Chapter 1 Introduction Who this guide is for Summary of Features This guide is for Sage CRM partners and customers, who want to find out about the new features in Sage CRM v7.1 SP2. Chapter 2 Cross-Browser Compatibility In this version: Cross-browser compatibility with Firefox, Chrome, and Safari (including on OSX) in all Main Menu areas This chapter takes you through a brief snapshot of what this means. Who can I log on as? To try out cross-browser compatibility, log on with your browser of choice as: Name User Name Profile Susan Maye MayeS Sales Manager This user does not require a password. We aim to support the most recent versions of Firefox and Chrome, and Safari v5 (including on OSX). What's New 2 1

Chrome, Safari, Firefox, IE you choose! Chrome, Safari, Firefox, IE you choose! The overall user experience and functionality throughout the Main Menu is consistent across Firefox, Chrome, Safari, and IE. Core features where IE required a plug-in, such as Document Drop and Mail Merge, have been enhanced to provide superior adapted functionality in the non- IE browsers check out the next sections for more details. There are still some other minor differences to look out for in the Main Menu area. We ve highlighted the main ones here: Hot Keys the documented hot keys, such as Alt + T to create a new task from the Calendar tab, are fully supported in IE. Most of the short cut keys can be invoked in non-ie browsers as follows: o o o Firefox - use Alt + Shift + Key and then press Enter. Chrome - use Alt + Shift + Key Safari use Alt + Key Send Using Outlook button this is not supported in non-ie browsers, and has been removed from the New E-mail page. Drop files here zone this is available in Firefox and Chrome, but not Safari (or IE). Multiple file select and upload this is available in Firefox and Chrome, but not Safari (or IE). And, there are some areas of the product which are currently only supported in IE. Chapter 3 Document Attachment Enhancements The following document attachment enhancements are available in this release: Multi-select and upload of files in a single transaction (Chrome and Firefox) Attaching multiple files to a single task View attachments drill-down from document and task lists Pre-upload screening of file quantity, size, and type Intuitive drag-and-drop zone for attaching files (Chrome and Firefox) This chapter takes you through a brief snapshot of how you can work with these features. I want to attach four files to a customer record in CRM how do I do that? I want to attach four files to a customer record in CRM how do I do that? If you are working in Chrome or Firefox you can do this in one go. If you are working in IE or Safari, then add one file at a time. The validation will still take place on the file type and size. To upload multiple files and attach to a customer record: Open a customer record. From the Documents tab, select Add File. Select the files to add. The files are displayed in a list below the Document Details panel. The green check mark and red cross icons indicate whether the files uploaded or not. To upload successfully, the files must comply with the system file size, type, and number of files settings. These are defined by the System Administrator in Administration E-mail and Documents Documents & Reports Configuration. Click on the Save button. All valid (green check mark in non-ie) files are saved as Document entries. If you selected the Create Communication check box, you also see the completed communication record on the company Communications tab, and the document entries can be accessed from the Attachments tab within the communication. 3 2 Sage CRM v7.1 SP2

Can I attach multiple documents to a single task? Can I attach multiple documents to a single task? Yes. You can do this in all browsers. In IE and Safari, you ll need to attach them one at a time. For other browsers you can upload and attach multiple documents in one go. To attach multiple documents to a task: Open a customer record. From the Communications tab, select New Task. Fill in the Subject and select Add Attachment. You ll be prompted to save the task first click OK. From the Attachments tab, select Add File. Select the files to upload or browse to the file in IE, and Save. The attachments are displayed in the Attachments tab on the task. What's New 3 3

Do I have to drill-down to view attachments? Do I have to drill-down to view attachments? No. Now, anywhere you see the View Attachment paperclip icon in a Documents or Communications list, you can see what the attachment is, and open it from the list level. To open an attachment from a Communications list: Open a customer record for example one where you have previously added a file to a Document or Communication record. Click the View Attachment paperclip icon. If there is only one attached file, you can open it immediately. If more than one file is attached to a task, select the file from the pop-out list first. 3 4 Sage CRM v7.1 SP2

How do I prevent users from uploading potentially harmful files? How do I prevent users from uploading potentially harmful files? The System Administrator can limit the type, size, and number of files for upload. For example, to prevent users from uploading EXE files and files larger than 10MB: Go to Administration E-mail and Documents Documents & Reports Configuration. In the File Extension Restriction field, Type EXE Change the File Size Limitation field to 10. Save. What's New 3 5

Can I drag-and-drop into the Documents area? Can I drag-and-drop into the Documents area? Yes. In IE you can use the Document Drop feature. In Chrome and Firefox you can use the Drop files here area. This is a large drop zone available in most document-related areas in Sage CRM. To drag-and-drop a PDF document into the Documents tab of a Company: Open a customer record. Reduce the size of the CRM browser window. Drag one or more files from, for example, your desktop onto the Drop files here area. The arrow is highlighted when the files are over the drop zone. Drop the files, and complete the document entry details. Note: In non-ie browsers you can also drag-and-drop onto the Add File icon. 3 6 Sage CRM v7.1 SP2

