IBM MaaS360 Mobile Document Editor User Guide Introduction MaaS360 Mobile Document Editor allows you to edit files directly in IBM MaaS360 Secure Mobile Mail or in your IBM MaaS360 Docs Repository. MaaS360 Mobile Document Editor supports Word, Excel, PowerPoint, PDF, and text files. Depending on the type of document you are creating, there may be unique icons at the top of the screen. The features you are used to seeing in your favorite document editing programs are included in MaaS360 Mobile Document Editor. Opening MaaS360 Mobile Document Editor Tap within the container or outside of the container. Documents are listed on the left side, with the last document you opened on the right (on a tablet). Tap a document to open it. On the list of documents, you can swipe from right to left to display tools to manage that document. Modes 1. Allows you to open the item in AirDrop, MaaS360 Mobile Document Editor or another app that is managed and deployed by MaaS360. (Other personal apps are excluded to prevent the leakage of corporate data.) 2. Forwards the document as an email attachment 3. Deletes the document 4. Saves the document. If the file has already been saved on the device, you will be prompted to rename it before it is saved again MaaS360 Mobile Document Editor has two modes: view-only and edit. 1

View-only mode Files are automatically in view-only mode when you open them. You can see a file, but you cannot update it. There are a number of icons at the top of the screen: Edit mode 1. Close the document and return to the MaaS360 container 2. Display the list of documents in the MaaS360 Mobile Document Editor 3. Send the document as an email attachment 4. Delete the document 5. Edit the document 6. Save the document back to the cloud 7. Share the document with AirDrop or a different app that is managed and deployed by MaaS360. (Other personal apps are excluded to prevent corporate data leakage.) The number of apps that can be shown at one time is limited. Tap More, and then drag and drop the available apps so your preferences are at the top. Tap the pencil icon to edit a file. There are a number of icons at the top of the screen: 1. Close the document and return to the MaaS360 container 2. Display the list of documents in the MaaS360 Mobile Document Editor. You will be given the option to save your changes or exit without saving 3. The page number and the total number of pages in the document 4. Undo your changes 5. Redo your changes 6. Add one of the following to the document: a. Image b. Shape c. Table d. Chart 7. Change the appearance of the text: a. Font, font size, color, font effects (bold, underline, italic, etc.) b. Spacing before or after a paragraph, the direction of the text or the text input direction 2

c. Styles 8. Save the document, find or replace text, and show comments When you edit a document, you will see blue dots at the beginning and end of highlighted text. You can drag either dot to highlight more text. The following options are available (tap the arrow to see them all): 1. Cut 2. Copy 3. Paste 4. Copy Format 5. Add Comment 6. Add hyperlink 7. Footnote 8. Endnote Creating a new file To create a new file, tap the plus icon at the top of the main screen. Swipe to select the type of document you want and enter the document s name. Tap the Create Document button. 3

Add text to your document by tapping on the document body and using the keyboard. Tap the plus sign at the top of the screen to insert an image, photo, shape, etc. into the document. When you are finished, tap and then tap Save. You can also tap to close the file, and then you will be prompted to save your changes or to close without saving. Editing a file Tap Editor to see a list of documents that are available in the container. Tap a document to open it for editing. 4

Highlight the text you want to format, and then tap the wrench icon at the top of the screen. A pop-up box appears that allows you to change the font size, color, and text. You can click the icons on the left side of the box to quickly move to the different sections. 6

There are tabs along the top of the box that display different options. In the example below, the Paragraph tab displays options to modify the paragraph s alignment, indents, and spacing, and rotate the paragraph. Again, the tabs on the left side of the box allow you to move quickly through the options. 7

The Styles tab allows you to use a style on the text, helping your file maintain a uniform look and feel. Working with text files You can create text files the same way you do other types of files, but some of the options are different for editing. 1. Tap the arrow to close the document, then tap Editor to display a list of other documents 2. Undo your change 3. Redo a previous change 4. Tap to display the Find and Replace fields 5. Tap the cog icon to change the font size and encoding 8

6. Save the updated file Additional options Additional options are available by tapping the For a Word document, you see the following options: 1. Save 2. Find/Replace 3. Show Comment icon. For an Excel spreadsheet, you see the following options: 1. Save 2. Find/Replace 3. Pin Frame 4. Sort 5. Filters A PowerPoint presentation has the following options: 1. Save 2. Find/ Replace 3. Show Comment 4. Show Guidelines 9

A text file has the following options: 1. Save Saving files Files are saved to different locations depending on where they originated: An edited attachment will be saved on the device when you tap Save. Changes to a document that was deployed to the device with MaaS360 Mobile Document Sync will be saved on the device. Any file that exists in the cloud (stored on a Box or SharePoint drive, etc.) will be saved to the cloud, unless Find and replace you tap the Save Back icon. You must be in Edit mode to find or replace text. To find and replace text, select Find/Replace from the Additional Options menu: Enter the text you want to find and tap Search on the keyboard. Use the following controls on the Find/Replace bar to find and change your text. 1. The text to be found 2. The replacement text (if necessary) 3. Find the next occurrence of the specified text 4. Find the previous occurrence of the specified text 5. Change the text to the replacement text 6. Change all occurrences of the specified text to the replacement text 7. Close the Find/Replace box 10
