ELM Server Exchange Edition Virtual Archive Mailbox version 5.5 1 Introduction SAPERION ELM Virtual Archive Mailbox (VAM) serves as an archive browser integrated directly into Outlook. VAM provides complete insight into the mailbox archive created by SAPERION ELM. Once installed, VAM is listed in the Outlook Folder list as an additional mailbox containing only folders with archived items. All items residing in the archive are displayed, including items that do not have shortcuts in the mailbox anymore (so-called lost items ). VAM can be synchronized with the archive at regular intervals, depending on your settings. i Virtual Archive Mailbox is read-only, i.e. changes made in VAM (e.g. deleting an email) are not reflected in the archive. Any changes are canceled at synchronization. However, you can forward or reply to emails from VAM as usual. This document guides you through the VAM simple installation and configuration in Outlook 2003, 2007 and 2010. 2 Installation To install Virtual Archive Manager: On a client machine, run ELM Virtual Archive Mailbox setup (32-bit or 64-bit version, depending on your system). On the Welcome page, click [Next]. If you have read and agree with the license agreement, check the "I accept the terms in the license agreement" check box and click [Next]. 3. 3 3 Configuration Configuration After installing the Virtual Archive Mailbox, make sure that the anonymous access for MCSWS is disabled in the IIS settings. To disable anonymous access in IIS6: Open the IIS Manager by clicking Start > Control Panel > Administrative Tools > IIS Manager. Expand the tree view to Local computer > Web Sites > Default Web Site. 3. Locate MCSWS and click it to bring up the Properties dialog. Fig. 3 1: Properties dialog 4. In the pop-up dialog, click the "Directory Security" tab. Then click "Edit..." in the Authentication and access control section. 5. Make sure that Enable anonymous access is not checked. Click [OK] until all IIS Manager dialogs are closed. 2
Fig. 3 2: Properties dialog To disable anonymous access in IIS7: Open the IIS Manager by clicking Start > Control Panel > Administrative Tools > IIS Manager. Expand the tree view to Local computer > Web Sites > Default Web Site. 3. Locate MCSWS and click it to bring up the Properties dialog. Fig. 3 3: Properties dialog 4. In the dialog, scroll to the IIS section and double-click Authentication to bring up the authentication settings. 5. Make sure that Anonymous Authentication is disabled. 3
3 Configuration Fig. 3 4: Enable anonymous access 3.1 Outlook The next step is to deploy Virtual Archive Mailbox in your Outlook profile. i The first part of the process differs for Outlook 2010 and Outlook 2003/2007. When done with this part, proceed with the steps for all versions of Outlook. If you are using Outlook 2010: Open Outlook. On the File tab, click Account Settings > Account Settings. 3.1 Fig. 3 6: Data Files tab If you are using Outlook 2003/2007: Open Outlook. Click File > New > Outlook Data File Fig. 3 7: Outlook Data File For all versions of Outlook, continue as follows: Select Virtual Archive Mailbox and click [OK]. Fig. 3 8: Archive Server 5 Outlook
3 Enter a name for your virtual archive file (e.g. Archive ), and click [Open]. i 3. Configuration If you have opened VAM before, several.vam files may have already been created. You can select one to open, but you have to know the.vam file identification that was specified when the.vam file was created. File identification is described below. In the Archive server dialog, fill in the Archive server name and click [Test connection]. If the connection works, click [Next>]. Fig. 3 9: Archive Server 4. In the Archive mailbox dialog, enter your full email address. The logged-on user email address is filled in by default. Click [Next>]. Fig. 3 10: Archive Mailbox 6
3.1 5. Now enter an Identification. The identification serves as a password for the given.vam file. Click [Next>]. i If the same.vam file is accessed again, the same identification will be required. In the next dialog, specify the synchronization settings for the synchronization of the virtual archive folder and the archive: + Check the "Schedule synchronization every x minutes" and set the time interval. + "Auto synchronize when Outlook starts" can be checked to synchronize at every Outlook start up. 7 Outlook
4 Changing Settings Fig. 3 12: Scheduler When you are done, click [Finish]. 7. A new folder appears in your navigation pane. This is the virtual mailbox where you can browse through all archived emails. Fig. 3 13: VAM Administrator To close the VAM folder, right-click it and select Close. 4 Changing Settings Settings specified during the Virtual Archive Mailbox configuration can be changed at any time. 8
3.1 To change the configuration settings: Right-click the VAM folder in the Outlook folder list and select Properties. Click Advanced. 3. A pop-up dialog appears. On the General tab, you can check the Archive server and the Archive Mailbox settings. Synchronization is set on the Scheduler tab. i If you change the defined Archive Mailbox, already-synchronized emails will be removed, and archived emails from the new mailbox will be downloaded. In case you need VAM for another mailbox, you can add more VAM stores to your Outlook profile. Fig. 4 1: VAM Configuration 9 Outlook
