5 Booking Information and Conditions Venue Booking Please contact HCSG on to confirm that your required venue and date are available. If your time is available and you wish to book please complete and forward the attached Confirmation of Reservation form (pages 6-8) to Rise. If your booking time is out of hours your elected contact person will be contacted by Rise to organise a meeting at the chosen venue to explain our alarm system and provide you with any necessary keys and codes. Deposit A 20% deposit is required within 7 days of confirming your booking. Once your booking is confirmed an invoice will be sent to your allocated account contact person with the required deposit amount. When making payment please indicate the Account Code located on the Tax Invoice. Credit Rise - Your Community Support Network does not issue credits, unless prior arrangements have been made. Payment An invoice will be sent to the allocated account contact person. When making payment please indicate the Account Code located on the Tax Invoice. The invoice less the deposit needs to be paid within 14 days. Any charges for lost keys/fobs or printing / copying will also be charged to the invoice. Cancellations Policy Rise reserves the right to hold a cancellation fee on bookings. Cancelling your booking will result in losing your deposit. Keys For bookings made outside of office hours may require the use of keys/ fobs. Keys/ fobs must be returned within 48 hours of the booking taken place. If lost then a $50.00 fee will be charged to your account. Catering Catering is BYO except for standard items listed in facilities included. Please be mindful that there is limited room to store any catering. There is also no refrigeration available. 4
6 Room Set Up and Tidy Up All set up and tidying up is the responsibility of the group who has made the booking. The room is to be left in its preset configuration. Please note if any equipment has been arranged it will be set up and dismantled by a Rise staff member. Decorations There is to be nothing nailed, screwed, stapled or adhered to any wall, door or surface of the building without the permission of Rise. Damage Any damage sustained to Rise meeting rooms by the client or any guests in attendance will be the sole responsibility of the elected contact person / event organiser. Any costs associated for repair or cleaning will be charged to the account contact person. Conduct Noise and music should not be excessive either during or after office hours. No offensive language or inappropriate behaviors are permitted on Rise premises. Over indulgence of alcohol is not permitted on any Rise premises both during and after hours. Printing Rise can offer printing: o A charge of 25c per black and white page single sided. o A charge of 50c per coloured page single sided. This also applies to photocopying. We ask that you provide us with lead up time for printing and photocopying due to staff work loads. Any printing or photocopying will be recorded and included on the final account. Equipment Hire Where charges apply for equipment they must also be paid in full with your booking account. Please return this with your reservation form. Equipment hire is subject to availability and notification is provided when equipment is unavailable. Where required, Rise will organise with the elected contact person training on equipment. 5
