIF, JPG etc) where the bookable meeting rooms / Hot desks are marked e.g. with a red dot.
