WHAT SH&CC OFFERS SH&CC has a number of meeting rooms and other resources at reasonable rates. Our meeting rooms seat from 8 to 100 people with access to kitchen facilities, television and video, whiteboards, fax machine, photocopier and overhead projectors. It also has a CAFÉ which is open during business hours Monday-Friday and is available for catering. HIRING A MEETING ROOM AT SH&CC Ring SH&CC on 03 5358 7400 or call in to 8 22 Patrick St STAWELL and the receptionist will book a room using Meeting Room Manager. You will also need to complete a ROOM BOOKING FORM with information about your group and your requirements. * Please note that if you make a regular permanent booking it may not be possible to always book the same room. SH&CC may need to occasionally make last minute changes to room bookings at their discretion. If this happens you will be phoned or notified on arrival. If no notification is given before the date of the meeting, full price will be charged regardless of whether or not the room was used. A $5.00 fee per four meetings will be charged for cancellations of more than four meetings in a block booking ~ a block booking is a regular weekly/fortnightly/monthly meeting room booking on the same time and day of the week. Cancellations may be made by phone 03 5358 7400 or emailed to gch@grampianscommunityhealth.org.au KEY COLLECTION & RETURN After-hours meeting room users require a key (or a swipe card) to enter the building. Keys (or swipe cards) need to be collected before 5pm on the day of your meeting (or collect them on Friday if your meeting is during the weekend) There is a Key Drop slot to return keys once you have locked and exited the building. It is located to the left beside the main entrance airlock at the back of the building. Alternatively, keys can be returned by close of business the following day to reception. NO SMOKING SH&CC is a non-smoking building and smoking is not permitted in the SH&CC grounds. This applies at all times and is a safety requirement. HOURS AVAILABLE SH&CC is open during business hours, 9am - 5pm~ Monday to Friday. For afterhours access to the Ground and Second Floor rooms, groups will need to pick up a key / swipe card during business hours.

DISABILITY ACCESS All floors of SH&CC are accessible by stairs or lift and have a disability toilet. Please discuss your requirements with staff who will advise you. Best access to the building is via the Main entrance which at the rear of the building. For safety reasons it is advised for after-hours bookings that if the group has anyone who is unable to use the stairs (for exit purposes) that the group book a room on the Ground floor of the building. PARKING FOR CARS AND BIKES If you are using the building during office hours for training etc please ask your group attending to park across Sloane Street in the public car park, thank you. There is limited angle parking available along the fence outside the main entrance for people with limited mobility, at the rear of the building, and at the side of the building. There is also parking available in the SH&CC car park at the end of the building (near the Library) and in Patrick Street. Bicycles may be parked in the bike racks located at north end airlock or near roller door access, at rear of the building (main entrance). TEA and COFFEE SH&CC provides tea, coffee, Milo, sugar and milk wherever possible. If you require extra supplies there is a supermarket (IGA) nearby, located across Sloane Street CAFÉ The SH&CC Café is open from 9.30am till 2.30pm daily. It is located inside the building on the Ground floor and provides good quality coffee and food. RESPONSIBILITIES FOR ROOM USERS Keys: The person who collects the key / swipe card must attend the meeting their group has booked. That person is also responsible for all people that they allow into the building. They must not allow anyone into the building who does not belong to their group. They must not loan the key to any other person and must notify SH&CC reception staff immediately if the key is lost. Entry of group members to building after 5pm: The first time that your group uses the building it may be necessary to wait inside the access door to direct your group members into the building Once all group members are inside the building please lock the external door to prevent unauthorised entry by other persons. You may like to leave your mobile phone number on a note on the entry door in case you have latecomers.

The lights and air conditioning/heating are all on set timers. If they cannot be turned on they will need to be manually switched via a reset switch. It is advised that the person picking up the key/swipe card ask at reception to be shown how and where these are located and how they operate. If there is anything that goes wrong or is not working while in the building please call the number at the end of the booklet or the one on the key tag of the building key. FIRE EXIT Procedure Check the Fire Procedure notice on the wall next to the door in your room for detailed information about fire exit procedures or see the enclosed Emergency Evacuation Plans. In the event of a fire occurring and the fire alarms being activated, the lifts are not to be used. When the fire alarm activates the stair door automatically unlock and you can exit via these doors to the ground floor and outside. ROOM FURNITURE: Furniture is to be returned to the original configuration when the meeting is finished ~ there is a Room Layout plan on the wall near the meeting room door. Please leave the kitchen areas tidy, with all crockery and cutlery washed, dried, and put away. Dishwashers are available in some kitchens. There are separate bins for recycling, paper and rubbish. An additional charge of $50 will apply if the room is not left in suitable order LOCKING UP AFTER YOUR MEETING (After hours): As you leave the building please turn off any electrical appliances e.g. urns, turn off the heating and/or cooling and switch off lights. Using your key, securely lock the external entry door. Then place your key in the Key Drop box beside the main building entrance.
