Welcome to OfficeSuite. These easy-to-use instructions will guide you through the installation of the Conference Phone(s) for your OfficeSuite system. Before attempting installation: Ensure you have the correct parts. o Conference Phone o Ethernet Cable o Power Interface Cable o Power Adaptor See step 1. Power Interface Cable and Power Adaptor are not needed if you are connecting to a Power over Ethernet (PoE) switch. o Optional Accessories External Microphones (sold as a pair) Ensure there is a spare port on your local area network (LAN) switch. Ensure you have an extension created for this device. Go to Users and Locations within the OfficeSuite web site to add a User if one has not already been created. Assign a DID (direct phone number) to this user / extension. Ensure you have the public IP address for the location where this device will be installed and have conveyed it to your Broadview project manager. Your project manager will provide you the IP Address of the OfficeSuite Gateway, record it below. (IP Address of OS Gateway (MBG) server ) You will need a PC or laptop to install this device, but no other special tools. Copyright 2014 Broadview Networks 1
Making the physical Connection to the Polycom SoundStation IP 6000 Phone To install the Phone plug one end of the network cable into the network port on the bottom of the Phone: 1. I f P o E plug the other end of the network cable into your data port with PoE If no PoE, then you ll need a 120 VAC power source a. Connect the Ethernet Cable into the Network Port on the unit b. Connect the other end of the Network Cable to the Power Interface Cable c. Connect the Power Interface Cable to a LAN port d. Connect the Power Adapter to the Power Insertion Cable e. Connect the other end of the Power Adapter into a wall outlet 2. Features of the Conference Phone Become familiar with the phone Configuring the Conference Phone Pre-installation 1. Ensure an OS ext. # is assigned to this device and you know the PIN/password 2. Ensure a DID is assigned to the extension 3. Select Cannot be dialed when setting Access from Auto-Attendant preference 4. If your OfficeSuite service is OfficeSuite FlexConnect, FlexConnect Small Office, or OfficeSuite Nationwide via DIA continue with section A. below. 5. If your service is OfficeSuite On-net or OfficeSuite Nationwide via MPLS skip to section B. below. A. If you connect to OfficeSuite via the Public Internet To manually configure the Polycom with a static IP address and subnet mask, follow these steps: 1. Plug Polycom into LAN (PoE or Power brick where needed) 2. Plug Laptop into same LAN as Polycom 3. Obtain and record: a. Single Static IP Address for this device (IP Address: ) b. Subnet Mask (Subnet Mask: ) c. Default Gateway (Gateway: ) 4. In order to do so complete the following: a. On PC Open up cmd prompt (Windows XP - start, run, cmd; Windows 7 -- start, type in cmd; Windows 8 -- go to task menu, right click, select show all items, Copyright 2014 Broadview Networks 3
chose command prompt tile; Apple MAC -- Google for your OSxx in order to obtain address information) b. Type ipconfig -- press enter c. It will give you the range of addresses (based on subnet mask), subnet mask and default gateway. d. Once you have done this, if you have an assigned pool of available static IP addresses, use one of these e. If not (more likely scenario) pick an address at the back end of the range. f. Ping this address. g. If you can reach it -- it is in use and you ll need to pick another. h. If it times out you should be able to use it for the Polycom 6000 phone. 5. Cycle the power on the OfficeSuite Conference Phone 6. Setup (press immediately when powering up) 7. Enter password (456) 8. Hit Ok / Select 9. DHCP client 10. Disabled / Select / Select 11. Enter OfficeSuite SoundStation IP 6000 Conference Phone IP address (use * for. dot) (from item 3a above) / Select / Select 12. Enter Subnet Mask (from item 3b above) / Select / Select 13. Enter IP Gateway (Default Gateway) (from item 3c above) / OK 14. Enter Exit 15. Save and Reboot / Select 16. Phone will now reboot B. If you connect to OfficeSuite via a Private IP MPLS Connection 1. Plug Laptop into same LAN as OfficeSuite Conference Phone 2. Have the static IP address of the site handy (this will be Broadview-provided) 3. On OfficeSuite Conference Phone select Setup when powering on the phone. Enter password (456) Hit Ok DHCP client Enabled Enter default gateway (static IP) Enter Exit Select / Save and Reboot Once the phone reboots, select Menu a. Status / Select b. Network / Select c. Configure the Polycom 6000 Conference IP Phone via web configurator Open a web browser window from a computer connected to the same local area network as the OfficeSuite Conference Phone. Type in the IP Address from the OfficeSuite Conference Phone (If static it is the one you assigned in step A.3.a. If DHCP it is the one you retrieved from step B.3.c) Hit enter When prompted, enter user name Polycom Enter Password 456 Once the Polycom User Interface appears select Line o Identification Display Name -- User name as per OfficeSuite web site when created Address -- type in OfficeSuite ext. Auth User ID -- type in OfficeSuite ext. Auth password -- type in OfficeSuite password for that ext. Going back into the web configurator post installation: If you need to go back into the web configurator after the initial installation you will need the IP address of the Polycom device. We recommend that you record this address. If you haven t taken that step it is easily retrieved as follows: 1. On the Polycom Device 2. Select Menu 3. Select Status 4. Select Network 5. Select TCP/IP 6. The IP address will be listed in the LCD display of the Polycom device 7. Open up a web browser 8. Type this address into the web browser 9. It will prompt you for a user name and password a. User name: Polycom b. Password: 456 10.