Chapter 4 Mail Merge Enhancements The following enhanced mail merge functionality is available in this version: Server-side mail merge with no plug-in requirements Easy-to-use rich text editor within CRM for template creation and customization Continued support of predefined MS Word templates Support of mail merge for custom entities This chapter takes you through a brief snapshot of how you can work with these features. Note: To make a new template available to other users, or to make changes to templates which are available to other users, you must have Administration or Info Manager with E-mail and Template rights. Managing template access for other users is carried out using the Add File button from Administration E- mail and Documents Document Templates. You can create and change templates for your own use with normal user rights. To change Documents & Reports configuration settings, or to upload the Advanced Customization Wizard, you can log onto CRM as: Name User Name Profile System Administrator Admin Administrator This user does not require a password. Note: To try out mail merge for custom entities, you ll need an EM (Extensibility Module) license and the latest version of the Advanced Customization Wizard. Do I need a plug-in to perform a mail merge? Do I need a plug-in to perform a mail merge? No. Neither do you need MS Word. Sage CRM s built-in rich text editor means you don t have to leave CRM when creating templates or when merging them with customer data. To carry out a mail merge: Navigate to the Documents tab in the context where you want to perform the mail merge. Select Start Mail Merge, and select the template to merge. Add your own custom text or merge fields. Select Merge and Continue. In the final step, you can choose whether or not to create a communication with the merged document as an attachment. 4 2 Sage CRM v7.1 SP2

How do I set up a new template? How do I set up a new template? All users can create templates for their own use. For example, you have a first contact follow-up template which highlights a special offer you are running for your key accounts this month. To create a new template for your own use: Navigate to the Documents tab in the context where you want to have the template, for example the Company Documents tab. Select Start Mail Merge Create Template. New HTML templates can be previewed and edited. MS Word templates can be previewed and merged. Add a template name. Enter the text and merge fields. Insert any images you require in the template by typing the path to where the image resides within an HTML IMG tag. Quote and Order templates can include line items within nested tables. Select the Insert Nested Region button to include the required syntax. Select Save Template. The template is available to you for merges in the context where you created it in this example, the Company context. What's New 4 3

How do I make a template available to all users? How do I make a template available to all users? You need to be an Administrator or Info Manager with E-mail and Template rights. To make a new template available to all users: Navigate to the Documents tab in the context where you created your new template. Select Start Mail Merge, and click on the paperclip icon next to the template. Save the source, for example February Promo.html, on your desktop. Go to Administration E-mail and Documents Document Templates, and select Add File. Set the Entity drop-down to the entity where you want the template to be available during a merge this should match the entity where you created the template. Leave the Team field set to None. This will make the template available to all users. If you want to restrict the template s use by team, then specify the team here. Save. Test the template s availability by logging on as a normal user and navigating to the Documents tab in the context you associated the template with and select Start Mail Merge. 4 4 Sage CRM v7.1 SP2

Can I still use MS Word templates from pre-upgrade? Can I still use MS Word templates from pre-upgrade? Yes. You can upload MS Word templates as a normal user using the Add Local Template / Image button or get your System Administrator to upload them for all users from Administration E-mail and Documents Document Templates Add File. To upload a Word template, which you created locally: Go to the context where you want the MS Word document to be available. Select Start Mail Merge Add Local Template/Image. Make sure you set the Entity to the current entity, and Save. The MS Word template will be displayed in the list of templates and you can go ahead and carry out a merge. Note: You won t be able to preview or edit the MS Word template from within CRM. What's New 4 5

Just make sure you: are using the latest version of the Advanced Customization Wizard to create the custom entity, and select Has Communications and Has Library options during the wizard steps. To carry out a mail merge, once the custom entity has been created: Navigate to the Documents tab within a custom entity record. Select Start Mail Merge. 4 6 Sage CRM v7.1 SP2

What is Library Management? What is Library Management? The elements which make up the Library in CRM can grow quickly, particularly if you are frequently merging and attaching documents and files to customer records. In Library Management you can filter, sort, and delete different types of library items. Note: Pre-v7.1 SP2, if you deleted an entity, for example a Communication record which had attachments, the Communication would be deleted, but the library entry file would stay within the CRM install file structure creating an orphaned document. In SP2, if a record is deleted, then any attachments associated with that record will also be hard deleted from the CRM server. The Orphan Docs category within Library Management gives upgrade customers an easy way to manage and delete these records. To work with Library Management: Go to Administration E-mail and Documents Library Management. Filter list of library items by different types from the View drop-down. Click on column headers to change the sort order. Click on the pipeline segments to change the filter in the Library items list., Select items for deletion, and click Delete. 5 2 Sage CRM 7.0

Chapter 6 Installation Enhancements The following enhancements have been made to the Sage CRM installation process: Database Initial Size setting CRM installation creates its own SQL collation on the CRM database Updated Autogrowth setting in SQL Server Improved IIS checking on install Can I set the initial size of the CRM database during install? Yes. The default setting is now 512 MB, and it is editable during the install. To change the initial size of the database: Run the setup program. When you get to the Database Server Login step, set the size in MB in the Database Initial Size (MB) field. You must an integer (no decimals), and the minimum is 50. For example: 1024 (for 1 GB), 2048 (for 2 GB), 4120 (for 5 GB), 10240 (for 10 GB) Select Next to continue with the installation. What's New 6-1

Does the Sage CRM installation create its own SQL collation on the CRM database? Does the Sage CRM installation create its own SQL collation on the CRM database? Yes, it does now. In previous versions it inherited the collation from SQL Server (at the database server level). Localized installs of CRM should run more smoothly as a result. The CRM install creates the following default collations: For EN Latin1_General_CI_AS For DE Latin1_General_CI_AS For ES Modern_Spanish_CI_AS For FR French_CI_AS For CS Chinese_PRC_CI_AS What s the default CRM database Autogrowth option in SQL Server? This now defaults to a Fixed Growth size of 256 MB. You will see this on the database in SQL Server DB Properties File Autogrowth. What happens if I am missing some of the required IIS components for CRM? The install now checks for more of the required IIS components for example, ISAPI Extension and Filters. If they are not present, the setup program informs you of the missing component. All the required components are listed in the Installation and Upgrade Guide. Where can I get more information?
