Abstract Selecting a carrier for LTL (less than truckload) shipments can be a daunting task given the large number of carrier providers. Prior to selecting an LTL carrier, there is criteria that should be met of the carrier. This white paper outlines the criteria that LTL carriers must meet and questions that should be asked of the carrier. Fulfilling the criteria assists in selecting a carrier that will provide all requirements for future shipments and can result in a long term partnership with a trusted carrier. Many carriers specialize in shipping LTL freight, but selecting a carrier that will fulfill all your requirements can be a difficult task. Distribution across the country or cross border requires a carrier that is equipped to complete the shipment on time, without delay, all the while being affordable. Partnering with a less than truckload (LTL) carrier can be challenging. There are numerous carriers that specialize in LTL and offer services such as ambient, flatbed, hazardous goods and protect from freeze. With the vast selection of LTL carriers, how does one select a carrier that will fulfill all shipping requirements and build a long lasting partnership? Choosing an LTL carrier When selecting an LTL carrier, consider these 5 criteria: 1. Carrier certifications When shipping domestic or cross border, certain documents and certifications are required. Whether you are shipping domestically or cross border, below are the carrier requirements: Canadian carrier shipping domestically within Canada When shipping across Canada domestically the following documents are required: Safety Fitness Rating This certificate is required when a truck or trailer has a registered gross vehicle weight exceeding or that weighs more than 4500 kg 1. A safety fitness rating certificate is required for vehicles that are plated in Canadian provinces or territories, excluding Ontario. 2 CVOR certificate Commercial vehicle operators in Ontario are required to have a Commercial Vehicle Operator s Registration (CVOR) certificate, as well as having a copy of the certificate. Vehicles plated in other Canadian provinces or territories do not require a CVOR certificate, but a safety fitness certificate from the province or territory which the vehicle is plated. WSIB certificate This certificate proves that the business is registered with the WSIB and their account is in good standing. MTO number. Canadian carrier shipping cross border (US-Canada) For cross border shipments between Canada and the United States, when selecting a carrier ensure the following are provided: MC number This number allows shippers and brokers to look for the carrier online and view details about insurance and legal authority. DOT number This is required when transporting material that is hazardous and requires placarding. Also, when the vehicle has a gross vehicle weight rating or gross combination weight rating, or gross vehicle weight or gross combination weight of 4,536kg of more. 3 Insurance certificate. WSIB certificate. United States shipping domestic within the United States Domestic shipments within the United States require: Insurance certificate. MC number. DOT number. FEDID number. 2. Carrier flexibility The ability of a carrier to accommodate any change that may occur is crucial. Some aspects of flexibility to request from the carrier include: Late pickups and/or early deliveries - If late pickups or early delivery times are required, finding out if the potential carrier can accommodate those requests would be helpful for future shipments. For example, for freight that requires additional capacity, does the carrier have the ability to quickly allocate the required staff and equipment to handle the freight? It is important to consider carrier flexibility and adaptability to change, in the off chance that issues may arise. Transit times - Comparing carrier s service maps to see shipment delivery times and what they can provide for customer deliveries, will indicate how carriers can service customer s needs. Select a carrier that has the ability to speed up your delivery cycle as much as possible. Also, ask the carrier if they can fulfill any special requests, such as expedited freight loads, and any value added services they can provide. Flexibility is an important aspect of a less than truckload carrier too see how the carrier can accommodate change and fulfill any special requirements. 3. Customer service Providing excellent customer service assists in fulfilling customer s requirements and building long lasting trusted relationships. Aspects of customer service to look for in a carrier include: Several ways to connect - Preferably, look for carriers offering more than one way to connect with customer service or dispatchers. Customers that require information regarding their shipments, should be provided various methods to connect with the proper customer service representative. There have been improvements in the technology of how customers are able to connect with carriers, allowing customers to constantly have a point of contact regarding their shipments. Also, providing customers to connect with the appropriate staff that will be available to answer questions for special services, such as distribution and warehousing. Providing various ways to contact customer service representatives ensures customers will receive assistance with any questions they may have. Delivery notifications Implementing delivery notifications regarding shipments, such as location and arrival of the shipment, relay consistent information to customers. Customers are provided with constant information of their shipment and aware of shipment delivery. Also, in the event of a delayed delivery and a deadline will not be met, notifying customers is crucial. A delay in the shipment delivery may result in chaos in the supply chain. It is essential that a carrier informs customers if a shipment will arrive late, allowing them to plan and prepare for changes in the supply chain. Transportation Management System (TMS) A TMS provides customers an online portal allowing them to view their shipment in real time. This system provides efficiency and quality service as customers have real time visibility of their shipments and can access information anytime they require. Selecting a carrier that provides information that is readily available and provides various methods to contact customer service is crucial. This way, customers are provided constant access to information regarding their shipments and will be well informed of the shipment delivery every step of the way. 4. Key performance metrics An important question to ask potential carriers is how the carrier measures performance and provides accountability. The carrier should be implementing key performance metrics and collecting information regarding: On time pickups and deliveries Damage free shipments Transit times Truck turnaround time Proper invoicing Prior to selecting a carrier, determine which key performance metrics are of interest, request from the carrier how these metrics are measured and if a report is provided for each of the indicators. Key performance metrics are valuable pieces of information, as they demonstrate the efficiency of shipment deliveries and overall performance of the carrier. In the competitive industry that is LTL carriers, it is important to select a carrier that will provide this vital information that can be crucial to the success of on time shipments. Also, key performance metrics provide decision making information of whether the partnership with the carrier should continue, or if a new carrier should be selected. If a customer is finding that a carrier is not performing up to standards, reviewing the key performance metrics can indicate where issues are arising. Key performance metrics educate both carrier and customer of how deliveries are being completed and the level of service that is provided. Also, these metrics can relate back to customer service since the carrier is providing valuable information to the customer and measuring carrier performance. Key performance metrics assist in ensuring the customer is satisfied with the service, the carrier is meeting standards and contributes to fulfilling on time performance targets. 5. Carrier company information Reviewing carrier company history and searching for reviews of carriers indicates how the carrier stands in the industry. Also, this information can be used to compare carriers. Consider the following when selecting a potential carrier: Year carrier was established Typically, carriers that have been in business for several years normally have the knowledge to accomplish shipments in the shortest amount of time. Also, they have determined methods that work best for the transportation of various products. Carriers that have been established for several years are experienced and can fulfill shipments efficiently. Experience with similar freight loads Having the experience with similar freight loads, indicates that the carrier is experienced and knowledgeable of the products that are being shipped. For example, for temperature controlled shipments, a carrier that has experience organizing these freight loads would be important for temperature sensitive products. Available equipment Requesting from the carrier what equipment can be provided and is readily available for delivery. For example, ensuring the carrier provides flat beds or step decks, depending on transportation requirements. Also, inquiring if the carrier completes routine equipment checkups and is up to industry standards. This can provide peace of mind knowing the equipment is kept in proper condition. Reputation Researching how the potential carrier is viewed in the industry and others experience with the potential carrier will provide firsthand information. When searching for a potential carrier, having criteria in mind beforehand will ensure the carrier can fulfill all shipping requirements.
