Aeries Student Information System GPA S, Credits, Class Rank and GPA Calculation May 10, 2004 GPA S, CREDITS AND CLASS RANK There are several types of GPA s, credits, and class rankings that are calculated and stored in the Aeries database. All fields are stored in the STU table. The credits and class rankings are described in the sections below, along with the Query field codes. The GPA s will be identified here: The Total GPA includes all courses that a student has taken. The Academic GPA excludes all non-academic courses. A non-academic course is any course that has an N in the N/A field of the courses (CRS) table. The Grades 10-12 Academic GPA (AKA the College GPA) excludes all nonacademic courses and all courses taken when the student was in grade 9. A weighted GPA will include the extra grade points (defined by the district/school) for honors courses that a student has taken. An honors course is any course that has an H in the N/A field of the courses (CRS) table. A non-weighted GPA will not include extra grade points for honors courses that a student has taken. The following GPA s, credits, and class ranks are stored in the student record, and may be queried using the STU table and the Query Field codes that are provided along with the description of the GPA. GPA CALCULATION In order to create a numerical average (GPA), each mark is converted to a point value using the Grade Code (GRC) table. The Grade Code table is accessed from the Grade Reporting Options form by selecting the Update Valid Marks. All marks that are used for report cards and transcripts must be defined using this form. On the left side of the form there are Yes/No radio buttons under the Count in GPA Computation? which indicate whether the mark is to be used when calculating a student s GPA. There are also two fields, Non-honors courses and Honors courses, in the Point value in GPA computation area of the form. These two fields must contain a value for each mark that is defined. If a mark is not used in the GPA calculation, then that mark is defined by using zero in these two fields. The values on this form are utilized to compute the GPA. The Grade Points are multiplied by the Credit Value and then divided by the Total Credits attempted.

Add-On Weighted GPAs In addition to all of the above described traditional GPAs, some schools have developed an alternative way of calculating weighted GPAs. This is sometimes referred to as the Huntington Weighted GPA making reference to the location of its conception. Aeries calls this series of GPAs Add-On Weighted GPAs making reference to the process in calculating this type of weighted GPA. The Add-On Weighted GPA can be configured from the Aeries Variable for Current School form using the W setting. Aeries supports storing the Add-On Weighted GPAs in the regular weighted fields for each GPA or in a completely different set of fields so that both the traditional Weighted GPA and the Add- On Weighted GPA will be able to be queried and printed. The table below describes the field codes for all of the GPAs in Aeries. When options 8 or 9 are chosen on the Aeries Variables for Current School form, a configuration form will automatically appear. There are 2 different ways of calculating Add-On Weighted GPA and both options revolve around how to calculate the amount to add-on the Unweighted GPA. That Add-On Value can be calculated simply by multiplying a fixed value for every honors course passed. The other method is more complex. That way adds up all of the honors courses passed and applies a maximum number of honors course per term if you like. It then divides by the number of terms encountered to achieve the final Add-On Value.
